VISION AND MISSION OF WORLDWIDE MARRIAGE ENCOUNTER

VISION: "Love one another as I have loved you."

MISSION: Worldwide Marriage Encounter's mission of renewal in the church
and change in the world is to assist couples and priests to live fully intimate and responsible relationships by providing them with a Catholic "experience" and ongoing community support for such a lifestyle.

WEEKEND PILLAR PURPOSE

The PURPOSE of the Weekend Pillar is to “change the world” one couple and Priest at a time by providing them with a Catholic weekend experience.

The Weekend Pillar Focus is the weekend: 1. Recruiting couples & priests to experience the weekend, thereby strengthening their relationship, creating an awareness of their sacrament, extending the Lord’s call to serve, and renewing the church. Hosting the weekend in a manner that allows the couples to have confidence that we are well prepared for them and have everything in order so that they can focus on each other without distractions. Registration for the weekend. Ensure that from their first inquiry about the weekend - to their introduction and transition in to the community, that couples are warmly welcomed and reassured that they are in good hands. Prayer support for the weekend.

WEEKEND PILLAR COORDINATOR

The Weekend Pillar Coordinator is responsible for the overall preparation, support and operation of our WWME weekends. They are appointed by the Area Coordinators and their primary task is to ensure the smooth operation & support of weekends for the sake of our Friday Night Couples. They should have a broad understanding of the operation of the weekend and believe strongly in its power to change the world. Specific responsibilities of the Weekend Pillar Coordinators:     Attend and represent the Weekend Pillar at Area Board Meetings. Schedule and chair Weekend Pillar Meetings which include dialogue and sharing (2 or 3 per year). Work with other Pillar Leaders to identify couples who may be called to serve on the weekend pillar Empower, affirm & delegate to ensure that the following positions are filled and tasks are handled for each weekend. REGISTRATION COUPLE

The Registration Couple fields and promptly responds to phone calls, email and snail mail from couples and priests inquiring about Worldwide Marriage Encounter. They answer questions and send out literature when it is requested. They should be friendly, detailed oriented, timely and use a thorough registration system (available through the National Weekend Pillar or to create their own). Both husband and wife should participate in the duties as it is important for callers not just to speak to the wife. Often times the husband can lift fears or overcome objections of the male callers.

Specific responsibilities of the Registration Couple are:

 Provide weekend information to couples/priests who request it  Process registration forms received by snail mail, e-mail, and over the phone  Follow up with couples who requested more information or showed an interest in M.E.,        
but who have not yet registered Send confirmations to registered couples Follow completely for each weekend the Local Registration Process Forward registration fees to Finance Couple Keep Area Coordinators, and any other Leadership Couples informed on the status of the weekend Keep in close contact with registered couples as per the Local Registration Process Confer with Facility Couple (or Area Coordinators, or Admin Team) on special requests (diet, etc.), and weekend count If weekend is canceled:  Reconsolidate registrations for another weekend  Notify registered couples of the change Attend Weekend Pillar meetings 2-3 times per year, or as scheduled by the Weekend Pillar Coordinators

FRIDAY NIGHT REGISTRATION COUPLE

The Friday Night Registration Couple insures that the couples and priests are properly processed on Friday night so that the weekend can begin and run smoothly.

Specific responsibilities of the Friday Night Registration Couple:      



Obtain the weekend list from the Registration Couple Prepare name tags for couples/priests attending Weekend Prepare 3 X 5 cards with couples names & room numbers Arrive at the facility in ample time to prepare for the couples/priests arrival Greet arriving couples enthusiastically Insure proper registration of arriving couples, insure that the information we have on them is correct (address, phone, wedding date, religious affiliation, etc) assign rooms, give out keys and nametags, point out the conference room and advise them when to return to it Attend Weekend Pillar meetings 2-3 times per year, or as scheduled by the Weekend Pillar Coordinators

FACILITY COUPLE

The Facility Couple is responsible for the site where the weekend will take place. Some of their responsibilities would include visiting various hotels/motels/retreat centers or other appropriate sites in the local area, ensuring that the facility provides the appropriate atmosphere and fills our needs, negotiating contracts with the facility, submitting them to the Area Coordinators for approval and signatures.

