Katie Lovett, CIO 5/28/03 Technology Services School Technology Support Meeting May 28, 2003 Page 1 of 11 Katie Lovett, CIO 5/28/03 Technology Services School Technology Laptop Computer Deployment – High Schools and Elementary Schools    All certified staff members in each school will receive a laptop. This includes Resource Officers, ROTC Instructors and Career Technology Teachers. Itinerant employees will receive laptops at their home school. (The school where they receive their pay check) All employees must participate in the laptop training/orientation in order to receive a laptop. (Middle school teachers who were not issued laptops during May 2003 will receive training in the Fall.)       All employees must complete the computer registration form before they will be issued a laptop. (Attachment A) No employee is to have two computers issued by the Fulton County Schools. Laptops computers will be issued in the high schools during pre-planning August 2003. (Schedule – Attachment B) Elementary schools will receive laptops after the high schools beginning August 13. (Schedule to be provided at a later date.) All schools will receive their laptops by September 26, 2003. All laptop purchases are part of the SPLOST II Capital Projects Program. SPLOST funds must be used for capital purchases. These funds cannot be used to supplement the operating budget for items like employee pay increases. Document Servers for Middle Schools      The 11 middle schools that received laptops during May 2003 will receive a document server during the summer. The document server will be a rack-mounted Dell PowerEdge 2650. Included with the document server will be a server rack equipped with a keyboard, flat panel monitor, two UPSs and a tape backup system. Installation of the document servers will begin in June 2003. Tech IIIs will set up the login scripts for employees and for students. Page 2 of 11 Katie Lovett, CIO 5/28/03 Technology Services Surplus Computers  There is to be a computer surplused (Oldest computers in the school) for each laptop that is issued to an employee who currently has a computer that is part of the school’s inventory. Documentation is to be completed for property control on each surplus computer. Each surplus computer is to be labeled so it can be easily identified for removal from the school by the contractor. There will be an opportunity for employees to purchase surplus computers at a later time. Woody Lott from the warehouse will notify employees of the computer sale. All computers will have all data and software removed from the hard drive by Technology Services before they are removed from the school. Documentation requested by the project manager (Vernon Fulton) must be completed in a timely manner to insure that the timeline is maintained.      Computers to be redeployed (Pentium III or G3 or better)     Computers that are to be redeployed in the school must be clearly labeled with the location where the computer is to be moved. Images for redeployed computers must be provided to insure that all redeployed computers are ready for use in a timely manner. Computers that are redeployed in the 11 middle schools that received laptops during May 2003 are to be ready for use by August 1, 2003. Documentation requested by the project manager (Vernon Fulton) must be completed in a timely manner to insure that the timeline is maintained. Ghost Servers / Laptops  Each School Technology Specialist will be provided a Latitude C840 equipped with a 60 gig hard drive, 512 memory and CDRW / DVD combo drive equipped with GHOST Server and Active Directory. All School Technology Specialists will receive training on GHOST – AI Builder to facilitate installing software on PCs. (To be scheduled early Fall 2003)  Page 3 of 11 Katie Lovett, CIO 5/28/03 Technology Services New Teacher Orientation and Computer Access   The New Teacher Orientation will be posted via Blackboard this year and available to all new teachers (and employees). Each new teacher is given the opportunity to come back to school a week ahead of the returning teachers. During this week, they will need access to e-mail and other online resources. The new teachers at the HS and MS level will be issued their laptop during the week of this orientation. The ES teachers will need to have access to a small number of computers that can access the internet (computers in the Media Center or Lab, etc.). The Human Resource department is working with us to provide a list of all newly hired/processed teachers (certified ES, MS and HS – the STS will add all noncertified employees upon their return on August 5 th)). From this list provided, the Technology Services department will create their FCS User ID, passwords and mailboxes. They will also be added to the appropriate OU in Active Directory. Technology Services will do this up to the end of the day - August 1st. After August 1st, the STS will take over and add any/all new employees in to Active Directory. Active Directory – In all situations when new User IDs are being created, the STS is reminded to check any name before creating a new User ID. This will help avoid duplicate entries. The local STS will need to add the new teacher(s) to the appropriate groups in Active Directory (access to SASI and Distribution Lists).   