PowerPoint Guidelines
 80/20 Rule o 80% of your time on content research/development o 20% of your time on designing the PowerPoint 6 x 6 Rule o No more than 6 bullets o No more than 6 words per bullet 10/20/30 Rule o 10 sides maximum o 20 minutes or less o 30 pt. text size minimum General Rules: “We have to bake the cake before we can frost it.” o Plan and outline the content before you touch PowerPoint o Light background with dark text -or- dark background with light text o Cite sources… under images, after quotes, on last slide for research o Keep it simple  dissolve/fade transitions  animation only when used to enhance the message  no more than 2, easy to read fonts in the entire presentation

Using the Ribbon

1. Office Button: Contains all the features that are used to open or start a new document and share, print, publish, or close your existing document. 2. Quick Access Toolbar: A customizable area to put frequently used tools. To add a command, right-click the tool and click “Add to Quick Access Toolbar.” 3. Tabs: Contain tools commonly used together. For example, click the “Insert” tab to insert pictures, tables, charts, WordArt, movies, etc. 4. Commands: Tools used to perform a specific task. For example, click the “New Slide” command to add a new slide to your presentation. 5. Groups: Commands that perform similar tasks are “grouped” together. For example, bold, italic, size, color, etc. are contained in the “Font” group.



Basic Slide Formatting
1. Create a new slide: Click the Home tab… click the New Slide button TIP: Click the pull-down arrow to select the desired slide layout. 2. Change slide layout: Right-click the slide… choose Layout -----------------------  3. Enter the slide title: Click the Click to add title box… type the title of the slide 4. Change the indent of your bulleted list: Click the Left or Right indent tool ------  5. Change the slide theme: Click the Design tab… select the desired theme

Working with Images
1. Move an image: Click and drag the center of the image to a new location 2. Resize an image: Click and drag the corner of the picture --------------------------  3. Rotate an image: Click and drag the green circle on the picture

Insert Clip Art
1. Click the Insert tab… choose Clip Art… type a keyword search… click Go 2. Click one of the images… it will be added to the current slide ---------------------- 

Insert Pictures
1. Click the Insert tab… click the Picture button 2. Locate the picture you want to insert… click the Insert button

Insert Movies
1. Click the Insert tab 2. Click the Movie button… select Movie from File --------------------------------------  3. Locate the video file… double-click the file to insert the video TIP: A message will ask if you want to play the video automatically. In most cases, choose When Clicked. This will allow you to start and pause the video. 4. To play the video, click the Slide Show button in the lower-right corner ---------  TIP: You can also press F5 on the keyboard. 5. When you reach the video slide, click the video to play… click again to pause TIP: A video does not become part of the file like a picture does. Create a folder to store your PowerPoint presentations & videos together.



Insert Music
1. Click the Insert tab… click the Sound button… select Sound from File ---------  2. Locate the music file… double-click the file to insert the song TIP: A message will ask if you want to play the sound automatically. In most cases, choose Automatically. This will start the song when the slide appears. 3. A speaker icon will appear on the slide… double-click the speaker 4. Place checkmarks next to Hide During Show and Loop Until Stopped --------  TIP: If you want the song to continue playing through the entire presentation, click the pull-down arrow next to Play Sound… select Play across slides. --  TIP: A song does not become part of the file like a picture does. Create a folder to store your PowerPoint presentations & songs together.

Insert a Hyperlink
1. Type the website address… for example: www.np.k12.mn.us 2. After the address, press the Spacebar or Enter… the address will hyperlink

TIP: You can also copy/paste an address from a website. 3. In some cases, the address may be too long --------------------------------------------  4. Highlight the text… right-click the highlighted area… choose Edit Hyperlink 5. At the top of the pop-up window, highlight and delete the Text to display box  6. Type the text you would like displayed on the slide… click the OK button ------- 

Create an Action Button
1. Click the Insert tab… click the Shapes pull-down arrow -----------------------------  2. At the bottom of the menu, select one of the Action Buttons ----------------------  3. The Action Settings pop-up menu will appear 4. Click the Hyperlink to pull-down arrow to customize the button’s action TIP: You can set an action for any object by selecting the object… clicking the Insert tab… and clicking the Action button. --------------------------------------------- 



Insert a Slide From Another Presentation
1. On the Home tab, click the pull-down arrow under the New Slide button 2. At the bottom of the menu, click the Reuse Slides option ---------------------------  3. On the right-side, click the Browse button… click Browse File 4. Locate the PowerPoint file… click each slide you want inserted TIP: Click the Keep source formatting box to retain the original design.

Create an Instant Photo Album
1. Click the Insert tab… click the Photo Album pull-down arrow 2. Click the New Photo Album option… click the File/Disk button -------------------  3. Locate the pictures you want to insert… click the Insert button TIP: Press Ctrl + A on the keyboard to “select all” the pictures in a folder. 4. Pictures can be moved Up/Down, Removed, or modify the colors -----------------  5. Click the Create button… a new photo album will be created 6. To add narration, click the Slide Show tab… click Record Narration… OK 7. Record the narration for each slide… click once to view the next slide 8. Press the Esc key when you are done recording… click the Save button

Insert SmartArt
1. Click the Insert tab… click the SmartArt button 2. Choose a SmartArt graphic… click the OK button ------------------------------------  3. On the right-side of the SmartArt frame… click the double arrow -----------------  4. Type information on the bulleted outline to complete the SmartArt graphic 5. Experiment with the Layouts and SmartArt Styles groups

Print Slide Handouts
1. Click the View tab… click the Handouts Master button 2. Click the Slides Per Page button ----------------------------------------------------------  TIP: The 3 Slides option will give students space to take notes.