Specific responsibilities of the Facility Couple are:

     

Obtain list of weekend dates from Area Coordinators by June for the next year Visit various hotels/motels/retreat centers or any other facilities able to host a weekend Determine the capability and desire of a facility to support a weekend Negotiate contracts with the facility Get contract approval and signature from the Area Coordinators Obtain any Weekend Couple’s special requirements (diet or handicap accessable room) from the Registration Couple  Attend Weekend Pillar meetings 2-3 times per year, or as scheduled by the Weekend Pillar Coordinators

WEEKEND SUPPLY COUPLE

The Weekend Supply Couple is responsible for maintaining proper inventories of weekend supplies, getting the needed supplies to the weekend, picking them upon Sunday evening after the weekend and storing them after the weekend.

Specific responsibilities of the Weekend Supply Couple:

     

Insure that all supplies & handouts required for a weekend are in stock and are in good condition Maintain proper inventories and restock supplies as needed Deliver supplies to the weekend and set up the conference room “Break down” the conference room after the weekend, pack up and store the remaining supplies until the next weekend Request reimbursement for supplies from the Finance Couple Attend Weekend Pillar meetings 2-3 times per year, or as scheduled by the Weekend Pillar Coordinators

SING OUT SUPPLY COUPLE

The Sing Out Supply Couple is responsible for maintaining proper inventories of sing out supplies, getting the needed supplies to the weekend before the close of the weekend on Sunday, setting up for the pot luck(or whatever sing out event the local area hosts), cleaning up and packing up the left over supplies and storing them after the weekend.

Specific responsibilities of the Sing Out Supply Couple:

    

Maintain inventory of needed supplies required for the sing out and restock supplies as needed Deliver supplies to the weekend in enough time to set up before the weekend ends Clean up after the event, pack up and store the remaining supplies until the next weekend Request reimbursement for supplies from the Finance Couple Attend Weekend Pillar meetings 2-3 times per year, or as scheduled by the Weekend Pillar Coordinators

AREA PRAYER COUPLE COORDINATOR

The Prayer Couple Coordinators communicate with the Circle Prayer Couple Coordinators to insure all weekend couples/priests have a prayer couple/priest. The Area Prayer Couple Coordinator will interface as necessary with the Circle Prayer Couple Coordinators, as needed, regarding couples who cancel before the weekend, couples that do not show up on Friday night of the weekend and couples who leave during the weekend

Specific responsibilities of the Area Prayer Couple Coordinators:

Obtain list of weekend couples from the Registration Couple Assign the Weekend Couples to the Circles by parish, geographically or by local process and send them to the Circle Prayer Couple Coordinators Notify the Circle Prayer Couple Coordinators of cancellations when they occur as the weekend approaches Follow up with the Circle Prayer Couple Coordinators to make sure all prayer letters (if prayer letters is your local custom) will be at the weekend and how and who will be bringing each letter Bring a list which contains the Weekend Couples, their assigned Prayer Couple, the prayer couple’s phone number and how each letter is being delivered to the weekend Friday night Notify appropriate Circle Prayer Couple Coordinators of no-shows Saturday morning Arrive at the Sing Out early with you list and make sure all prayer couples are present – if not ask another couple to greet the weekend couple whose prayer couple is absent Attend Weekend Pillar meetings 1-3 times per year, or as scheduled by the Weekend Pillar Coordinators







CIRCLE PRAYER COUPLE COORDINATOR

The Circle Prayer Couple Coordinators secure prayer couples from their circle for the couples/priests making the weekend who will be geographically or (local assignment procedure) feeding into the Circle. The Circle Prayer Couple Coordinator will interface as necessary with the Area Prayer Couple Coordinator, regarding couples who cancel before the weekend, couples that do not show up on Friday of the weekend or couples that leave the weekend.

Specific responsibilities of the Circle Prayer Couple Coordinators:

 


Obtain list of weekend couples feeding into your Circle from the Area Prayer Couple Coordinators. Collect prayer letters from Prayer Couples in your circle, one week prior to the Weekend Provide the Area Circle Prayer Couple Coordinator with a list of assigned Prayer Couples and how their letter will get to the weekend Make sure all letters get to the Weekend or (follow local procedure) Notify Prayer Couple of no-show or cancellation of their couple promptly  On an on-going basis:  Continue to recruit Prayer Couples Explain fully the responsibilities to all couples who accept being a Prayer Couple Attend Weekend Pillar meetings 1-3 times per year, or as scheduled by the Weekend Pillar Coordinators

PRAYER COUPLE (SPONSOR)

The Weekend Prayer Couple is a VITAL part of the weekend experience. Prayers are the fuel of the weekend! Through Prayer - God blesses the couples with the Graces to share, listen, accept and understand each other; to fight fair when & where necessary & to build the intimacy that God yearns for us to have. In addition Prayer Couples will help welcome their Sunday Night Couple/Priest into community by providing invitations and information about circle and community events.

