									SBEC Trojan Band Boosters Parents Meeting - Minutes August 27, 2009
The Band Boosters Club has grown and flourished over the last several years, due to the parents who want their students to have a good opportunity to participate in an outstanding band program. The school administrators and others have recognized the amount of time and work you all do to make the Band Boosters what it is today, and are amazed at what you all have accomplished. Thank you so much to all the parents and to everybody who does everything. Progress of the Band is Strong Friday night is our first official performance at the football game. The school is asking that parents and fans wear white shirts to the game for “White-Out” night to show our spirit and support for the team. Band students will not be in uniform tomorrow night and will instead wear khaki pants, their new 2009 Band T-shirt and tennis shoes. The color guard will be wearing the band t-shirt and their new pants. Uniforms Thanks to Melanye Jarnagin and her team of people who are working to get the uniforms altered and prepared for the students. If you have received instructions to alter a part of the uniform, please try to get that item back by Monday. Information about the Show Most everyone knows by now that our show this year is “The Divine Comedy” which depicts Hell, Heaven and In-between. It’s a very theatrical show this year. What you will see is somewhat realistic. We hope the school and the administrators receive it well, as it tells a very powerful message. Band Room Issues The biggest issue right now is storage. We need better use of the space or somehow gain space. We might need to look into possibly adding an outside structure or storage area. There is so much stuff that needs to be better organized and things end up in piles because there is no place to put stuff. If anyone has any ideas or suggestions or is available to work on this, please let Mr. Dale know. Fundraisers A) The Boston Butt sales were good, we sold about 271. The cooking crew will start next Thursday evening on September 3rd. We still need charcoal and heavy duty (long roll) aluminum foil. Please try to bring these by Monday August 31st. We have a lot more Boston Butts available, we can still take a few more orders if you know anyone who wanted to get one. We will be cooking these during the football game Friday night on 9/4. We will be having BBQ nachos for sale. We may make the butts available for sale during the game?

B) Concession stand sales are another big fundraiser for the band. The main concessions in the new gym are managed by Lesliane Casto and the Trojan Hall concessions are managed by Sharon Hudson. Sharon schedules workers for the after school concession in Trojan Hall, and Michelle Kelley schedules all other concession workers.   Sharon Hudson still has openings for some after school workers. Check the concessions calendar on the trojanbandboosters.com website for open positions and let Sharon know if you are able to work those days. Michelle Kelly handed out an updated schedule with dates and times that workers are needed for Volleyball, Soccer, Junior High, Junior Varsity and 5th/6th grade football events. This schedule will also be updated on the concessions calendar. Let Michelle Kelly know if you are able to work one of these home game events. During Soccer games and Volleyball, the plan is to sell only drinks, candy and popcorn with one person working the concession stand. During football games, we may be cooking outside as well as inside. When we are cooking, additional workers are needed, between 4 and 12 workers per game. During the Varsity game against ECS we will have two tents, one on the visitor side of the field and additional workers will be needed for that game as well. Homecoming is always a big event where we need at least 12 workers. There are new discount cards for teachers that offer ½ price discount. The card must be presented by the teacher/coaches and not their children or guest. School Administrators and Band Staff now have cards to receive 2 food items and 1 drink item for free, and should be used only once per event. Referees are given free drinks and must be recorded to get reimbursed by the athletics department. New families at SBEC have all received coupons for one free popcorn per family. For those working in the concession stand, expect to get some of these. Take and keep the coupon.







