EMBARQ Business Accounts Viewable on the Web User Management Hierarchy Management View Bill Report Management Report Download Data Files Download Page 1 of 37 User Management Screen Overview Adding a New User Editing and Existing User Deleting a User Introduction This documentation is provided to assist the end user in maneuvering and manipulating User Management screens. This interface allows administrators to add, update and delete users in their organization and assign user roles. An organization may have an unlimited number of users with different combinations of user roles. The User Management screens allow the administrator to: Add a new user Update an existing user Delete an existing user Create a User ID Assign user roles The following roles are available when setting up a new user: Billing Administrator Manages the billing hierarchy and can add, move or delete accounts User Management Manages other users in the organization and can assign roles. My Services View account summary and current services View Bill Only View invoices but unable to make changes such as add or delete accounts View and Pay Bill View and pay invoices but unable to make changes to the accounts Access Reports Ability to request reports and download the data Back to User Management Overview Back to Top Capabilities on this screen User Roles Page 2 of 37 Adding a New User Adding a New User The below Step/Action will guide you through adding a new user to an organization: Step 1 2 3 4 5 Action Login to the appropriate organization that requires an additional user. Click on Switch next to the organization name if you want to switch to another organization. Click on My Account>My Organization>User Management>Add User, to add a new user to your organization. If the new user has an existing user ID, enter their user ID and click Continue to add them to the organization. If the new user does not already have a user ID, click on Click here for new user. For a new user ID, enter the First Name, Last Name, User ID and Email Address. Confirm that the information is correct for all other users. Click User ID Rules to learn about naming standards for a User ID. Place a check next to each of the User Roles that you want to give this user. Click User Role Definitions to learn more about each role. Note and Warning: Users with the Billing Administrator role have full access to view and modify the account. Click Continue to save this user profile. A Success message will display stating that the user was successfully added. Back to Top 6 7 8 Back to User Management Overview Page 3 of 37 Editing an Existing User Editing an Existing User The below Step/Action will guide you through updating an existing user: Step 1 2 3 4 5 Action Login to the appropriate organization that requires a user status update. Click on Switch next to the organization name if you want to switch to another organization. Click My Account>My Organization>User Management>Update User to update users in your organization. Enter the employee User ID you want to update and click Continue. Verify the First Name, Last Name, User ID and Email Address of the user you are modifying. Place a check next to each of the User Roles that you want to give this user. Click User Role Definitions to learn more about each role. Note and Warning: Users with the Billing Administrator role have full access to view and modify the account. Remove a check from each of the User Roles that you want to take away from this user. Click User Role definitions to learn more about each role. Click Continue. Click Confirm Details to confirm the changes or click Edit to go back and revise the changes. A Success message will display stating that the user was successfully updated. Click on Switch next to the organization name if you want to switch to another organization. Click My Account>My Organization>User Management>Delete User to delete a user for your organization. Enter the employee User ID you want to delete and click Continue. Enter the employee‟s email address for verification. Click Continue. Verify the First Name, Last Name, User ID and Email Address for the user you are deleting. Click Delete User to delete the user or Cancel to go back. A Success message will display stating that the user was successfully deleted. Click the Refresh button. Select the User(s) to assign to the account. Click the Assign button. The Employee(s) is now assigned to the selected account(s). The employee can now view all organizational information associated with the account(s). Click My Organization>Manage Hierarchy. Select the Billing Accounts tab. Click the Filter drop down menu and select search by Account or Folder. Enter the search criteria in the Text field. You can search using a wild card by entering an asterisk (*) before the search value. For example: *123 will return all accounts or folders that have the value 123 in the text. The View Bill screen allows the user to: Select an invoice to view Select the billing cycle (up to three months history) View an interactive invoice View a summary of the monthly invoice Drill down into invoice details Perform reverse number lookup View bill inserts for special saving offers View a PDF copy of your invoice (up to 18 months history) A summary level view of the invoice will be presented first and the following categories may or may not appear depending on the services the user subscribes to: Business bundle – Specific groups of products and services sold together at a discount. Local Service – Products and services not associated