SPECIFIC RESPONSIBILITES:   Accept invitation or better yet - call your Circle Prayer Couple Coordinator & volunteer - to be a Prayer Couple for the upcoming weekend. Write a prayer support letter(if this is your custom) to your couple/priest, make arrangements with the Circle Prayer Couple Coordinator to get them the letter before the weekend. Keep your couple/priest in your thoughts & prayers during the weekend. Light & burn a candle during the weekend for your couple Attend the Sing Out on Sunday afternoon (3:30 PM), and present your candle and A WWME Calendar to your couple Welcome your couple into community

   

ADDITIONAL SUGGESTIONS: * * Encourage your couple to attend the Weekend Reunion. Invite your couple to join you at upcoming Circles & Community Events.

AREA PRAYER VIGIL HOUR COORDINATOR

The Area Prayer Vigil Hour Coordinators work closely with the Circle Prayer Vigil Hour Coordinators to assure prayer coverage for all hours from noon Friday till 4 PM Sunday of the weekend.

Specific responsibilities of the Area Prayer Vigil Hour Coordinators are:

 Obtain date of Weekends  Collect Couples/priests names and the hour they are praying from each Circle Prayer Vigil
Hour Coordinator  Prepare the Vigil Hour Board, Prayer Scroll, or whatever your local custom is and bring it to the Weekend on Friday night  Attend Weekend Pillar meetings as scheduled by the Weekend Pillar Coordinators

CIRCLE VIGIL HOUR COORDINATOR

The Circle Prayer Vigil Hour Coordinators work closely with the Circle members to arrange for couples to pray during the hour slots for the entire forty-four hour weekend.

Specific responsibilities of the Prayer Vigil Hour Coordinators are:

 Obtain date of Weekends  Fill hours assigned to your circle  Call the Area Vigil Hour Coordinators with the names of the Circle members who are
praying during your assigned hours  Attend Weekend Pillar meetings as scheduled by the Weekend Pillar Coordinators

VIGIL HOUR PRAYER COUPLE

The Vigil Hour Prayer Couple is a VITAL part of the weekend experience. Prayers are the fuel of the weekend! Through Prayer - God blesses the couples with the Graces to share, listen, accept and understand each other; to fight fair when & where necessary & to build the intimacy that God yearns for us to have.

Specific Responsibilities: 

Pray during the hour you have chosen in whatever way is best for you You do not have to be physically together as a couple during this hour, although that is the idea You do not have to go to a church or chapel to pray – pray where ever you are at that hour

INVITING COORDINATOR

The Inviting Coordinator facilitatse the creation and implementation of an inviting plan for the local area. Their primary responsibility is to insure filling the scheduled weekends with the goal of needing to schedule more weekends to accommodate the demand. The Inviting Coordinators will facilitate Inviting Committee Meetings used to plan and implement inviting events and continue to build the inviting structure.

Specific responsibilities of the Inviting Coordinator are:



Facilitate Inviting Committee Meetings (2 – 3 per year or as needed) Facilitate the creation of an Inviting Plan Coordinate and assist at inviting events to fill the scheduled weekends Develop and maintain master schedule for inviting events Work closely with the Circle Inviting Couples to coordinate and assist in implementing inviting events Keep in touch with all Inviting Council (committee) members, to answer questions, solve problems and assure follow through Attend Area Board meetings 2- 3 times per year, or as scheduled by the Area Coordinator Attend Weekend Pillar meetings 2-3 times per year, or as scheduled by the Weekend Pillar Coordinator

CIRCLE INVITING COORDINATOR

The Circle Inviting Coordinator facilitates the creation and implementation of an inviting plan for the parishes within the circle’s geographic area. They interface with the Area Inviting Coordinator and Inviting Committee in an effort to fill the scheduled weekends and grow the Encounter so that the area needs to add weekends to accommodate the demand. The Circle Inviting Coordinators will participate in Inviting Committee Meetings and keep their Circle informed and engaged in the inviting plan of the local area.

Specific responsibilities of the Circle Inviting Coordinator:

      

Attend Inviting Committee Meetings (2 – 3 per year or as needed) Keep the Circle members apprised of the Area Inviting Plan & Goals and how the Circle is to participate in the Area Plan Facilitate the creation of an Inviting Plan for the Circle – Pulpit Talks, Information Events, Romance Dinners, Ministry Fair participation, Trifolds and Videos in Church literature racks, etc……dream Coordinate and assist at inviting events to help fill the scheduled weekends Maintain good records of where & when we have inviting events  Work closely with the Area Inviting Coordinator to inform them of Circle plans and to ask for assistance when needed Invite and encourage circle members to become Pulpiteers, and get them assistance for writing their Pulpit Talk

BULLETIN ANNOUNCEMENT COODINATOR

The Bulletin Announcement Coordinator is responsible for sending our monthly announcements to all churches in all diocese covered by the Local Area. They need to be computer literate in MS Word, MS Excel, MS Works OR Word Perfect so they can utilize Broadcast Faxing of the announcements.

