Wedding Policy & Guidelines Broadway Church of Christ 1924 Broadway Lubbock, Texas 79401 806-763-0464 INTRODUCTION Congratulations! It is the desire of Broadway Church of Christ to make your wedding a beautiful and meaningful event. Our prayer is that you will have fond memories of your wedding day through the years. We want to extend every possible courtesy to you and your wedding party to make your special day such a time to remember. This booklet contains information concerning guidelines and policies that have been designed to preserve the spiritual dignity of your wedding ceremony and to protect church property. We ask that you take a few moments to read this booklet that will answer most of the questions you might have regarding building use policies, fees, etc. The agreement on the last page of this booklet must be signed and returned with your deposit. Please understand that you are not renting the church building for a wedding, but you are paying for use of the church building per the guidelines in this booklet. The policies set out in this document have the approval of the Elders of the Broadway Church of Christ. 1 Building Usage Fee Schedule Effective September 1, 2007 1. Broadway members will have the first priority on reserving available dates. 2. Deposit Refusal to follow the policies, whether it results in the damage of property or not, may result in the forfeiture of some or all of the deposit. To reserve your date on the church calendar, the deposit must be paid. You will be given a receipt when the deposit is received in the church office. The deposit will be deposited upon receipt. After the wedding all items rented from the church will be inventoried and the cost of repairing any rented items damaged or of replacing lost items will be subtracted from the deposit. If there are no items damaged or lost, the entire deposit will be returned to you in a check from the church within one week after the wedding. If there are damaged or lost items, an itemized list of those items will be mailed to you along with the remaining balance of the deposit. In the event the wedding is cancelled, the deposit will be refunded in full, unless a technician, custodial personnel, or other personnel have invested time in preparation. Under such circumstances the cost of their time will be deducted from the deposit. 3. The balance of the fee must be paid either in person or received by mailed no later than two weeks prior to the wedding date. Mark all pertaining mail to the attention of “Wedding Reservations”. 5. Fees Deposit………………………………………….…..$300.00 2 Energy usage fee (This includes the 3 hours it takes to adjust room temperature and includes all times in which the building temperature needs to be adjusted when any person related to the wedding and its preparation is working in the building. Sound/Video Technician fee ………………………...…$100.00 Security Personnel ……………………….………………$25/hr o This fee includes all times the security personnel is needed from the time the building is opened until all 3 wedding party and family members have vacated the building. If the above groups mentioned are in the building longer than the “Request for Building Use” sheet indicates, there will be an additional charge for the time the security personnel and janitorial personnel and building representative have to be in the building. This additional charge will be subtracted from the deposit. Reserving the Church for Weddings 1. Broadway church activities always have first priority for reserving the building for specific dates. 2. Broadway members will have first preference of available dates not being used for church activities. 3. “Member” is defined as the bride or groom and/or parents or grandparent of the bride or groom who has been a member of Broadway Church of Christ for at least six (6) months prior to the wedding date. 4. Weddings will not be scheduled at the following times: Sundays (May be reserved only under special arrangements.) Christmas Day and New Years Day, all deadlines listed hereafter will be advanced by two weeks. No more than one wedding will be scheduled per day or per weekend. All rehearsals must begin no later than 6:00 p.m. and last no more than two (2) hours. Saturday weddings and receptions must clear the building by 8:00 PM. Our custodial staff must have adequate time to clean and prepare the building for Sunday worship services. Wedding ceremonies on a day other than Saturday must begin no Later than 7:00 PM. All weddings & receptions must clear the building by 10:00 PM On days other than Saturday, arrangements can be made in advance for items supplied by the wedding party to be removed from the building the next day. In such a cases, all items must be removed by noon of the next day. Seating capacity The auditorium seats 1,350 people. It has 32 rows of seating and a center aisle. The chapel seats approximately 175 people. It has 13 rows of pews and a center aisle. The Lower level has a capacity of 500. It has a full kitchen The Garden Room has a capacity of 96. It has a small kitchen. The Office Atrium has a capacity of 70 The Fellowship hall has a capacity of 100 and has a full kitchen. Broadway Ministers may be available to officiate at your wedding. You are responsible to contact the person of your choice. Ministers other than those at Broadway are also allowed to officiate at your wedding. 