with a bundle or package. Data – Examples include PRI, Frame Relay, T1, ATM and Internet DNS. Long Distance – Section only appears if you selected Embarq for your LD carrier. Departments – May include charges for multiple services in the same department. This is only available for major account customers. The total dollar amounts for each category are located on the right and the user may select the dollar amount to drill down into the details. On the left navigation bar click Local Summary to navigate back to the summary view. What Are the Taxes and Surcharges on My Invoice? What Are Dish/Entertainment Charges? How are Wireless Plan Minutes Calculated? What Are Minimum Billing Charges? What are Restoration Charges? What are Third Party Charges? What Are Prorated Charges? “Prorated Charges” occur any time you make changes to the products and services that you receive from EMBARQ. This is due to the fact that all recurring charges (such as your phone service) are billed one month in advance. When you add a new service or make changes to an existing service, your next invoice will reflect these new charges for the current month (a partial month of service) as well as a full month of charges for the following month of service. For example, if you established service in the middle of the month and your normal invoice cycle occurs at the beginning of the month; your invoice will reflect charges for the remainder of the current month plus a full month of charges for the following month. Although “Prorated Charges” can result in a larger than normal invoice, please be assured that subsequent invoices will be consistent with your expectations. What Are Embarq Bundles? Back to Billing Questions Back to Top EMBARQ sells specific groups of products and services together as “Bundles”. These Bundles are usually sold at a discount to the customer. These charges are displayed in a specific section on the invoice. Within this section you will find the amount you saved by purchasing these products and services in a bundle. Notes: If you have multiple telephone numbers with a bundle they will be detailed sequentially by telephone number. In certain states EMBARQ is required to show hot much of the solution is “Non-Regulated, Deniable or Non-Deniable”; this would be noted directly under the bundle description. Examples of these are the wireless activation fee, High Speed Internet connection fees, etc. The “Additional Charges” subsection of the invoice will provide detail to any one time charges. Back to Billing Questions Back to Top Many jurisdictions impose taxes and fees on the purchase of telecommunications services, data services, and sales of equipment. The “Government Fees and Taxes” section of your invoice consists of various taxes and fees imposed by taxing jurisdictions associated with your service address. These taxes and fees are imposed at various levels, including federal, state, county, city/town and district. A short description follows each line item to provide additional information about the taxing authority that imposes the tax or fee. The “Surcharges and Fees” section of your invoice consists of charges that EMBARQ is authorized to pass through to the customer. These surcharges represent governmental subsidies or other cost recoveries. A short description follows each line item to provide additional information about the purpose of the surcharge or fee. Back to Billing Questions Back to Top If you have chosen to conveniently have your DISH Network® charges billed with your EMBARQ™ products and services, they will appear in the “Entertainment” section of your invoice. Within this section you will find a description of the recurring products and services you have subscribed to such as “America‟s Top 100” or “Additional Receivers.” You could also find promotions, credits, or movies/events you viewed in the last month. This is all displayed in a two column format. The first column provides the charge description on the first row and then the date or span of date of services. The second column provides the charge of the product or service described in first column. Page 18 of 37 How are Wireless Plan Minutes Calculated? Proration of Wireless Plan Minutes Any time you establish or change your wireless plan, prorated charges and wireless plan minutes will be recalculated and displayed in the wireless section of the invoice. These wireless plan minutes are calculated using the following method. Proration Calculation for Wireless Plan Minutes The number of minutes you would have available when establishing or changing a wireless plan is calculated in the following manner: (Number of days of service) divided by (Number of days in the billing system calendar) multiplied by (the number of minutes in plan). For example: You established a wireless plan with 200 anytime minutes on the 16th of July and your wireless invoice cycle ran on the 25th of July. Take the 10 days the service was active, divided by the 31 days in July and multiply by 200 minutes (10 days/31 days)*200 minutes in plan = 65 minutes prorated for those 10 days. *Note: Use the date that your service was established in the wireless portion of the invoice and not the date at the top of the invoice. The date at the top of the invoice is the date the invoice is printed and not the billing date for wireless. What Are Minimum Billing Charges? If you disconnect service or any portion of the service before the initial 30 days expire, they are billed for the full month. Exceptions include transfers of service during