Exchange programme for academic staff members

This exchange programme for academic staff members arises from the collaboration agreement signed by the Universität Leipzig and the University
of Stellenbosch. This programme creates possibilities for academics from both these institutions to become involved in joint research projects and to
pay mutual visits for stipulated periods by invitation.

1.         Particulars

1.1        For visits to Leipzig, the said institution will pay for accommodation and provide an allowance for up to 14 days per visit (two visits per
           academic year).

1.2        For visits to Stellenbosch, Stellenbosch University makes available at least two bursary months and carries the costs of both
           accommodation and honoraria for visiting academics.
1.3        Both institutions will strive to issue invitations to academics to work as visiting professors or researchers for a period of one semester.
           This will take place in accordance with the rules of the host institution with regard to academic and financial aspects.

2.         Application procedure

2.1        Each institution awards the scholarship in accordance with its own procedures and criteria. At Stellenbosch the programme is managed
           by the International Office (IO), which handles all applications and correspondence. In Leipzig Dr Svend Poller is responsible for
           managing the programme.

2.2        Applications to Leipzig in terms of this programme will be considered annually for the following year. Closing date: normally in September
           for the following year.

2.3        If, after scholarships have been awarded, more bursary months are available, or become available due to other circumstances, an
           announcement in this regard will be made with a view to fresh applications.

2.4        Application form EXCHANGE-Genform must be used. It is available on request from the IO (tel. 4615), Wilcocks Building (South), office
           113 or via email:

2.5        Applications must be recommended by the departmental chairperson and relevant dean. Applications, with the confidential
           recommendations attached, must be sent to the IO via the particular dean’s office.

2.6        Applications for Leipzig will be considered by Rectorate but final approval of candidates will be given by Leipzig. (Candidates from Leipzig
           are also frequently submitted to Stellenbosch for final approval.)

2.7        Please note that every application from Stellenbosch must first be submitted to Leipzig for approval and no arrangements must be made
           prior to receiving confirmation of approval from Leipzig. In both cases the package per visit must first be negotiated.

3.         Important considerations

3.1        The funds for this programme are made available at central level to both universities and are not limited to only certain fields of study.

3.2        Visits that concur with the following will be given preference:

     academic work of outstanding quality

     joint research projects with a long-term objective

     existing cooperation

     projects that will lead to (a) publication(s) in accredited journals
3.3        Normally only study leave may be used for participation in this programme. The normal procedure for leave applications must be
           followed. Participation in this programme cannot serve as motivation for extraordinary leave.
3.4          Reciprocal visits are not limited to a maximum period of one month only, but the funding is limited to one month only. Funding for longer
             periods may be supplemented from other sources.

3.5          Accommodation for one person is normally provided and paid for. If a family is involved, assistance will be given in finding suitable
             accommodation, but the amount allocated to accommodation is for a single person only.

4.           Responsibilities on arrival of participants from Leipzig

4.1          The IO arranges suitable accommodation and will contact the host about all practical arrangements regarding the accommodation.

4.2          The IO meets the visitor at the airport and provides transport to Stellenbosch.

4.3          The IO arranges a tour of the campus for the visitor and makes available general information about the university to the visitor.

4.4          At the request of the host, the IO will supply transport to the airport at the conclusion of the visit.

4.5          The host department is responsible for the following:

     Office space and general integration into the department/institution;

     Computer facilities and email connection;

     Visitor’s card for access to the library and relevant academic building;

     The costs of all other travelling arrangements are for the relevant department or visitor’s account.
