As a service company, we are interested in efficient cooperation with our exhibitors without bureaucracy. However, due to the many technical and organizational instructions, it is impossible to manage without the ”small print”. This Exhibitor’s Manual informs you and your staff. Please also read all the information and instructions con- tained in this manual, which has the status of site regulations, and ensure that you also inform your staff accordingly. This information and the ”General Terms and Conditions for Exhibitions of the Messe Augsburg ASMV GmbH” are part of your contract for exhibiting at GOLF EUROPE 2013. We wish you a successful participation at the GOLF EUROPE 2013! Messe Augsburg ASMV GmbH Assembly and dismantling dates Assembly times: Thursday, 26 September 2013 8 a.m. – midnight Friday, 27 September 2013 7 a.m. – midnight Saturday, 28 September 2013 7 a.m. – 4 p.m. (remaining works 4 p.m. – 8 p.m.) Early assembly dates are only possible in certain cases, must be applyed written and will be charged with 200,00 EUR / day / booth. Please contact the project management. Stands whose assembly has not been started by noon on Saturday, 28th of September 2013 will be decorated at the exhibitor‘s cost if they are not otherwise disposed of. Claims for compensation by the hirer are not admissible. Dismantling: Tuesday, 01 Oktober 2013 4 p.m. – midnight Wednesday, 02 Oktober 2013 7 a.m. – 6 p.m. Passes are not required for assembly and dismantling. Stand design Exhibitors are obliged to design their stands in a tidy and careful manner. Stands whose inadequate design adversely affects the overall appearance of the exhibition or hall will not be accepted by the Exhibition Ma- nagement and will be subject to appropriate restrictions. This also applies to prohibited advertising. Events such as tombola, competitions, quizzes, games with prizes or similar are not to be organized either for money or donations. Stands which exceed the height of 2.50 m require the approval of the Exhibition Management. All audio and visual advertising media are subject to registration and approval. All material used must be flame-retardant (see information from A-Z, Item 28 + 29). A uniform floor covering must be laid over the whole floor area of every stand in a hall. If a finished stand or system stand with fascia is not available, it is recommended that a fascia will be mounted (form 6). The stand numbers will be mounted by the Exhibition Management. The right is reserved to issue further instructions on stand design. Opening hours/Admission The Trade Fair is open daily from 10 a.m. – 6 p.m. from Sunday, 29 September – Monday 30 September and on Tuesday, 01 October from 10 a.m. – 3 p.m. Exhibitors are admitted to the trade fair daily from 9.00 a.m. onwards. Stands must be manned by the exhibitors not later than 9.45 a.m. The ticket offices close one hour before closing time of the trade fair. Food and alcoholic drinks are not to be served after closing time of the trade fair. Visitors must leave the site 30 minutes after closing time. Exhibitors must leave the halls and site by 7 p.m. Exhibitor passes Exhibitor passes can be collected after the sums payable have been paid. The number of exhibitor passes is based on Item 13 of the Special Terms and Conditions for Exhibiting at the GOLF EUROPE Exhibition of ASMV GmbH (Augsburg Trade Fair) Additional passes can be purchased at a price of EUR 21.00 each, subject to entitlement and ap- provalby the Exhibition Management. Parking permits Parking permits for the exhibitor and visitor parking area are available at the trade fair administration at the price of EUR 4,00 (1-day-parking permit) und EUR 12,00 (3-days-parking permit) (VAT included). Messe Augsburg ASMV GmbH | www.golf-europe.com Status March 2013 | Subject to Change Exhibitor’s Manual GOLF EUROPE 7 House Rules / Important Information Trafic and parking regulations Prohibited parking The parking of all types of vehicles in the immediate surrounding of the halls and particularly in front of the exits is prohibited for the duration of the trade fair. Vehicles are only to stop at the above-mentioned points during assembly and dismantling of the trade fair for the duration of unloading or loading and they must be unloaded immediately. They are to be removed immediately on completion of this activity – to avoid obstructing the fire service. Road trafic regulations apply on the exhibition site. Traffic regulations 1. Assembly days From Saturday, 28 September 2013, access to the exhibition site is only permitted to vehicles with an entrance permit obtainable on payment of a deposit of EUR 50.00. This entrance permit is valid for 1 hour for cars and 3 hours for trucks. The deposit will be returned if the vehicle leaves the site on time and retained if the vehicle exceeds the time limit. These times may be reduced and the deposit in- creased depending on the amount of trafic. 2. Exhibition days Driving and parking on the exhibition site is strictly prohibited during the event! On payment of a security charge deposit of EUR 50.00, you may use one of the parking spaces approved by the fire service for loa- ding and unloading (provided a spare parking space is available). The deposit charge is forfeited and the vehicle towed away at the owner‘s cost if the maximum parking time of 30 minutes is exceeded. 3. Dismantling days Free access for all vehicles (subject to compliance with paragraph ”Prohibited parking”) from 4.30 p.m. on Tuesday, 1 October 2013. Subject to alteration. 4. Exceptional rule Situational the fair management may vary on the guidlines mentioned above or define special rules.These may include, among other things, to increase or to discontinue the deposit. Protection against theft Incidents of theft are comparatively seldom at our exhibitions. Constant efforts are necessary to prevent theft. Messe Augsburg ASMV GmbH achieves this by security checks and guarding, but this guarding does not cover the individual stands. Please support these efforts by observing the following instructions: 1. A ssembly Do not leave your stand unattended after delivery of your exhibits. Although the halls are closed and guarded at night, you should still safeguard all handy and valuable exhibition goods. We therefore recommend an additional stand guard for the nights during the event. You can hire lockable cabinets and show-cases from our approved contractors. Your cubicle can also be equipped with a lockable door (form 1+2). 