Specific responsibilities of the Bulletin Announcement Coordinator:         

Set up the Broadcast Data Bases needed to broadcast Fax Broadcast Fax Bulletin Announcements monthly to all churches all dioceses covered by the local area Set up data bases for dioceses in outreach areas as directed by the Area Coordinators and include them each month in the broadcast Use the Bulletin Announcement Catalogue to change the announcements according to the season. Maintain IFAP (Interfaith Awareness & Publicity) materials electronically, to send occasionally as an attachment with the broadcast fax When directed, by the Inviting Coordinators – add the inquiry regarding setting up Pulpit Talks to designated parishes in the broadcast fax Periodically survey parishes to see if they are getting & running the announcements Keep the Area Coordinators informed of the cost of the faxes Apply for reimbursement when needed

MEDIA COORDINATOR
The Media Coordinators are responsible for promoting Marriage Encounter through various media outlets. They will arrange for advertisements/announcements with local media, such as radio stations, magazines, newspapers, public access cable television and other media as deemed appropriate. They will also provide information on upcoming local events that in which WWME could participate for exposure to the Inviting Coordinators, Area Leadership Team, and others as necessary.

Specific responsibilities of the Media Coordinators:

Maintain list of media points of contact for: · Local media · Marriage Encounter media Maintain knowledge of local Marriage Encounter events Subscribe to and read local media publications, as appropriate Receive budget approval from the Area Leadership Team Develop action plan for media advertising Arrange for advertisements/announcements with local media Respond to media comments re: marriage and Marriage Encounter Provide information on upcoming local events to the Leadership Team, Inviting Coordinators, and others as necessary if WWME participation would be beneficial for exposure Attend Inviting Committee meetings 2-3 per year or as scheduled by the Inviting Coordinators Attend Weekend Pillar Meetings when possible 2-3 per year or as scheduled by the Weekend Pillar Coordinator

800 # EMAIL COUPLE

The 800 E-MAIL CONTACT COUPLE is primarily responsible for providing information on Marriage Encounter to interested couples who have called the national 800 number looking for information.

Specific responsibilities of the 800 E-mail Contact Couple are:

        

Receive inquiries from the 800 number from couples interested in more information on Marriage Encounter Respond to all inquiries from the 800 number Send brochure/literature to couples who request more information Obtain names, address and phone number on all inquiries Work closely with the Registration Couple to:  Keep up-to-date on the status of the upcoming weekend  Follow up on all couples who have requested more information Maintain information on and refer to other faith expressions, as possible Maintain information on and refer to Retrouvaille, as necessary Work closely with the Inviting Coordinators to develop new literature and promote M.E. Attend Inviting Committee meetings 2-3 times per year, or as scheduled by the Inviting Coordinator.

PARISH CONTACT COUPLE

The Parish Contact Couple is the vital connection between their M.E. Circle, the Recruiting Committee and the individual parishes. They make sure their parish is informed about Marriage Encounter activities and scheduled weekends. They should be active in their Circle. Specific responsibilities of the Parish Contact Couple:

 Make appointment to visit and notify the parish that you are the new/current parish contact
for Marriage Encounter Provide Pastor with Info package on WWME Identify how WWME is already or has helped his parish. Ask Pastor what we (WWME) can do to help his parish.  Develop and/or maintain data on the parish, such as: Mailing address and phone number(s) Contact names, i.e. Pastor, Associate Pastor, Deacon, etc. Date of last pulpit talk at your parish. Have Pastor, Associate Pastor and Deacons been Encountered? Work closely with the Recruiting Committee in developing bulletin announcements, schedules and blitzes.  Ensure bulletin announcements/inserts are put in the bulletins prior to the scheduled M.E. weekends  Assist with scheduling Pulpit Talks Ensure that M.E. literature (tri-folds, tear-slips, brochures) is always available in the church vestibule and/or meeting area(s) Assist Pastors in our joint mission of renewing the Church. Provide feedback to Marriage Encounter via Circle Leaders from Pastors. Identify Replacement Couple & Review with Circle Leader before end of term. Mentor/train your replacement. Parish Contact Couples report to their Circle Leaders or Circle Inviting Couple.