New Schools      All equipment is scheduled to be delivered by July 1st. The Technology Services department will work with both of the new schools on the laptop deployment and training for teachers and staff. All computers delivered to the new schools will be pre-loaded with a basic image. All curriculum software will be installed on the computers prior to August 1. Appropriate training and information will be provided to the STS at the new schools. At the same time, we will upgrade IGPro, if necessary, do final rollover, and do any modifications to the application that are necessary. Prior to leaving, the data clerks will be instructed to do appropriate backups. There will be no visual or operational changes to the system. Most of the changes are behind the scene. At the district, we will change to a SQL database for district integration. We will be modifying grading setups for elementary if board approval is given to produce electronic report cards. The decision will be made in June. Parent Connect: We continue to refine and standardize Parent Connect installations. Automatic processing is being implemented. This summer, we will begin a 10-school pilot for elementary schools with Parent Connect. Rather than having a server installation at each school, all electronic processing will be done at the district level. Schools will be involved in registration and maintenance of data in SASI. Remaining elementary schools will come online in phases during 2003-2004. IGPro will not be available in a standalone version as originally thought. The vendor no longer supports this method. We will investigate other methods of gradebook functionality during the year. Training for School Support We will be working with school technology specialists during the 2003-2004 to provide more information and training on student information systems. Page 6 of 11 Katie Lovett, CIO 5/28/03 Technology Services TRAXX – Fulton’s Electronic Volunteer Tracking System The Purpose. To help record all volunteer hours with greater ease, Fulton County has launched an electronic tracking system called Traxx. Schools also may choose to have visitors sign in through Traxx. The Partners & Volunteers Office piloted this tracking system this spring in three schools: Esther Jackson and Liberty Point elementary schools and North Springs High School. Traxx will be implemented in all schools by September 5. Training will be offered at four strategic locations during the week of August 18. Note: All instructions for installing the Traxx computer and printer can be found on the Traxx website: http://www.fultonschools.org/traxx/board What are the steps to install Traxx? As schools begin to receive their computers and printers to run this system, these steps should be followed by Technology Specialists to successfully install the Traxx station:  Set up the computer and printer in a visible and accessible front office area.  Install the Traxx computer station by August 5.  Email Dave Blohm, the school system’s Webmaster, with the name of your computer and IP address.  Use the Traxx Message Board at www.fultonschools.org/traxx/board to receive support and make requests. Will there be training? Yes! Training will be offered in Alpharetta, Sandy Springs, Tri-Cities, and south Fulton areas during the week of August 18. The Partners & Volunteers Office will forward training dates and locations to schools by August 5. We will provide each school with a supply of information postcards for parents and volunteers explaining the new Traxx process. These postcards will be in English and Spanish. In addition, each school will receive detailed instructions in both Spanish and English to be placed next to the school’s Traxx computer station. Who should attend training? It is recommended that the Partners & Volunteers coordinators, a front office Professional Assistant, and a Technology Specialist from each school should attend one of the training sessions. Thank you. This change from a manual to an electronic process will save time and help provide a more accurate record of school volunteer hours. The LoTi Professional Development Planner is a district-wide mechanism to provide prescriptive feedback to individual teachers based on their LoTi (Level of Technology Implementation) data as well as enable teachers to create their own unique online professional development plan based on this field data in the Fulton County Public Schools. The LoTi Professional Development Planner is designed to bridge the gap between dynamic professional development opportunities and resources available in the district and diagnostic data from individuals and schools based on the LoTi results. The purpose of the LoTi Professional Development Planner is to provide classroom teachers with instantaneous and targeted information about their Level of Technology implementation (LoTi) and allow them to create their own online professional development plans that match their recommended LoTi level to existing professional development opportunities and resources available in the district. The following are the goals of the LoTi Professional Development Planner: 1. To increase teachers' level of technology implementation (LoTi) districtwide toward the "target" technology level as established in the Fulton County Balanced Score Card and in local school strategic plans. 2.
