Position description
The Canadian Paralympic Committee (CPC) is seeking an organized, dynamic, and detail-
oriented individual to serve as Executive Assistant and Office Coordinator in a fast-paced,
growing environment. The position offers and exciting opportunity to work in partnership with the
Chief Executive Officer (CEO) and CPC Staff to ensure the effective planning and coordination of
various office and leadership programs. As the front line representative to the general public, the
position incumbent must present strong communication and customer relations skills.

Key areas of responsibility include:

1)      Support the CEO
2)      Annual General Meeting
3)      Office operations
4)      Finance
5)      Human resource administration

The successful candidate shall seek and receive overall direction from the CPC’s Chief Executive

Title: Executive Assistant & Office Coordinator

Overview Provide direct assistance to the Chief Executive Officer and overall administrative
support for CPC Offices

   • Bachelor's degree preferred; at least three years of administrative experience required,
   • Excellent computer skills, the Microsoft Windows computer environment, Microsoft Word,
        Excel, PowerPoint, and electronic communications tools: internet and email required,
   • Demonstrated organizational skills required; proven problem solving and interpersonal
        skills, proven ability to work w/ multiple deadlines and multiple priorities required,
   • Ability to work across a variety of projects flexibility, adaptability and ability to work in a
        changing environment required,
   • Capable of working with minimal supervision,
   • Bilingualism is considered an asset.

Areas of Responsibility:

CPC Office Operations:
    • Coordinate & manage office operations (mailing, telecommunications, office space &
        furniture requirements, computer & networking systems, general/electronic filing system,
        warehouse records, office insurance, general office supplies, etc.),
    • Coordinate Staff meetings and CPC Tasklist,
    • Populate Zeus database with CPC key stakeholders and contacts,
    • Coordinate CPC/Canadian Paralympic Foundation (CPF) translation services (non-
        press release and non-website related),
    • Liaise with CPF in relation to office administration and procedures.

     • Liaise with accountant services regarding weekly expense coding and financial audits,
     • Liaise with Revenue Canada as required.

Human Resources:
    • Manage Staff vacation/overtime records, employee-exit appreciation,
    • Provide Office Orientation for all new CPC staff (manual, contract procedures, office
       operation, staff accounts, resources, etc.),
    • Liaise with benefits company,
    • Assist Staff in any hiring processes (interview scheduling, hiring committees, volunteer
       background checks, etc.).

Canadian Paralympic Congress & Board of Director Meetings:
     • Coordinate overall event logistics in compliance with CPC Policies (event plan,
        locations, registration, knowledge mobilization, staff roles, signage, finances,
        Paralympic social, evaluation, set up and take down, etc.),
     • Develop, coordinate and distribute event materials (resources, reports, etc.), Annual
        Report, and Annual General Meeting Minutes,
     • Coordinate travel, accommodation and meeting room arrangements for Staff, Board of
        Directors (BOD) and invited Guests,
     • Liaise with appropriate Staff regarding Congress topic and content development,
     • Liaise with Nominations Committee (election of new BOD Member, BOD Orientation
          Manual, gifting, etc.).

Chief Executive Officer Supportive Duties:
     • Under the direction of the CEO, assist with the management of the Hall of Fame
        Program, Sponsorship Program, funding applications and CPC’s annual budget process
     • Manage the CEO’s appointment schedule, travel & accommodation arrangements,
        expense reporting and conference calls
     • Schedule meetings, confirming attendees, setting up meeting rooms, meeting support
     • Answer general phone calls, organize CEO’s e-mail and respond & create
        correspondence as directed
     • Maintain and update CEO’s contacts/business cards
     • Assist with additional duties as required, under the direction of the Chief Executive
