Equipment Rental Contract and Order Forms 2009
Special Notification
Building Services will supply equipment to all headquarters sites. We do not supply equipment to meal sites. Building Services will contact outside vendors for those areas and as such, costs may be higher than what is normally charged through this department. We will need your estimated attendance at meal sites as soon as possible in order to guarantee rental equipment from our vendors. Please remember that this is a very busy time for vendors and that they very quickly run out of inventory. Due to problems in the past with lost or stolen tables and chairs at meal sites, there will be some security measures in place that may increase your costs. It is the responsibility of the last class using a meal site to break down the equipment and stack everything neatly. Failure to do so will result in additional charges. There may be a delivery and pick up charge for meal sites that are passed on from the outside vendors.
Due to the need for the speedy removal and transfer of equipment to other locations in support of Baccalaureate, Commencement, Senior Prom, Step Sing, Class Day, etc.. sites must be broken down and ready for inventory by 6 am on Sunday morning. No headquarters sites can be used for sit down Sunday Brunches. Some banquet tables can be used for food set up but it is essential that all round tables and chairs are stacked and ready to go.
It is important that chairs not be removed from headquarters or meal sites. This may result in University equipment being mixed up with outside vendor equipment and charges for lost equipment will be incurred. Please do not allow people to take chairs from your sites to watch P-rade or fireworks. Each site is responsible for missing or damaged equipment and charges will be incurred for anything missing or damaged on Sunday morning. It is not the responsibility of Building Services to have to round up chairs spread all over campus. We will not accept any excuses from your student staff for missing equipment. Bringing chairs into dorms should be discouraged. This becomes troublesome for the student crews that need to round up missing chairs at the last minutes. Please review and familiarize yourself with this information and return these forms to us by April 21, 2009. 1. All equipment and supply orders must be submitted on the attached order forms. Please submit a separate rental order for each delivery location. The Department of Building Services is responsible for delivery and pick up of all equipment. Rental equipment is delivered to specified locations and stacked; it is neither set up nor broken down by Building Services staff. All rental equipment must be placed in a single obvious area for pick up. This equipment must be neatly stacked and ready for pick up by 6am on Sunday morning. Failure to breakdown the equipment will result in a 250.00 fine. Missing equipment will be charged to the class. Missing Equipment from meal sites will be equally charged to all classes. All equipment rented becomes the responsibility of the Class upon delivery. The Class Chairman or Undergraduate Secretary should be present at the time of delivery and pick up in order to verify the count. Please contact Alan King at 609-258-1778 to verify deliver date and time. If no one is present for delivery or pick up, the count of the Department of Building Services will be the count of record. The Class Chairman or Undergraduate Secretary should make every effort to avoid equipment loss or damage. If loss or damage occurs, the Class will be charged for replacement cost in addition to the rental charges. These forms should be filled out, signed and forwarded to Alan King in the Department of Building Services no later than April 21, 2009.
