Policies & Conditions
Charges & Reservation Confirmation Our reservations are confirmed when Gables & Palms Vacation Rentals receives an advanced payment of $250.00 if the reservation is made more than 30 days in advance, or full payment if the reservation is made in less than 30 days. The signed and completed reservation must be in our office 30 days prior to your scheduled arrival. Gables & Palms Vacation Rentals will accept Visa, Master Card, and personal checks (with valid state drivers’ license) we will accept up to 20 days prior to arrival. Credit card payments may be made over the phone or our Website. In addition to the reservation charges, a $300 cleaning/damage deposit will be required on all rental units. The person registering for the unit has full responsibility for all the damages in the the unit as well as all damages to the property caused by anyone in the unit during your stay. This includes misuse, negligence or missing items. The responsibility may exceed the amount of the security/damage deposit. All guests will be required to authorize Gables & Palms Vacation Rentals to debit their credit card account for reasonable replacement or repair cost. We will refund security/damage deposit within 30-45 days after check out, less any charges for cleaning or damages. A minimum $40 cleaning charge will be held if a unit is not clean upon departure. Cancellation If a cancellation of a confirmed reservation is necessary and Gables & Palms Vacation Rentals is notified 60 days prior to the rental period, or with any notification that enables us to re-rent the unit, the advance deposit less $100 (cancellation & processing fee) will be refunded. If the unit is not re-rented and is cancelled in less than 60 days, the advance payment will be forfeited. Rates & Tax Gables & Palms Vacation Rentals offer seasonal rates. Summer rates start the first week of April and winter rates start the third week in September. Sales tax in Gulf County is 7% and Bed tax is 3%. Rates & taxes are subject to change at anytime. Check-in Time Check in time is after 4 pm EST. Early arrivals will be asked to wait. Because of our efforts to assure the units are clean and inspected, all properties may not be ready by 4pm est. Your patience and consideration is greatly appreciated during these times. Check-out Time Check out time is 11am est. on your departure date. (NO EXCEPTIONS) Check-out time is non-negotiable due to the time necessary to clean and prepare the property for the arrival of our next scheduled guest. We ask that each property be treated as if it were your own. Please leave the property as you found it, being sure to: 1) Turn off A/C and/or Heat. 2) Check for personal items 3) Empty refrigerator 4) Take out all trash 5) Lock all doors and windows 6) Wash and return all dishes to there proper place. All Gables & Palms Vacation Rentals properties are owned and furnished according to the owner’s preferences. PLEASE DO NOT MOVE FURNISHINGS.
Maintenance & Repair Be sure to report any damage as soon as possible otherwise you may be charged for the amount necessary to repair the damages. Your vacation property will be cleaned to quality standards prior to your arrival and after your departure. Appropriate serviced people will be called when a breakdown occurs. Although we cannot guarantee the operation of all appliances, we make every effort to keep the equipment and appliances in working order. Authorized employees or repairmen may enter the premises for the purposes of repair, care or maintenance of Gables & Palms rentals. We will do our best to have any malfunction repaired quickly. (THERE CAN BE NEITHER A DISCOUNT GIVEN NOR REFUND MADE BASED UPON EQUIPMENT OR APPLIANCE FAILURE) Furthermore, there will be no refunds or adjustments for any other unexpected situation beyond our control, such as rodents, bugs, weather, utilities, etc. Utility failure may occur and should be reported. The Gables & Palms Vacation Rentals staff will follow-up by notifying the appropriate utility company. However, as stated above, there will be no refunds given for any outages. Please do not misuse the Gables & Palms Vacation Rentals Emergency phone line. For a true emergency situation, please call Gable & Palms Vacation Rentals at 850-229-1111. * All medical, fire and criminal emergencies please call 911* Missing/Damage Items As noted above, all guests assume full responsibility for any items missing from all Gables & Palms rental properties. Guest must notify Gables & Palms Vacation Rentals immediate of any damages or losses. Pets Pets are more than welcome if you have reserved a pet-friendly property. If you have not reserved a pet-friendly property and evidence of a pet or a pet is found inside the property or on the premises, you will be vacated immediately with no refund of rental payments and the total damage deposit will be forfeited. Hurricane Evacuation In the event of a “Mandatory Evacuation” in the area that your unit is in, Gables & Palms will only charge for the nights you occupied the property. However, if you decide to leave in a “Voluntary Evacuation” no refunds will be given. Refunds are not given for early departures, inclement weather, medical or family emergency. Smoking Smoking is strictly prohibited. If evidence of smoking is found inside the property, charges will be assessed for necessary deodorizing and add ional cleaning. Construction All Gables & Palms rental areas are growing. Unfortunately, we cannot predict the location of all active construction; therefore, we cannot make any refunds or relocations due to construction activity. Telephones Long distance phone calls must be charged to your credit card or calling card or you may call collect.
Occupancy Guidelines The maximum number of guest per property is based on the specific properties ability to safely and comfortably accommodate our guest. If the maximum occupancy is exceeded, you will be asked to vacate the property forfeiting all rental payments. Pools, Spas and pool heaters No refunds or discounts will be given for breakdown or inoperability of pools, spas and pool heaters. Travel/Lodging Protection Plan The unexpected – injury, illness, mandatory hurricane evacuation – does happen and can necessitate the cancellation of your travel plans. We recommend you consider “Cancellation Insurance” to protect your vacation investment. The cost for this insurance is 6% and is added to your reservation as an optional item. Maid Service In addition to the regular cleaning done before your arrival and after your departure, we are pleased to offer you the convenience of maid service during your stay. Our cleaning service cost is a minimum of $50.00 an hour (depending on the size of your rental unit) plus sales tax for a minimum of 2 consecutive hours. Call our office for details and arrangements. Gables & Palms Vacation Rentals will need a 24 hour advance for this service. There will be no complimentary scheduled cleaning during multiple week stays. Rentable Amenities High Chairs, baby beds, rollaway beds, beach umbrella, surf boards, etc. can be rented, subject to the availability of the item. Cost is $60 plus sales tax per week. Please notify Gables & Palms Vacation Rentals when making your reservation. Items left Behind Gables & Palms Vacation Rentals will not be responsible for personal items left in/at any rental units. A $20.00 service charge and COD cost are required if you request Gables & Palms Vacation Rentals to pick up and mail items left in/at any rental units. Any items found in units that are not claimed within 30 days will be donated to charity. Properties Listed for Sale Some rental units are on the market for sale. Owners reserve the right to show the unit themselves or by Real Estate Agents by advance appointment only. Turtle Nesting Between May 1st and October 31st marks the “Turtle Nesting” season. A form outlining “turtle-friendly lighting basics” will be posted in every rental property. Please be considerate of these endangered species and protect them to the best of your ability. Errors Prices, locations, descriptions in a brochure and on agreements may change from time to time without notice. Every effort has been made to assure that the descriptions in this brochure are accurate. However, Gables & Palms Vacation Rentals cannot be held responsible for changes made by homeowners, nature or printing areas.
