HERNDER ESTATE WINES Brides today usually know what they want but don’t have the time to do it. Here at Hernder’s, we do it all for you! Our All-Inclusive Wedding Package provides almost everything from in-house consulting, to setting up your wedding reception, preparing the perfect meal, serving our quality VQA wines to cutting and serving the wedding cake later in the evening. You simply choose your menu, linen colors, purchase a wedding cake (if you want one), centerpieces, and items for your registration table (sign in book, money box, seating plan, favors) and invite the guests. We do the rest!!!! People want to know, “How much is it going to cost me for everything?” Hernder has simplified it into one price! (the room, food, bar and all the different taxes) Our 2010 all-Inclusive packages start @ $125 (per adult) & include; Room Rental applicable to each space. All set-up, table linen, standard chair covers, dishes, flatware, glassware, food and bar service and clean up. Hernder’s regular fee for reception DJ services (including dinner music, introductions, lighting and dancing until 1:00 am) is $800.00 + GST. However, this service is completely complimentary providing minimum adult attendance requirements are met. Please note that Hernder Estates does not allow the use of any outside DJ services. This includes your chairs and signing table with linen. The lawn is available for a 4:00 service with white folding chairs and the East Patio is available at 4:30 with the wrought iron chairs. (In case of inclement weather your service will take place in your reception room with the same fee). First function to book will have first choice as to where their ceremony will take place. Ceremony music and microphone services are available for your ceremony at the rate of $250.00 + GST. 5p.m ONLY). Your room may be decorated on the day prior, providing there is NO function booked. If the room is booked the day before yours, we will have the room ready for 10a.m. on the day of your function. Centerpieces NO votives or open candles. All open flames MUST BE enclosed by glass and have a 5” clearance over the flame. We suggest floating candles, if any. If candles are brought in that are not acceptable we will remove them from the tables. Ask before you rent or buy anything with a flame. No decorative glitter is allowed. Confetti, Rice, or Birdseed We do not allow of the above inside or out for the safety of our guests. Lost and Found We (Hernder’s) do not assume personal or financial responsibility or liability for lost or stolen items at the winery the evening of or after your reception, including rental décor and personal items left on the premises. All items pertaining to your wedding should be taken with you that evening. If we do find an article left behind, it will be put in the Manager’s office for pick-up. We strongly suggest you designate a person to be responsible for any removal of rental or personal items. Rehearsal Time Please schedule rehearsal times during a weekend or weekday afternoon, as the winery closes daily at 5:00p.m. If an evening rehearsal is required, special arrangements must be made first. Rentals We offer these items: Wedding Arch $50.00, Bird Cage Money Box $50.00. Wedding Favours Half bottles (375ml) of Vidal with your private labels are available for purchase for your guests at a price of $6.00 per bottle (includes, bottle, wine, label and taxes). Taxi’s We use several cab companies and will call for cabs for your guests at their own expense. We do recommend shuttles if a lot of your guests are not from the area (Laidlaw is a great source, call Tammy at (905) 704-9780 for a quote). Cars can be left on the property overnight but we are not responsible for them. Please make sure you read Hernder Terms and Conditions as well as our Alcohol Consumption Policy in this package for more information and details. If further questions or clarification is needed, please contact Angel at (905) 684-3300 ex 222. Smoking ~ Outside Only Things You Should Know…. To confirm your date, a contract and a deposit of $2000.00 (no credit cards) must be received by Hernder Estate Wines. If you are having your ceremony on site, a location must be chosen at time of booking, as there could be another wedding ceremony and choice is given to whomever booked first. The DJ is only given your information the year of your wedding. You can certainly contact him earlier but don’t assume he will know who you are until the year of your wedding. We offer food tastings the last Sunday of January and February. Early January you will be contacted with instructions to the specific dates of the tastings. It is up to you to contact Angel via email (firstname.lastname@example.org) In the subject line provide the month that you want to do your tasting. Your request for a food tasting must be submitted at least two weeks prior to the tasting. Brides and Grooms are free. Any additional guests are $10 and this is due upon arrival at the tasting. At the tasting, the Chef(s) will be present as well as the DJ. After the initial signing of the contract you will meet with Angel at least 3 months prior to your wedding. At this time you will go over menu and bar selections, timing, linen choices, etc.. The last meeting is scheduled for the Monday morning prior to your wedding. If this is an issue, we will meet earlier. (Thursday or Friday the week prior) to ensure that we have all information we need. At the final meeting, we will need your confirmed numbers, ages of children with menu choice, any dietary issues or allergies, seating plan and payment. If payment is not made the Monday prior to your wedding, a certified cheque must be received by us at least 48 hours prior to your wedding. Even though your wedding is paid for in advance, you will have until the Wednesday at noon to cancel guests and we will reimburse you those funds. If people are added the remaining money is owed within 7 days after your function. Set-up Time and Rehearsal If your room is not booked the day before your function, it will be set the day prior to your event. If it is booked, your room will be ready at 10:00am the day of. If your ceremony is inside, rehearsals must be made during business hours. If your ceremony is outdoors, we don’t have to be open for your rehearsal, but please clear the time and date with Angel to ensure another party is not using the area. We will not handle centerpieces, items for your receiving tables or cake (until after the picture), Please ensure someone is able to come and put these things out for you. We do have a place to store things up to two days prior. Please make arrangements through Angel, as she will make sure the wedding co-coordinator is aware of these items.