the first 30 days, and promotions for Call Center Framework, which include a “free 1-month trial”. Restoral fees are tariff charges in the states where EMBARQ provides Local service. In fact, failure by EMBARQ to apply the fee, indiscriminately and consistently, could result in Public Utility Commission violations. EMBARQ provides billing and collection services on behalf of other telecommunication companies. The Report Management screen allows the user to: Request a variety of reports Schedule the frequency Establish email notifications Invoice Detail Report Presents the monthly invoice in CSV (comma separated value) format Account Activity Report Provides a list of the last month’s service order activity including any associated charges and credits. Taxes and Surcharges Report Details all invoiced taxes and surcharges. Customer Service Report Provides information on all products and services billed on a monthly recurring basis. Product Detail Report Presents all monthly recurring charges sorted by product type. Primary Interexchange Carrier Report Identifies the Interlata and Intralata carrier assigned to each individual line on the account. Capabilities on this screen Report Types Page 21 of 37 Overview Continued Report Frequency and limitations A specific account must be selected before the report frequency is established. The following reports may be requested on a monthly basis. This report is generated on your bill cycle run date (the date your bill prints): Invoice Detail Report Account Activity Report Taxes and Surcharges Report The following reports may be scheduled at any time: Customer Service Record Report Product Detail Report Primary Interexchange Carrier Report All reports may be requested one time or on a monthly recurring basis. Reports can only be requested every 7 days per account number. If a user requests a report that was already run in the past week a message will appear on the screen to proceed to the report download page to access the report. This situation may occur if another user in your organization requested the same report. Email and delivery of reports Email address(es) will be required to deliver notification of report readiness. Multiple email addresses may be entered and will be used to notify the user when the report is ready to review and download. This is generally the next business day. A link will be provided in the email, by clicking on this link the end user will be taken to the sign on screen where their report can be viewed. (www.embarq.com/business) Download Capabilities Reports will be presented in CSV format but each user has the ability to download the requested report into Excel or Access for their records. Step 1 Action Click on Report Management to display a page allowing the selection of an account, report, recurring reports and notification options. 2 Click Select Account dropdown to choose the account the report is to be generated from. All accounts tied to your organization will be displayed. Note: To add additional accounts to the list proceed to Modify Organization. 3 If the Invoice Detail, Account Activity or Taxes and Surcharges Reports are desired, place a check mark in either the One Time or Monthly column. By selecting „monthly‟ your report will be generated monthly on your bill cycle. By selecting „one time‟, you report will only be generated one time. 4 If the Customer Service Record, Product Detail or Primary Interexchange Carrier Reports are requested, you may enter a one time Run Date by entering the mm/dd/yyyy format or choose the calendar icon to select a date. These reports are updated daily. 5 You may schedule these one time or on a monthly basis using the Schedule dropdown box. 6 Select Email next to each report to Add or Remove addresses from the list of notifications. 7 Once selected, enter a new address in the text box and select Add to place that email address on the notification list. Select an email in the notification list and select Remove to remove that address from the notification list. Notification lists are unique to each report. You may have a different notification list for each report. 8 Click the Accept button to accept all schedule changes/additions and begin processing. 9 Reports will be generated within 24 hours. Email notifications will be sent to all requested addresses when reports are ready for viewing. If the report has already been completed at the time of the request, the end user will receive notification that the report is available for viewing immediately. The Report Management screen allows the user to: Select the account number Access the drop down box to select the account number. View report types Invoice Detail Report Account Activity Report Customer Service Report Product Detail Report Primary Interexchange Carrier Report View Status Scheduled – report has been requested and will be available on the next business day. Processing – report is in the process of running and will be available on the next business day. Ready to Download – select the report and download by following the pop up instructions. ReProcessing – unsuccessful report generation. The system will attempt to process the report for 3 days. Failed – please contact a customer service representative by selecting Contact Us>Billing Invoice Information>other. View Date Requested – the date the report was originally requested. View date Completed – the date the report was available for downloading. Download report link – access the link to download the report and follow online instructions.
