PROCEDURES FOR HIRING STUDENT ASSISTANTS
1. Develop a brief summary of job duties to be performed by the student assistant.
2. Identify appropriate wage rate. These rates will be evaluated and established yearly by the Office of Human Resources in conjunction with the
Provost’s office.
3. Interview and select student employees.
5. Complete personnel forms:
Student Assistant Employment Agreement
I-9 Form (attach copies of proof of identity)
Tax withholding (W-4) document
Substance Abuse Policy Acknowledgment
Demographic form
6. Obtain appropriate signatures. If student is an international student, agreement MUST be signed by the International Student Advisor.
7. When submitting contract to HR, be sure to identify the supervisor/manager who will be responsible for reviewing the student’s work and for
authorizing hours of pay. Also enter the workgroup, if known. A timekeeper must also be identified. Both of these individuals will play a key role
in authorizing and submitting of the student’s web time sheet for payment. It is also important to identify a backup supervisor and backup
timekeeper for student employees.
8. Review completed forms. Contracts will not be processed if any form is incomplete.
9. Discuss work hours with your student, and advise them that they cannot work more than 40 hours total in combined positions at UB.
10. Submit forms a minimum of three weeks in advance of the contract start date to avoid late payments to your student. Salary advances will NOT
be issued if the contract is not received three weeks in advance.
11. Advise the student that:
a) bi-weekly timesheets must be submitted to receive pay;
b) they are responsible for reporting in writing to HR if they no longer meet the criteria for FICA exemption.
