USE OF FACILITIES, EQUIPMENT AND SUPPLIES
Background Facilities, equipment and supplies acquired by the Division shall be used directly or indirectly for the instruction of students. All other uses of facilities, equipment and supplies not associated with the operation of the public educational system must be expressly authorized in accordance with the established procedures of the Division. Procedures 1. School Facilities, Equipment and Supplies 1.1 Shops 1.1.1 The facilities, equipment and supplies shall be utilized by staff only for activities related to the preparation and presentation of instruction in their classes. The Principal shall be responsible for authorizing other activities related to school functions and student needs which require the use of facilities, equipment and supplies. Production of articles or structures by the students in the shops for an outside party may be permitted, provided the project serves as a practical exercise applicable to the course of studies. Such projects shall be approved by the Principal. The cost of materials, plus a surcharge of 15% shall be recovered from the party requesting the production of the items. The cost of supplies for authorized personal projects, that are applicable to the course, shall be paid by the student. A portion of the cost may be subsidized from the operating budget at the discretion of the Principal. In shops where the curriculum includes the repair of privately owned vehicles, equipment, etc. the owner shall be charged for all repair parts and supplies at retail prices. All charges shall be paid before the vehicle or item of equipment is released. A record shall be kept of all such work done in the shops by a system acceptable to the Principal and the Superintendent, Business Affairs. Refer to Shops 1.1.1. Refer to Shops 1.1.2. Equipment shall be used by school personnel who normally use it in performing their functions, unless use by other personnel is authorized by the Principal or supervisory staff.

Science Laboratories

Scientific equipment and supplies shall be utilized only for instructional purposes within the confines of the laboratory and as a controlled learning activity. 1.4 Home Economics Laboratories 1.4.1 1.4.2 1.4.3 Refer to Shops 1.1.1. Refer to Shops 1.1.3. All purchases shall be relevant to the students’ curriculum. Transactions shall be recorded by a method acceptable to the Principal and the Superintendent of Business Affairs.

Stores 1.5.1 The purpose of a school store is to provide learning experiences for student merchandising and/or to provide goods that are readily accessible for students’ curricular or extra-curricular needs. School stores shall not be used to provide preferred purchasing privileges for students and staff, nor to compete with local entrepreneurs. All transactions shall be recorded in accordance with an accounting system that is acceptable to the Principal and the Superintendent of Business Affairs. All applicable taxes required by legislation shall be paid. The maximum sale price of any article sold in a store shall approximate $50.00 All purchases and sales shall be relevant to student needs and activities, or functions approved by the Division in accordance with current procedures. Transactions shall be recorded by an accounting system that is acceptable to the Principal and the Superintendent of Business Affairs. Where the Student Representative Council is responsible for food outlets, the Principal or designate shall ensure that business is transacted according to acceptable practices. Musical instruments and supplies shall not be removed from the school without the authorization of the Principal. When musical instruments and equipment are removed from the school for student activities, either by individuals or groups, records shall be maintained by a method approved by the Principal. Community groups using pianos, organs or percussion instruments shall be responsible for any damage incurred as a result of their usage within the school. The list of ‘checked-out’ equipment must be reviewed frequently to avoid losses.

Refer to Administrative Procedure 620 – Community Use of School Facilities. Except under special circumstances approved by the Director or designate, equipment and supplies shall not be loaned or rented to individuals, groups or clubs. Library materials shall be loaned by procedures which foster economy and efficiency in order to minimize losses of materials and ensure punctual return by the lenders. The librarian shall ensure that school regulations pertaining to lost or overdue materials are carried out. Audiovisual equipment shall be used within the confines of the resource centre or as defined by the regulations of the schools.

Maintenance Shops Maintenance facilities, equipment and supplies shall be utilized only by staff in the performance of their duties related to the repair and maintenance of school property.

Office 1.11.1 Office equipment shall be used only for instructional purposes and activities associated with the operation of the school by personnel who normally use this equipment in performing their assigned duties. Others may use the equipment when authorized by the Principal or designate. If duplicating equipment and supplies are used for personal benefit, the users shall pay the established rates.

Education Centre Facilities, Vehicles, Equipment and Supplies 2.1 Maintenance, warehouse, and administrative facilities, equipment and supplies shall be used only for purposes associated with the operation of the public educational system. Vehicles shall be used only for the transportation of equipment and supplies related directly or indirectly to the operation of schools and administrative offices. All other uses of facilities, equipment (vehicles) and supplies for activities not related to the public educational system are prohibited unless expressly authorized by the Director or designate. Established rates shall be charged for personal duplicating jobs.

3. Loan of Equipment Agreement Where the loan of equipment of any kind has been approved by the Director or designate, the Loan of Equipment Agreement (Form XXX) shall be completed.
