                                             3. Create a buzz around your event using Social Promotion Tools
                                             Email invitations are a great first step in getting the word out about your event, but
                                             your marketing efforts should not stop there. By promoting your event through a
                                             variety of other marketing channels you can extend your marketing reach significantly.
                                             Use social promotion tools to create a buzz around your event, to harness the power
                                             of Facebook, Twitter and LinkedIn, and expand your reach by empowering your
                                             attendees to promote your event with integrated social sharing. RegOnline makes
                                             social sharing easy for you, as the event organiser, and for attendees after they
                                             register for the event.

                                             After activating your RegOnline event, several promotional options will display and you
                                             can then choose which ones you would like to post your event to.

                                             Posting your event to Facebook
                                             Within RegOnline you can easily push your event to Facebook where friends can see
                                             your event and share it with others. After you activate your event, simply fill out a few
                                             details about the event and hit publish. The system will ask for permission to integrate
                                             with your Facebook account and once granted, an event is automatically created. The

                                             description so your friends simply click on the link and are taken directly to the event

                                             When you select the Twitter button, a new window will open prompting you to log in

                                              8 SIMPLE WAYS TO IMPROVE YOUR REGISTRATION

                                              Did you know that a smooth registration process can dramatically impact your
                                              attendees?

                                              A smooth, comfortable registration process can change the way they look at your
                                              organisation. It can decrease complications and complaints at your events. It can
                                              even lead to higher attendance and lower no-show rates. Over the past several
                                              years, we’ve invested hundreds of hours into studying how attendees flow through
                                              the registration process. We’ve identified what they like and what confuses them
                                              and come up with some simple, yet little-known techniques that will revolutionise
                                              your registration process and impress your attendees.

                                                    We have been using ACTIVE Network’s SMB product,
                                                    RegOnline, since November 2008 and have been
                                                    extremely pleased with the product and services to
                                                    manage our company’s event registration needs. We hold
                                                    many courses each month and through RegOnline, the
                                                    registration processes has been smooth, user friendly and

                                              1. Get rid of paper-based processes
                                              Event organisers often worry that high-tech registration options will alienate a portion
                                              of their target audience. Yet you’ll be surprised how quickly even your most
                                              traditional users will adapt to online registration. In fact, many event organisers have
                                              found that removing paper registration altogether has led to higher attendance,
                                              happier attendees and much fewer complications at events.

                                              CASE IN POINT: Handling registration for its larger conventions and events used to
                                              be a major data entry project for the Dairy Queen events team. They had to process
                                              mail-in registration forms for franchise owners, family members and vendors. That
                                              meant entering all of the registrants, including any attending family members, keeping
                                              track of all of their activities. Now that Dairy Queen is using RegOnline, nearly 80% of
                                              its attendees are registering online and the number continues to climb each year.

                                              2. Encourage Groups
                                              Event attendance in groups is the preferred option for many attendees and
                                              organisations, so it is important to offer this as an option if possible. RegOnline

                                               a. Provide discounts for people who register as part of a group. You can easily set
                                               this up in RegOnline by adding a ’Group Discount Rule’ for your Event. When Group
                                               Registrations are enabled for your registration form, you are allowing one person to
                                               register a number of people, fill in their personal information, and then pay for that
                                               group with one transaction. This practice not only increases attendance, but also
                                               increases attendees’ satisfaction at your events.

                                               b. Make group registration as easy as possible by handling it within your standard
                                               registration process. With RegOnline it’s easy to add group members and the system
                                               is set up to auto-insert information wherever possible. Also, don’t make the mistake
                                               of failing to communicate with individual group members. RegOnline is already set up
                                               to send confirmations and reminders to the group leaders and every member of the

                                             4. Do the Work for Your Registrants
                                             Event registrants can become frustrated by the length of time it takes to fill out a
                                             registration form. Yet many registrants are previous customers of the organisation
                                             holding the event, meaning that most of their personal information will have been
                                             captured by the organisation before. In this case the auto-recall option in RegOnline
                                             is a great way to speed up registration.

