Tips from DEN on how to make your meetings and events
Ask the people who are attending what you can do to help them. Let them know
what help is available.
Check that the room you are using is accessible by wheelchair, is close to
accessible toilets, is tidy, well lit and has clear signage. Also check parking availability.
Consider the room layout - keep presenters away from windows and make sure they
can be easily seen and heard – sound amplification and induction loops may be needed. If food and refreshments are provided, make them easily accessible.
Ensure any visual aids, presentations or handouts are clear and follow good
practice guidelines. Make them available in different formats in advance, to help people who might find it difficult to follow them on the day.
Support people at the meeting or event – you may need to organise someone to
meet and guide them, and to check that any special support is in place and working properly.
Speak to the individuals attending – even if they are accompanied by interpreters,
guides or companions.
Identify any particular health and safety risks in advance – make sure that everyone
is aware of emergency evacuation routes and procedures.
Be careful to include everyone in discussions – people with sensory or speech
impairments might find it difficult to join in fully – make sure you give them a chance to participate.
Language needs to be considered – make sure you are confident in using disabilityrelated language.
Encourage feedback and learn from what worked well and what could be improved
