Reports to            Customer Support Manager
Responsible for       No line management responsibilities
Location              LMS
Salary and grade      Grade D £20,185
Hours                 40 Full time


Job purpose

To provide administration services for the Programmes team. Fulfilling the requirements of
courses, assessments and certification to support the achievement of the charity’s vision and
YMCAFit’s strategy.

Job scope

1. Administration services; provides administration services to the Programme Team and
   recommends changes where identified
2. Resources; maintains and monitor the resource fulfilment process for courses and
   students
3. Assessments and results; records, monitors, processes and communicates, theory
   papers, assessment bookings and assessment results
4. Certification; maintains and adheres to systems and processes for all aspects of
   certification

Core duties and responsibilities

1. Administration Services
    Identifies issues and communicates possible resolutions in relation to the use of CRM
     and any other system used in the process of completing the duties listed below
    Reviews and evaluates personal service performance in all areas periodically and
     communicate outcomes to manager
    Works in collaboration with Programme and Assessment Administrator to fulfil all
     duties

2. Resources
    Identifies issues and communicates possible resolutions in relation to the ordering
     and delivery for resources for courses and students
    Communicates to team members and tutors on progress of each order

          Identifies issues and communicates possible resolutions in relation to booking
           assessments
          Ensures the security of all theory papers ensuring all awarding organisation
           requirements are understood and met, communicating any identified issues to
           manager
           Identify courses of low achievement rate and communicate findings to manager

4. Certification
    Processes all certificates within established systems
    Identifies issues and communicates possible resolutions in relation to the registration
      of students and claiming certificates

Organisational responsibility

          May authorise certification and resource invoices of up to £5,000 and to
           communicate any anomalies
          Responsibility to follow systems and processes in place
          Negotiates any bespoke resource requirements

                    Qualifications and experience                         Essential Desirable
1.0 NVQ Level 2 or equivalent                                                
1.1 Experience working in a quality driven, customer focused                 
    environment
1.2 Experience of working in an educational environment                                     
1.3 Experience of working to strict deadlines where attention to              
    detail is vital
1.4 Experience of using CRM systems or similar                                              

                            Skills and abilities                          Essential Desirable

2.0 Excellent written and verbal skills                                       
2.1 Excellent administrative, time management and organisational              
    abilities with exceptional attention to detail
2.2 Good IT skills, including all Microsoft packages                         
2.3 Ability to multi task and prioritise within a busy work schedule         
2.4 Ability to negotiate workload as part of a wider team                    
2.5 Ability to resolve conflict positively                                   
2.6 Ability to use own initiative and work unsupervised at times             
