1. Eligible Customers
The products and contract terms and conditions are available to DoE in general, including all DoE schools, business units and agencies.

2. Purchasing
Products may be ordered by contacting the supplier directly and providing an official purchase order. Purchase order should specify all relevant information including part numbers, delivery address and a primary contact.

3. Delivery & Training
Delivery is included with the purchase of a data projector or interactive whiteboard at no additional cost. A basic operational training package is included in the purchase and will be provided at the customer premises. The training supplied must ensure that customers are able to utilise the functions of the product(s) without the need to contact the supplier. At a minimum, training must include: • • • • Switching on and off of all equipment Familiarisation with the main functionality of the equipment Care and maintenance of all equipment Health and safety matters when using equipment.

In addition, tenderers will be required to leave the Customer with a hard copy of the training material for future reference. Advanced courses are also available upon request from suppliers, these additional training courses will vary in content and cost across panel suppliers. Schools are encouraged to contact their chosen supplier to arrange additional training. Training will be available for both individual and group sessions and is expected to take no more than 1.5 hours.

4. Installation
Installation may be purchased as an optional extra at a fixed cost as per the pricing information below. All panel suppliers are required to adhere to the following parameters when providing installation of equipment under this panel arrangement: General requirements Installation must include the following:   Completion within 10 working days of delivery Where relevant, allowance for site inspection and consultation with Customer to agree on scope prior to installation. Installation height of the whiteboard will be determined by the Customer. In some cases, agreement may have to be reached with regard to specific site issues. All necessary items including cabling and leads, wall plates including connections for VGA, Video and the Interactive Whiteboard, etc. A VGA cable that will run between the wall plate and the data source of a minimum length of 5m. Assistance to cater for ‘high-glare’ environments either through the installation of blinds (where necessary) or specific advice on how to reduce the glare to an acceptable level. Installation of software onto one computer per board at time of installation of board. All software media, installation notes and standard documentation must be provided to the customer on the day of installation.

    

Whiteboard installation requirements       The installation of whiteboards must: Include secure fixing of whiteboard to the wall (unless there is a genuine requirement for a portable whiteboard). Include an allowance for a platform where necessary for access to the board. Ensure whiteboard location does not obstruct or interfere with storage areas (ie. cupboards, filing cabinets), Ensure whiteboard location does not obstruct heating or cooling devices and proximity to such devices does not interfere with the normal operation of the devices or the whiteboard. Include the securing of all cabling for the whole of the cable length through to the chosen/likely location of the equipment to which it will be connected (for example, a computer), subject to cablelength limitations to ensure a safe environment. Ensure that all cables are terminated with an appropriate connection facility - for example, a termination box. Ensure that all cabling where possible is concealed within ceiling and wall cavities or duct work as appropriate. All duct work must to run in such a way that is visually unobtrusive. Include the cable for the interactive whiteboard that will run between the wall plate and the data source. Cable length options of 1m, 3m and 5m should be made available. The installation of data projectors must include: The installation of a 240V power point for the projector. Ceiling mounting at a height of no less than 2.1m from the floor. The projector being angled down to display an appropriate image onto the interactive whiteboard and the projector's keystone function being enabled. The projected image will fill the whole of the interactive whiteboards membrane area and will be square within this area. Installed projectors/display will require multimedia cables to be connected and installed to a single accessible point in the room (for example, the location of a computer). Dependent on the type of solution, this may also require cabling to the whiteboard. This must be provided within the price of the projector installation.

5. Obtaining support
When contacting the supplier, please be prepared to quote the product and part number, fault description, serial number and location details such as address, contact name and telephone number. The process of returning faulty products and receiving replacement products will vary from one supplier to another, please check the terms and conditions of the product you elect to purchase. Please ensure that the products for which warranty support is required are within the warranty period purchased. In the event of a hardware problem with a product purchased under this contract, users should contact the supplier directly as per below:

Mimio Portable units will be swapped out on-site. Procedure requires school to contact IBS A.V who will troubleshoot the issue and if it cannot be resolved will authorise Mimio sole importer and distributor in Australia to dispatch a replacement unit or component to the site. The replacement consignment will include a prepaid return shipping label for return of the defective unit or component to Mimio Importer/Distributor in NSW. Schools will be required to contact the courier once return item is packed and ready for delivery.

For cases where the embedded sensor assembly in the board is determined to be defective a replacement sensor assembly will be brought on site for swap out by supplier.

The Epson projector includes a 3 year manufacturer’s warranty with the swap out service provided by IBSAV. IBSAV require that the faulty projector is returned back to IBSAV and a swap out projector will be supplied in the first three years after purchase. Schools will be required to contact the courier once return item is packed and ready for delivery.