2. Duration of event Man your stand before the opening time for visitors and do not leave it unmanned during the lunch break. Exhibition stands at risk to theft should be specially secured. We recommend that you also secure your com- plete stand at night with a curtain. 3. Dismantling Most thefts occur in the first 3–4 hours of dismantling. You should therefore not leave your stand until valuable exhibits have been loaded or handed over to the forwarding agent. Should this not be possible for special reasons, please order a stand guard for the period from the end of the event until the start of dismantling your stand. The organizer carries out random checks of the authorization of the persons engaged in dismantling. You should therefore issue the person responsible for dismantling your stand with a certificate indicating which stand the team is to dismantle. 4. Theft reporting Report any incident of theft without delay to the Exhibition Management, who will also inform you to which police station you should report the theft. The project management and technical department will be pleased to advise. The Exhibition Management reser ves the right to issue special instructions on theft prevention to individual exhibitors. Please check your theft insurance. It is recommended that exhibition insurance is be taken out (form 18). Accident prevention The generally recognized rules for technical equipment and the industrial safety and acci- dent prevention regulations are to be complied with when exhibiting technical equip- ment. The current legal regulations on technical equipment apply. If machines or appara- tus are to be shown to visitors in operation, a safety cover of organic glass or another transparent material can be mounted instead of the normal guard. Legal regulations commit that the person producing waste is responsible for its proper disposal. The mentioned amount of waste must be properly sorted by the exhibitor and placed for disposal at the edge of the stand in the gangway. Waste/residues which are not registered will be charged at an increased fee or according outlay. The charges will be based on the actual and estimated amounts of waste during alternatively after the fair. Charges may also be levied on all exhibitors or at flat rates in special cases. Important notes on insurance coverage / excerpt from the terms of insurance I. Insured risks Insurance coverage exists on the basis of the “General KRAVAG Terms of Insurance for Exhibition Insurance (GTI Exhibition 2010)“ including the carriage and declaration provisions. The insurance also refers to the exhibition stand and the stand equipment. Insurance coverage exists during the transports from and to the exhibition venue, during the erection and dismantling of the stand and during the exhibitions. During the delivery and return transports with all ordinary means of transport and the stays at the exhibition centre associated therewith in the normal course of the transports, or in transfer stations belonging to the carriers, the insurance extends to all risks to which the exhibition goods are exposed, where no other provision is made below or in the General Terms of Insurance. In particular the insurance coverage extends to losses and damages incurred as a result of conveyance accident, fire, lightning strike, explosion (without auto-ignition), act of God, burglary, robbery as well as wanton or malicious damage caused by third parties. II. Compensatory costs The insurer assumes the costs for the proper repair of the damaged objects. In the event of a total loss the value of the object at the time of the damage (present value) shall be replaced. III. Non-insured risks / damages / goods Excluded from the insurance coverage are, in particular, damages and losses incurred as a result of non-claimable packaging, handling, assembly and disassembly, demonstration, as a result of the intended use, trial operation, load tests and such like. Likewise not insured are damages caused by the detaching of glued parts, scratching, scraping, polish cracks, rust and oxidation, internal decay and the natural quality of the insured goods. Also excluded are damages caused by nuclear energy or other ionizing radiation, confiscation, withdrawal or other interventions by higher authority as well as by the employment of chemical, biological and biochemical substances or electromagnetic waves as weapons dangerous to public safety regardless of any other contributory factors. The impacts of weather on goods exhibited in the open air are not co-insured, nor are theft and the loss of goods intended for use during the exhibition such as catalogues and brochures as well as food and drink. Likewise not insured are cash, documents, securities, tickets, other valuables as well as the personal effects of the stand representatives. The insurer is not obliged to indemnify nonadherence to delivery deadlines or indirect damages of whatever kind, including loss of profit, loss of image, etc. 2. Supervision and guarding I. Insurance coverage only exists against the risks posed by burglary, theft and other loss irrespective of specially agreed protection sys- tems if the exhibition goods are continuously supervised at the exhibition venue by the policy-holder, the insured and/or a person of confidence hired by the latter. This supervision shall not be required if the exhibition halls are locked and guarded. These measures also apply analogously for insured exhibition goods in the open air. II. If the policy-holder or insured contravenes one of these obligations, item 20 GTI Exhibition 2010 shall apply. III. Small-size objects are only insured against loss as a result of theft and mislaying if they are kept in a lockable showcase during the exhibition or otherwise protected against straightforward removal. 3. Notice of claim Each damage which is to be claimed must I. be notified to the fair management immediately after it has been ascertained. The fair management shall hand over a copy of the notice of claim to the insurer. II. any damage incurred as a result of theft or burglary must be reported to the competent police station at the latest on the day after it has been ascertained.
