SENIOR EXECUTIVE ASSISTANT

EDUCATION, EXPERIENCE AND TRAINING REQUIREMENTS
  A minimum of 5 years progressively more responsible secretarial experience
  Or successful completion of secretarial and/or administrative certificate program and
  4 years progressively more responsible secretarial experience
  Minimum 2 years experience working in an executive office
  Experience in keyboarding, word processing, spreadsheet, presentation software
  using MS Word, Excel and PowerPoint, and experience with databases, intranet and
  other standard computer applications
  Experience preparing, formatting, editing and proof-reading executive
  correspondence, records, and information
  Experience in MS Outlook to schedule meetings and manage an executive calendar
  Experience using voice recording equipment and transcribing tapes
  50 WPM keyboarding speed required

ESSENTIAL KNOWLEDGE, SKILLS AND ABILITIES
Knowledge:
  Excellent understanding of office practices and procedures in an executive office
  Knowledge of business English, grammar, spelling, business language and formats
  Excellent knowledge of formats, approval/routing requirements for executive
  correspondence
  Knowledge of methods for managing information both in hard copy and electronic
  form

Skills and Abilities:
Ability to:
   Communicate both verbally and in writing, by providing and obtaining information,
   effectively, clearly, and correctly, in a timely manner, and at an appropriate level and
   format, while maintaining confidentiality.
   Code, process, store, and track records and information accurately, efficiently and
   effectively, in a timely manner, and in accordance with policies and procedures while
   maintaining confidentiality.
   Effectively organize a high volume workload efficiently and independently, producing
   accurate and quality work within acceptable timeframes and taking into
   consideration changing and competing priorities, tight deadlines, and the nature and
   importance of the request.
   Manage an executive’s agenda utilizing advanced Microsoft Outlook skills.
   Plan and co-ordinate meetings involving a diverse range of participants, jurisdictions
   and geographic locations effectively and efficiently.
   Reference and apply a variety of policies, rules and guidelines to determine an
   appropriate course of action.
   Compose and proof read correspondence.
   Research and retrieve all pertinent information associated with a particular topic, and
   effectively summarize the information.

Establish and maintain effective working relationships with a variety of groups and
individuals including executive, clients and media to complete work assignments,
exchange information and provide services.
Contribute to group objectives and enhance output in a team environment.
Exercise a high degree of tact, discretion, judgement, initiative and confidentiality.
Demonstrate a strong attention to detail.
Utilize computer applications such as word processor, presentation software,
internet, e-mail, spreadsheet and database software to retrieve data and produce
and edit a variety of reports, charts and graphs.
