Job Description - Retail Systems Consultant

Within General Motors, the Information Systems and Services (IS&S) organisation is responsible for the management of Information Systems, Technology and Infrastructure. The Retail Systems Group comprises of a team of four, focused on supporting Vauxhall’s business in the areas of Retail and e-commerce systems whilst managing activities and projects toward GM’s global strategic policies.
Retail Systems Consultant Information Systems & Services (IS&S) Corporate HQ – Griffin House (Luton)
Key Responsibilities:
Managing small/medium sized Projects primarily targeted at the Retailer (B2B) environment, with some end customer focused activities (B2C). Ensuring project milestones are met and all stakeholders are kept informed as to progress as appropriate. Successful candidate can expect to have a Project assigned to them to progress during the one-year appointment. Advising Retailers on all systems related issues. This can involve anything from answering a simple query by phone, to chasing outstanding issues logged with the Dealer Assistance Centre (DAC) helpdesk, to understanding a Retailers detailed requirements and helping them make an educated decision on systems strategic issues which may involve a significant investment on their part. Liasing with internal customers and third party suppliers (inc. system vendors and software developers). Understanding customer requirements and managing third parties to ensure these are met by. It is also key to ensure that all parties are kept informed of any system developments that may affect them with their relationship to Vauxhall. Deployment activities relating to Retailers in the UK and Eire relating to new or amended applications. Promoting the Retail Team to both internal and external stakeholders. The student will gain an understanding of the retail systems management process with particular focus to project based work. Examples of past project work include Retailer Web Portal, e-mail rollout, Anti-Virus rollout, Web Based Retailer Facing Systems, Virtual Private Networking (VPN) Communications and a Reporting Tool for Retailer Appointment and Termination.
Required Skills:
A self-motivated individual, capable of integration to an existing team and running with an issue to conclusion. An ability to achieve goals by actively taking steps in order to influence events is necessary. This is a customer-facing role, so interpersonal skills; especially good telephone manner and concise written communication is key. It is necessary to have the ability to work and communicate with people of varying levels of Knowledge, interpreting technical jargon into plain English. An understanding of the business environment and its relationship to the Systems world and a hunger to learn are preferable. A natural desire to build working relationships with all stakeholders and a broad understanding of systems and technology, and the impact they can have on the business. Should be skilled in the use of Word, Excel, PowerPoint, Access and Lotus Notes.

Within General Motors, the Information Systems and Services (IS&S) organisation is responsible for the management of Information Systems, Technology and Infrastructure. The Sales and Marketing group are a team of four focussed on developing and supporting Sales and Marketing systems for Saab, Vauxhall, Chevrolet, Cadillac, Corvette, Hummer and Opel (Ireland). The systems landscape comprises both global and local unique applications. Key Responsibilities: • Managing small and medium sized projects and assisting with large projects within the Sales & Marketing area. Ensuring project milestones are met and all stakeholders are kept informed of progress as appropriate • Represent IS&S at business operations review meetings • End User communication including major changes and scheduled system maintenance • Case escalation and case status reporting, providing monthly updates to IS&S management • Ensure that the end user community are aware and comply with current corporate IT procedures • Maintain IS&S SMA Socrates intranet pages and various Vauxhall Micro sites. • Provide limited support for local specific applications and/or also liaise with third party agencies in the support of these applications • Continually seek opportunities to remove or migrate local unique systems to European or global solutions and standards • Working with the Business, Marketing, Retail and Saab to finalise change enhancements required for Sales and marketing applications and systems. The student will gain valuable customer-facing experience, an understanding of corporate systems, project management skills and gain experience of ITIL processes.

My role
Working in a team of four, the main role is to provide a point of contact for the end-user community, ensure that the customers IT needs are fulfilled in accordance with company standards and policies. What have I gained from the placement?
I wanted a challenge from my placement and I certainly have got that. It’s been a lot of hard work and learning, but well worth the initial effort. I think it will stand me in good sted for the future, and I know it will look good on my CV to have at a young age worked for a large MNC. Specific skills I have gained and improved are: - Communication - Written emails - Presentation - Leadership - Website integration - Managing workload - Managing priorities - Budget Forecasting - Working in teams - Dealing with different people. - Managing third parties - Documenting all my work (mins/ notes)

The Role:
The main role is to provide a point of contact for the end-user community, ensure that the customers IT needs are fulfilled in accordance with company standards and policies.
Key Responsibilities:
Review/ analyse and raise IT requests using the automated tool ITSRS on behalf of the business. Managing small projects and assisting with medium to large projects primarily targeted at the on-going technical refresh within the GM Online infrastructure, with some end customer focused activities. Ensuring project milestones are met and all stakeholders are kept informed as to progress as appropriate. End User communication including major changes and scheduled system maintenance. Case escalation and case status reporting, providing monthly updates to IS&S management on vendor case management against metrics. User account maintenance. On going development of current role based on experience and changes to current global service contracts. Ensure that the end user community are aware and comply with current corporate IT procedures ensuring updates are communicated. Undergraduate Placement Review – Business Services Analyst

Whilst being at General Motors, I have transitioned into a new role. Firstly working with Business Services as the Business Services Analyst and working with Finance and HR within Europe, and dealing with requests where necessary from users. Managing the Global ACL Audit, and being in charge of collecting the certificates for a set list of applications for Business Services and GSSM. I also managed content for the GME Socrates Platform across Europe, and made the necessary updates when requested, and requested for new sites to be set up when needed. Within GSSM I took over the PMO role, this involved me to managed the status of projects and to work with project managers, vendors and contract management. I also engaged in producing a local SharePoint site for GSSM and expanded the areas out where necessary to meet the growing demand of GSSM. I also worked to produce new process flows and change how current process were currently implemented to help improve the efficiency of them, and worked closely with my boss to help with the regional GSSM staff meeting and being involved in this event, once a month. I have also enaged in some other projects which included looking at the GSSM applications and seeing which one interfaces with each other to produce a graphical representation, so we know which systems were independently ran, and which ones were not.

What have I gained from the placement?
Whilst being on my placement, I have managed to communicate with many people with the company from Asia to the USA. I have been able to communicate with a wide range of people including people from within the company and dealing with vendors for the initiation of new projects. I have found a new approach to get work done too, when having to work with a range of people who may not be as motivated as yourself, or have the same amount of work load to be able to provide you with the information you needed straight away. I have had an insight of having the experience of not having your boss in the office and having to manage things using email and telephone as methids of communication, as I only saw him once whilst working on my placement year within GM. I have managed to work with a range of executives within GM Europe, and managed to participate in a diagonal slice and speak with the Global GSSM lead, which was a really good experience, to gain an insight to the company and put forwrd any questions or concerns.
Highlight of my placement year!
The highlight of my placement year would be working with a range and different variety of people within the company, and being exposed to executive level of management and
pridcuing work for them to help move GM forward into a more stable and competive company within the past twelve months. It is a nice feeling too when you have been set a project and it is being used higher up the company gobally.Also when your views and feedback is welcome to help make things better within the company for processes which are currently in place.