5 Building Usage Policies for Weddings 1. All members of the wedding party must abide by the building use policies. NO EXCEPTIONS WILL BE PERMITTED. 2. Broadway’s building representative must be present at all times when anyone connected to the wedding is working in the building after 5:00 p.m. during the work week and at any time on Saturdays. 2b.If they request a Building Representative to be with them any time between the hours of 8-5, there is a $25/hour fee. 3. No tobacco products or alcoholic beverages will be allowed in the building at any time. 4. No food or drink is allowed in the auditorium or the chapel at any time except that which is directly relevant to the ceremony. 5. Birdseed or dried potpourri may be thrown only outside the church building. 6. Only silk or fabric flower petals may be dropped in the aisle during the ceremony. 7. No other items of this nature, including bubbles or confetti, not listed in #’s 4 or 5 may be used at any time. 8. The church will not be responsible or liable for lost, damaged, or stolen personal articles, valuables, or equipment brought into the building or left in vehicles parked around the building. (This includes all members of the wedding party, florist, photographer, and caterer). 9. The bride and groom are responsible for communicating this information to the wedding party and are encouraged to designate a responsible party to safeguard any personal items. 10. Any damages to church property because of the wedding/reception event will be the responsibility of the wedding party and will be deducted from your deposit. If the deposit is not enough to cover damages, you will be charged the additional repair fees. Round table cloths can be provided on site for a $10 each rental fee. The fee includes the cleaning of the tablecloths. Tablecloths must be left in the kitchen following the reception. a. Table clothes may also be rented through Ameripride Linen and Apparel Service. Phone. 747-4326 No items owned by Broadway that are used or rented for the wedding are to ever leave the building. All dishes and silverware belonging to Broadway that are used or rented for the wedding must be cleaned. The cost of cleaning any such items will be subtracted from the deposit. Broadway will provide cleaning supplies. For your own security, exterior doors may NOT be propped open at any time for the following reasons. An alarm will sound and could result in police being summoned. False alarms result in an additional fee. a. This could result in someone off the street coming into the building that might disrupt your event or cause damage to the building that would be your responsibility. The bride and groom or other members of the wedding party are responsible for giving the applicable building policies for the photographers, florist, wedding planner, and caterer. Broadway Church of Christ is not responsible for any injuries or accidents associated with any wedding related activity. 7 Instructions for the Florist/Wedding Party The following rules govern both the professional florist and friends or family members who may help with decorations. It is the responsibility of the bride or wedding planner to give these guidelines to the florist prior to the wedding so that there will be no misunderstanding or deviation. 2. All furniture and plants belonging to the church will be moved only with the approval and assistance of the church staff. 3. Tacks, tape, pins, nails, wire or glue are prohibited to prevent defacing of the furniture or building. 4. Only ribbon or wrapped floral wire that will not mar the pew ends may be used to fasten bows. 5. Floor and carpet must be protected from water in flower arrangements. 6. Candles a. ONLY DRIP-LESS CANDLES ARE PERMITTED. b. Candelabra candles, votive candles and unity candles may be used in the auditorium and chapel, on the stage area or in windowsills. No aisle, pew-end candle holders are permitted. c. Clear plastic drop cloths or pads must be used to give protection from wax, even with “drip-less” candles. 7. Florist is responsible for coordinating flower delivery with the building representative. Arrangements must be made with the building representative for the delivery of flowers. 11. If Florist comes at a time outside regular church office hours and no arrangements have been made in advance, there will most likely be no one to open the building. 12. Flowers CANNOT be delivered until the day of ceremony. 13. No food or drink is allowed in the auditorium or chapel. 14. The Broadway Church of Christ will not be responsible for any personal items brought into the building or left in vehicles parked around the building. 15. The church will not be responsible or liable for lost, damaged, or stolen articles, valuables, or equipment. 16. Broadway Church of Christ is not responsible for any injuries or accidents associated with any wedding related activity. 