Vice President, Programs Job Description Objective: To identify, develop and promote educational programs Responsibilities: Programs - Arrange for speakers and/or roundtable discussion for monthly meetings. Discuss with members potential program topics. This includes discussing ground rules with speakers to maintain educational format as opposed to a sales pitch. For the 02/03 year, this will include meetings in October, November, December, February, March, May, and June. Typical meeting time is 11:30-2 (11:30-12:00 registration and networking, 12 -12:30 lunch, 12:30-1:30 (program/questions/announcements). Facilities - Reserve facility (complete Banquet Event Order -BEO), select menu & pricing ($22 + tax and service as of 2002), confirm final headcount with facility – at least 3 days prior to event (ask for 5 extra seats, but not meals in case there are walk-ins). It’s best to reserve for a minimum group (usually 35) in the BEO so that we do not owe additional funds if registration is low. We typically pay upon leaving. Coordinate with Treasurer to collect money. Meeting Registration - Collect registration information from website and check members in at meeting (can coordinate with Membership to get volunteers or board members to help). Work with President and/or website administrator to obtain access to the website in order to download registration and create nametags. One way to do this is too download names into excel and create nametags through mail merge. Publicity/Communications - Prepare meeting announcements for fax, email, website notices (minimum - 1 month advance notice). Make request of RIMS administrator to send fax. Resend email two weeks prior to meeting date. At end of each meeting, announce program for next month. Facilitator/Moderator - Introduce speakers at monthly programs Speaker Appreciation - Send thank you letter to speaker following meeting. Possibly give thank you gifts for our speakers at the meetings. (Look on RIMS website for possible RIMS items.) Chapter Awards - Complete submission for Program Award Measure of Success: Increase in meeting attendance, excitement over presentation, chapter members feel they have learned something. Benefits: Gain experience in building and working with committees, improve meeting management skills, expand professional contact network, gain experience that can be used on the job coordinating presentations.
