Michelle/E *Beth has completed 2 interviews but is struggling with what to do with all the info. Beth will continue interviewing more people. Michelle agreed to send what we have rica so far to Tom and Henry so that we can figure out what to do next.
There is a great deal of confusion between the Jimmy and Tommy Fund. A suggestion was made to keep the "Tommy" but maybe change the Fund to Heroes or team or something else. This is an executive board issue once we decide what to do. * Shannon now owns this *There are a number of other people that we might want to generate vignettes for: Parents, Docs, Fellows, Clinical, Child Life Specialists. Michelle agreed to setup a date when Henry and Tom can do these interviews. Tom needs to send michele a couple of possible dates in July. * Shannon will meet with Caffeine next week and report back to the committee after that (26Aug) *Alicia has reviewed the web site and had a number of great recommendations. We want to make it more "vignette" oriented with personal touches. Our current web house (Caffeine) charges $100 hour to make changes but we have the tools in house to make the changes. Henry also suggested "adobe contribute" as a possible tool to help here. Michelle intend to assign this to the new even co-ordinator Shannon who has the skill set and desire to do this. * Now that Shannon is on board she will gather these email address from the database (26 Aug) *We plan to web survey out current donor database to find out what motivated each to donate. There are a number of donors who have email addresses. We need to get them and encourage more to give us their email addresses

* The next Newsletter is in October and will include this note (26 Aug) *We want to get as many email address in our database as possible. One way of doing this is to announce that we want to "go green" and send as many newsletters electronically as possible. * Shannon will put together a draft of this annual report in January 2009 (the actual one will come out in April at the end of our fiscal year (26 Aug ) *Many corporate donors ask for an annual report before they will consider donating the Tommy Fund. We don’t have any today. Beth, Tom and Henry were asked to send sample annual reports to Michelle for her review. She will come in to the next meeting with a proposal on what we should do. We need to start an annual recognition dinner in the April, may time frame which is

Annual Recognition Dinner Touch the Organizational Donors

Begin planning for the new Annual Recognition Dinner Call each of our high $ organizational donors.

thank them publicly. * Michelle will cold call 2 high $ donors per week and re-inforce out message *We want to keep all of our high value organizational donors. Michelle suggested that this needs a friendly phone call and agreed to call each of the "high value" donors in the next month or so. Henry suggested the creation of a space on the TF web site where each of the cancer children (vignette) could create a blog and keep tell people how they were doing. This will create a strong emotional tie between the child and the donor. Henry volunteered to do some thinking about this and report back to the team. On Hold until we get site working * This was done but put on hold until we get some email addresses *We agreed that we need to survey a subset of our current donors to find out what motivated them to donate. Hopefully this will help refine out marketing strategy. Tom agreed to implement a web based survey on survey monkey. we all agreed that the current logo is a bit stilted and not unique. No action yet assigned to rework it . Since we are considering changing the name of the Tommy Fund, we will want to propose to the new Cancer Center how we want that name to appear. We really can't do too much until the new name issue is resolved Art Lemay is very interested in pursuing Stop and Shop as a corporate donor. This may not be an easy target with the relationships that this firm now has. The team began constructing a list (see next tab) of potential corporate donors with networks. The team was asked to think about this and come up with more by the next meeting. *Michelle and Shannon are alternating meeting with the Guilford practice on a weekly basis. COL event planned for Spring 2009. (26 Aug) *We need to better integrate the Guilford practice into he TF fold. September is Childhood Cancer Awareness month. We would like to create a "Celebration of life" Reunion for those children and families we have helped over the past 10 years. The main message is "Come see the children we have helped".

We need a better understanding of our customer donor base of about 7,000+ donors. All of this information is in the Tommy Fund Data Base. We want to export the entire database to Excel so that we can begin analyzing it (e.g. pivot tables) to better target our marketing and business approach. They might be willing to of some promotional work for us for free or for a reduced rate. Henry will investigate. * We decided to keep with the 4 messages from the Mission statement: Educational, Emotional, Recreational, Medical *See "Mission-Vision" tab for progress with this issue. It was proposed that we get rid of the 3 year commitment associated with the Tommy Friends. We also propose to form 2 different groups … 1 for individuals and 1 for corporations and foundations. We also suggested that there only be 3 steps in each (not 6-7 which are now). * Tommy Friends (Individual) ... $250, 750, 1500 * Tommy Team (Corp)... $2,500, 5000, 10000 The idea is that Tommy's friends is a recognition not a discrete donation Henry suggested that the overall package consist of the following: hardcopy Vignettes, Annual report, Card with different levels of giving, benefits of joining Tommy. All were asked to get back to Henry with any other info that we might want to include Tom was asked to put together a presentation for the executive board on the progress of the marketing team