17. The florist/wedding party is responsible for removing all decorations PROMPTLY following the ceremony or reception. 18. Smoking is not allowed in the building. 19. Alcoholic beverages are not permitted on the premises at any time. 9 Instructions for the Caterer Broadway does offer a catering service. The advantage of using Broadway’s caterer is that they are familiar with the building and its policies. The following rules govern both the professional caterer and friends or family members who may help with the reception. 1. Wedding receptions at the Broadway Church of Christ can be scheduled in the Garden Room Lower Level, Fellowship Hall, or Office Atrium. 2. Round tables that are 60 inches in diameter and have a Formica top are available for use. 3. Round table cloths can be provided on site for a $10 each rental fee. The fee includes the cleaning of the tablecloths. Tablecloths must be left in the kitchen following the reception. 4. Two wooden drop-leaf tables are also available. Chairs are also available for the Garden Room. 5. It is the responsibility of the bride to give these guidelines too the caterer prior to the reception so that there will be no misunderstanding or deviation. 6. Arrangements must be made with the building representative for all set up times. 7. All church furniture and plants will be moved by church personnel per the set up instructions given to the church office. Two ovens Be sure to bring any towels, paper towels, plastic wrap, foil, etc. that you might need. The caterer or wedding party is responsible for removing all decorations and equipment PROMPTLY following the reception. Smoking is not allowed in the building. Alcoholic beverages are not permitted on the premises at any time. The following rules govern both the professional and amateur photographer. 1. Arrangements must be made with the building representative for the time the building needs to be open and air conditioning provided. 2. The bride is responsible for reviewing these guidelines with the photographer prior to the wedding in order that there be no misunderstanding or deviations from these established rules. 3. Smoking is not allowed in the building. 4. Alcoholic beverages are not permitted on the premises at any time. 5. The Broadway Church of Christ will not be responsible for any personal items brought into the building or left in vehicles parked around the building. 6. Broadway Church of Christ is not responsible for any injuries or accidents associated with any wedding-related activities. 12 Music And Video Guidelines These guidelines are designed to help make your wedding as troublefree and enjoyable as possible. Videos or music that are not submitted to the church as set out in this policy have a much greater risk of having technical glitches which detract from the beauty of the wedding. 1. The use of taped and live instrumental music is permitted. 2. Broadway’s wedding representative must approve all music. a. The main music concern has to do with the lyrics. b. No vulgar language is allowed. 3. Music must be submitted at least three weeks in advance of the wedding so that the appropriate parties can give approval at least two weeks prior to the wedding. 4. All instruments used must be removed from the Broadway building prior to any corporate worship event. 5. No changes can be made without the approval of Broadway’s wedding representative. 6. Weddings in the auditorium and chapel will require the use of a sound/video technician to set up microphones, play recorded music, video clips, etc. As stated on the “Building Usage Fee” page, a $100 fee for this technician will be in addition to building usage fees, etc. a. Only one of Broadway’s technicians can be used. 7. If video playing is required, it must be submitted in DVD format and turned into the office at least three weeks prior to rehearsal date to avoid any technological problems. 8. Recorded music must be submitted in CD (region 1) format. If you are not sure what that is, the office will put you in touch with one of our technicians for explanation. 9. Slide shows must be presented in power point format. 13 Kitchen Items Available for Rental None of the items listed in this section are to every leave the premises of Broadway Church of Christ. All items must be cleaned as found. Please indicate the number of any items that you wish to use. Our staff will take an inventory after the wedding before the deposit can be returned. Within one week following the wedding: ____ Turn in keys to church office. ____ Any funds remaining in the deposit will be returned by check. 16 AGREEMENT Broadway Church of Christ Lubbock, Texas We, the undersigned, having been provided a copy of and having read the Guidelines for Weddings and Receptions of the Broadway Church of Christ, Lubbock, Texas (BCOC), herewith agree to abide by these guidelines as evidence by our signatures below. This Agreement is to be returned to Broadway Church of Christ within ten (10) days after reserving the date of our wedding and serves as confirmation of that reservation.