                                             Using auto-recall, event organisers can set up registration to pre-populate personal
                                             and business information for their registrants wherever possible. Not only does
                                             this practice dramatically reduce time spent in the registration process, but it also
                                             decreases the number of people who abandon the process and reduces errors in
                                             your reporting. This simple feature can improve the attendee experience while making
                                             sure you always have accurate contact information for follow-ups and promotions.

                                             5. Re-Confirm to Eliminate No Shows
                                             If you’re like most event organisers, seeing a stack of unused name badges at the end
                                             of an event is frustrating. The good news is that there is a way to identify no-shows
                                             before your events—yet it’s one of the least-used features in event registration. It’s
                                             called “click-to-confirm” reminders, and it allows event organisers to send a series of
                                             triggered email reminders leading up to an event, asking attendees to confirm that
                                             they will be attending the event. This practice allows organisers to weed out people
                                             who have changed their minds and open up spaces for sold out events. In addition,
                                             the extra action taken by your attendees reminds them about the event and reaffirms
                                             their commitment to attend.

                                             CASE IN POINT: The National Union of Students (NUS) is Britain’s confederation of
                                             around 600 student unions. The NUS holds hundreds of events each year of a wide
                                             variety of sizes and types for its members. They needed a system to manage these
                                             events which was highly flexible and easy-to-use. The business model of pay per
                                             registration has allowed the NUS to offer their members, associates and partners the
                                             best possible event registration experience to meet their ongoing needs without the
                                             capital expenditure required to create a custom-made system.

                                             6. Make Networking Easier with Directories
                                             For many event attendees, the networking side of events is the most important, and
                                             event organisers are increasingly dependent on good networking opportunities to
                                             make their events stand out. Those opportunities start during the registration process,
                                             so consider providing a quick link to a directory of event attendees both during your
                                             registration process and in your confirmation email. The kind of information you
                                             provide on that directory will vary, but many organisers include names of attendees,
                                             email addresses and even a list of sessions people are attending. This technique
                                             immediately engages your attendee with your event, allowing them to reach out to
                                             friends or set up meetings.

                                                 7. Build Better Badges
                                                 A badge is a badge, right? Nope. Not anymore. In fact, top event organisers are
                                                 realising that badges can play a crucial role in tying registration information to the
                                                 event. RegOnline allows you to enhance your badges with group information, colour
                                                 coding, an agenda and even an individual QR code for each participant with scan-able
                                                 contact information for easy exchange.

                                                 Make sure you’re branding your badges, agendas and signage to match your
                                                 registration form. In addition, provide your attendees with a complete list of their
                                                 session selections and preferences when they receive their badge. This practice
                                                 will immediately address any issues before confusion sets in, and it will remind your
                                                 attendees of the selections they made during the registration process.

                                                 8. Make Every Question Relevant
                                                 Usability studies show that attendees struggle with long registration forms, particularly
                                                 when those forms contain information that isn’t relevant to the attendee. RegOnline

                                                 based on information previously entered. So, for example, if I have a golf networking

                                                 t-shirt sizes or transportation. On the other hand, if that attendee chooses “yes” he will
                                                 automatically see the appropriate questions.

                                                 Very complicated events are using conditional logic to dramatically streamline the
                                                 registration process, but even small events can use this technology to greatly reduce
                                                 registration headaches for attendees while reducing workload for event organisers.

                                             SURVEY FOR SUCCESS

                                             Surveys are an invaluable tool for event organisers to collect meaningful information
                                             before, during and after an event. But after the flurry and excitement of an event, the
                                             post-event survey can often be overlooked and becomes an afterthought. Survey
                                             questions are thrown together quickly and in many cases, the data collected isn’t as
                                             good as expected and sometimes is never even used.

                                             To avoid this, it is recommended that you plan your post-event survey in advance,
                                             and have it all set up and ready to send automatically once the event has concluded.
                                             Within RegOnline, surveys are really easy to design, send and analyse, but before
                                             you dive into your survey creation it’s important to spend some time thinking about
                                             the information you want to get from it and how you’re going to do that. In this section
                                             we’ll provide some top tips and guidelines on designing and deploying event surveys
                                             for success.