C) The Next Fundraiser event coming up is Cookie Dough Sales. This will start November 10-20th. The band students can profit as much as 30 – 50% on these sales that will be credited toward their Spring Band Trip. Great American will have tubs available for sale again as well as ready made cookies to bake and serve. D) There is a school-wide fundraiser in progress now with Great American selling gift wrap and stuff. We encourage band students to support this fundraising event as some of the proceeds are shared for Band Expenses. E) Another school-wide fundraiser that really benefits both you and the school is the Kroger/Schnucks card program. You can get the cards in the development office and then preload them with money that you are already spending at Kroger and Schnucks. When you use these cards to buy your food and gas items, the school gets 2.5% of the money and you get 2.5% rebate back on your card. It benefits us all. Please participate in this program if you are not already doing so. F) A Fall Festival is being planned by the PTSF. This event will be held on November 7th. food at the concessions, and we would like to have some authentic carnival food like pronto pups, cotton candy, sno cones and funnel cakes. If you know anyone or have access to rent one of these kinds of stands, please let us know. Other booth suggestions might be video games where kids can stop by and play Guitar Hero. It will be held between the Football and Baseball stadiums, and there will be live music. We need someone to volunteer to be the Chairperson of this event for the band and a committee of people to help out. This event has a huge opportunity to be a great money maker for the band and we want to encourage everyone to participate to make it a success. New Website We now have a new web site located at www.trojanbandboosters.com. There is a lot of good information out there that is updated almost daily. You can always find the most important announcements at the top or on the top right section of the home page. We have the student accounts available online now, and there is a new Student of the Week page. Everything you need to know will be updated on the web site as soon as possible so check there often for announcements, updates, schedules and all other band information. New Band Yearbook Another new project this year we are doing is a Band Yearbook. The committee is underway working to organize and gather pictures for 60 pages that will be 100% devoted to the Band, events throughout the year, and photos of each band member. The cost will be approximately 38.00 per book and will be available at the end of the year. This book was not included in the band fees as we just agreed to do it this month. The book will be your choice to buy or not to buy. The Yearbook Committee needs help collecting pictures. Please submit your pictures to the new shutterfly site to share with the yearbook committee or send them via email to Cathy Anderson. NEEDS Some of the things the band needs this year that we need money for from the fundraisers as well as donations are: Uniforms – these cost approximately $300 each. Every year we struggle to get everyone fitted and with the band growing each year, we need to have 10 – 20 extras on hand. Instruments – there are several instruments the band is in need of that cost anywhere from $500 - $5,000. Any families interested in making a donation for an instrument see Mr. Dale. Remember donations are tax deductible. Drivers – We only have 4 -5 drivers this year, 3 of which are senior parents. This means next year there will not be enough drivers to get the children to band events. We need some people to volunteer to get a commercial drivers license (CDL). Rita Brock will help you with the paperwork and will provide a bus for you to practice and take the driving test. Get the book to study for the written test. SBEC will pay for your CDL license. Also we need people with trucks to pull the trailers and the cooking grill. The cooking grill requires a truck with towing capacity of 7000 pounds.

Attendance Policy All students are required for all practices and competitions. If you must miss a practice you need to let Mr Dale know in advance and be able to explain why with an excusable absence. If you miss 2 or 3 practices, there are consequences. Please refer to the student handbook regarding missed practices. No one is ever excused from missing a Competition performance, although there are a few exceptions. If you have one of those few exceptions, make sure to notify Mr. Dale in advance as soon as possible. Edline Update Your students band grades are posted in edline. Once they are due to complete a pass-off the grade is entered as a zero until it is completed. Parents – don’t be upset if you see a zero, just know there is something your child needs to complete to get the grade changed. Also, they get a grade for keeping up with their music. Once their music is turned back in at the end of the year they will get an easy A. If they don’t keep up with their music and lose it all, they will be given a grade of 75 for not turning in the music. Make sure your child knows to be responsible and keep up with their music. Contests The band will ride the school buses to all trips except for the two competitions in Nashville. Two charter buses have been secured for the trips to Nashville, but there is only enough room for the band. At this time we do not have a bus for parents/fans. If enough parents want to ride a charter bus to Vanderbilt or McGavock competitions, then we can get another bus. If we can get 30 or more who want to ride, it would be approximately $50 a person depending on the number going. If someone wants to organize a group of parents to ride a bus this needs to be done SOON. We have a cookout or tailgating event at each competition. The band families hang out together and fellowship while waiting for our time to perform. It’s a great time to get to know the other families and everyone enjoys it. The band students meals are included in the band fee and do not need to buy meal card/tickets. Parents, family and friends who wish to participate in the cookout need to purchase a ticket. You can buy a competition meal card for all five competitions for $25.00. We highly recommend you buy the meal card. You can also purchase individual meal tickets for $5.00 each. See Lori Ferguson to buy your meal cards or tickets. She will have some available for purchase at the football game Friday night. Desoto Band Exhibition The date for this event has been changed once again. The final date is now set to 9/22. The band calendar and website will updated as soon as possible. The exhibition is going to be held at Desoto Central this year. It usually starts around 5pm. More details will be given as the date draws near regarding our scheduled show time. School Break Practices and Competition Fall Break is October 8, 9 and 12th. The band will be busy several days during this time. We have a home football game Thursday 10/8, a practice on 10/9, and a competition on 10/10 at Vanderbilt in Nashville. SBEC Trojan Band fa61dcc3-ff3d-452d-a339-ee273da102af.doc of 5 Page 4

School is out on September 11th for parent teacher conferences. We will have a band practice that day from 9 am to 12 noon. Spring Trip It’s not official yet but we are looking at Orlando. The band would be leaving on 4/28 immediately after school. Leave Orlando and 5/2 and return to SBEC on 5/3 early in the am. This is not confirmed yet and permission to miss school on 5/3 has not been requested yet. More details to come as this trip is finalized. Band Fees If you have band fees that are now due, please give your payment to Linda Jasmin or Mr. Dale. Some students have $25.00 due for shoes that are not part of the band fees. Pictures The band is scheduled to take pictures on 9/25 with Stroud Photography. The high school band will not be going to the away game at St. George this night, the Jr High band will go to St. George. The high school band will remain at school after pictures and have a full dress rehearsal for the show. Parents – this will be a good opportunity to take pictures as well. Our first competition will be the following day on 9/26. As always, thanks again to all the parents for everything they do to make our Band Boosters Organization a success.