PULPIT TALK COORDINATOR AREA/CIRCLE

The Pulpit Talk Coordinators are responsible for scheduling pulpit talks at the parishes throughout the diocese(s). The Pulpit Talk Coordinators will maintain contact with other area Pulpiteer Scheduling Couple to assure all scheduled talks have couples/priests to present the talks.

Specific responsibilities of the Pulpit Talk Coordinators are:   Develop process and letters to contact parishes to schedule pulpit talks and follow up 1 week prior to scheduled talk Contact Parishes to schedule pulpit talks Communicate need for Pulpiteers to the Pulpiteer Scheduling Couple Maintain data on:  Parish Contact Couples  Personnel to contact at the parish  Record of dates and locations of Pulpit Talks  All parish activity relating to inviting and promotion i.e. Ministry Fair, Parish Fair, etc  Develop and maintain ongoing schedule of Pulpit Talks Keep in close contact with the Circle Pulpit Talk Coordinators (if applicable) to avoid duplicate efforts and to keep accurate records of inviting activity Attend Inviting Council Meetings quarterly, or as scheduled by the Area Inviting Coordinator




 

PULPITEER SCHEDULING COUPLE AREA/CIRCLE
The Pulpiteer Scheduling Couple is responsible for scheduling pulpiteers for scheduled pulpit talks The Pulpiteer Scheduling Couple will maintain contact with Pulpit Talk Scheduling Couple to assure all scheduled pulpits have couples/priests to present the talks.

Specific responsibilities of the Pulpiteer Scheduling Couple are:  Encourage couples to become Pulpiteers  Communicate often with the Pulpit Talk Scheduling Couple  Maintain :  Inviting & Pulpit Talk Guide  List of Workshoppers for new Pulpiteers  List of Pulpiteers  Attend Inviting Council Meetings quarterly, or as scheduled by the Area Inviting Coordinator

PULPITEER

Pulpiteers are couples and priests that are enthusiastic about the WWME weekend. Because of their enthusiasm they write a Pulpit Talk and are willing to present them at churches, Romance Dinners, Ministry Fares, Information Nights, etc.

Specific responsibilities of Pulpiteers:

WEB PAGE COORDINATOR

The primary responsibility of the Web Page Coordinator is to maintain current up to date Local and National Information on the Local Web Page. If they have the expertise and desire – they can also design the page. Specific responsibilities of the Web Page Coordinator are:      Display Weekend Dates Keep Web Page current Communicate with Area Leaders frequently about upcoming Local, Section and National events for page updating Visit the Section and National pages regularly to assure their information on your local page is current Link to local Retrouvaille and Engaged Encounter sites (if available)

WORLD MARRIAGE DAY COORDINATOR

The World Marriage Day Coordinators are responsible for the promotion and celebration of World Marriage Day, occurring on the second Sunday of February each year. They will work closely with members of the Area Board and parish contacts to promote World Marriage Day in the parishes. They will also strive to obtain the endorsement of the Bishop for diocese-wide celebration.

Specific responsibilities of the World Marriage Day Coordinators are:

 Receive the WMD Packet via snail mail no later than June of each year or obtain it on the web site at wmd.wwme.org  Work closely with other members of the Area Board and Marriage Encounter    
community to promote World Marriage Day Work closely with parish liturgy committees and other representatives from the diocese to promote WMD Attempt to obtain the endorsement of the Bishop Forward liturgy packets to parishes that celebrate WMD if that is not done through the Family Life office of the Diocese Attend Weekend Pillar meetings 2-3 times per year, or as scheduled by the Weekend Pillar Coordinators

WORLD PRIEST DAY COORDINATOR

The World Priest Day Coordinators are responsible for the promotion and celebration of World Priest Day, occurring on the third Sunday in September each year. They will work closely with members of the Weekend Pillar especially Circle Leaders and members and/or those designated by the Area Coordinators, to promote World Priest Day in the parishes.

Specific responsibilities of the World Priest Day Coordinators are:

 Receive the WPD Packet via snail mail no later than May of each year or obtain it on the web site at wpd.wwme.org  Work closely with other members of the Weekend Pillar and Marriage Encounter   
community to promote World Priest Day Develop creative ways to romance, affirm and build relationship with the priests in the diocese(s) Generate enthusiasm in the community for the celebration of WPD Attend Weekend Pillar meetings 2-3 times per year, or as scheduled by the Weekend Pillar Coordinators