                                             1. Work back from your main goals and objectives
                                             Before creating your survey, make a list of the key things you want to learn from it.
                                             Decide what data will validate whether or not you have achieved your goals and
                                             consider who will be using this data and how they will be using it. This could be you
                                             and your event management team, it could be your client if you’re an independent
                                             planner or agency, and it will mostly be the senior leaders of the organisation behind
                                             the event who will want to put metrics and value to the dollars invested.

                                             2. Design for maximum response:
                                             Create surveys that are quick and easy to complete
                                             Offer surveys in an easy to use electronic format that is also accessible through
                                             smartphones and tablets. Ensure the design and interface is appealing. The RegOnline

                                             When it comes to survey questions, focus on quality, not quantity

                                              Offer an incentive
                                              It is always a nice idea to offer survey respondents something in return for their time
                                              and feedback. Entry into a draw or competition is one option, or you could offer a free
                                              download of a whitepaper or e-book that is of interest to your audience.

                                              CASE IN POINT: One RegOnline client has developed a clever way of encouraging
                                              attendees to complete her post event surveys. At the conclusion of each seminar,
                                              she sends her registrants a follow up email thanking them for attending. Embedded
                                              in the confirmation email of the survey is a merge code that generates a personalised
                                              certificate for each attendee, but in order to receive the course completion certificate,
                                              the attendee is required to complete the survey.

                                              Since the introduction of the post survey certification, this client now receives 100%
                                              feedback in her follow up surveys. Additionally, she has saved on the cost of printing
                                              and mailing certificates by simply using RegOnline’s badge feature to merge the event
                                              and attendee details.

                                              3. What questions to ask?
                                              The questions you ask are very much dependent on the type of event you’re running,
                                              but there are a few key areas worth reviewing for most typical events. In RegOnline
                                              you can also set different surveys for different participant types, giving you added
                                              flexibility.

                                              Measure your marketing efforts
                                              Ask how attendees heard about your event, whether it was through an email
                                              invitation, social media, a referral, word of mouth, etc. This information can be useful
                                              to determine where your event audience is engaging and communicating and what
                                              channels you need to focus on for future promotions.

                                              Determine logistical successes or failures.
                                              Find out if the attendees liked or disliked any aspect of the event venue including
                                              location, parking, access, transport and facilities. If it is decided to have another event
                                              at the same venue in the future, the event planner will be aware of issues previously
                                              addressed by your attendees and arrangements can be adjusted accordingly.

                                              Query on the content, speakers, and quality of presentations.
                                              Give your respondents an opportunity to rate the content of your event such as
                                              themes, topics, guest presenters and educational sessions. Quiz your audience on
                                              the event setup in terms of booths, technology and networking opportunities. Did
                                              your attendee get something out of the event? Was it worthwhile? This feedback is
                                              essential when determining the success or failure of the event and will guide future
                                              event content.

                                               Offer an opportunity to give feedback
                                               Provide one verbose text area in your survey where your attendees may voice their
                                               opinions, and give suggestions to improve future events. Here you can find out more
                                               details about your attendee’s experience, whether good or bad. You could consider
                                               asking your respondent to provide contact information here such as their name,
                                               email address, or telephone number so that you can follow-up with them directly if
                                               the response is negative. Or you could consider asking them for permission to use a
                                               positive response in this section as testimonial in your marketing materials.

                                               4. Test your survey
                                               Once you’ve created your survey it’s important to test it for usability, flow, typos
                                               and punctuation. Ask colleagues to complete it and have them critique it for clarity,
                                               engagement, ease of use, as well as basics like spelling and grammar. Ensure that
                                               they are thinking through the survey to get an accurate sense of timing. If it takes
                                               longer to complete your survey than anticipated or if anyone is even slightly confused
                                               by a question or answer, review, update and test again before hitting the activate
                                               button to make your survey live.
