The Rules and Regulations constitute an integral part of your contract and will govern the technical exhibits. An authorized signature on the contract confirms acceptance. Exhibits are located in Halls D & E and Ballroom of the Phoenix Convention Center South Bldg. The Arizona Dental Association extends a cordial invitation to firms and organizations that supply the essential therapeutic agents, services and equipment used in the practice of dentistry to offer technical exhibits at our Western Regional Dental Convention. EXHIBITOR SETUP Wednesday, April 2, 2008, 8:00 a.m.-6:00 p.m. For security reasons, all personnel must vacate the hall at 6:00 p.m. on April 2, 2008. Exhibit hall will be open for exhibitor personnel only at 6:30 a.m. on Thursday, April 3. Setup must be completed by 7:00 a.m. on Thursday, April 3. EXHIBIT DISMANTLING Saturday, April 5, 2:00 p.m. to 7:00 p.m. Dismantling before the conclusion of show hours on Saturday will result in the removal of the company name from the priority mailing list. Exhibitors will complete arrangements for prompt outbound shipment with the General Service Contractor. Packing of all exhibit freight must be completed no later than 7:00 p.m. on April 5. All freight not called for by 7:00 p.m. on April 5 may be shipped by a carrier selected by the General Service Contractor at the exhibitor’s expense. Desk will be open Wednesday, April 2, 8:00 a.m.-6:00 p.m.; Thursday, April 3, 6:30 a.m.-6:00 p.m.; Friday, April 4, 7:30 a.m.-6:00 p.m.; Saturday, April 5, 7:30 a.m.-7:00 p.m. Badges to be picked up at Exhibitor Registration. Identification and company business card required. BOOTH ASSIGNMENT Participation in the Arizona Dental Association’s Western Regional Dental Convention is on an invitational basis. All exhibitors are subject to review and approval by the Council on Dental Education. The Association reserves the right to invite offers for use of space at such Convention from individual exhibitors who had space at the 2007 convention, but is not required to extend such invitation to any individual exhibitor. The extension of such invitation is based upon an exhibitor’s acceptability for further participation in the Association’s Convention, with the Association being the sole judge as to such acceptability. Exhibitors should send a minimum of their first, second and third choices from the floor plan (up to 6 are offered) indicated on Application to Arizona Dental Association, 3193 N. Drinkwater Blvd., Scottsdale AZ 85251. Former exhibitors must return their contract and full payment within thirty (30) days after the final day of convention (April 15, 2007) or forfeit their senior status. No guarantees on booth space will be made verbally to exhibitors. Booth assignments will begin November 1, 2007 and will be sent in writing. No guarantees on reassignment of booth space without full payment with application. RATES, REFUNDS AND DEPOSITS Booth rates are stated on the official Invitation to Exhibit. No space will be assigned without a completed contract and full payment at the time the exhibits contract is returned to the Arizona Dental Association. If full payment is not included with the contract, space will not be assigned. All applications for booth space should include payment in full. CANCELLATION POLICIES The Arizona Dental Association reserves the right to reject any Application for Exhibit Space for any reason whatsoever. Exhibitors wishing to cancel contracted space must do so in writing, postmarked by January 5, 2008. Cancellations postmarked after January 5, 2008 are subject to a $500 per booth cancellation fee. Cancellations postmarked after January 31, 2008 are non-refundable. The Arizona Dental Association reserves the right to rearrange the floor plan and to reassign booth numbers anytime. NO-SHOW POLICY Failure to claim assigned booth space by 7:30 a.m. on April 3, 2008 without prior written notification will result in forfeiture of all fees. REGISTRATION Each exhibit is limited to individuals, business firms, manufacturers, and dealers who have contracted and paid for space. Exhibit booths must be staffed by registered exhibit personnel at all times during the official show hours. Each exhibiting company will be allowed to register a total of five (5) booth personnel per booth. Dentists, hygienists, assistants, or technicians may not register as a guest of an exhibitor. Additional booth personnel, over the five (5) per booth allowance, will be charged a $20 fee per registrant. Maximum of ten (10) badges per company. All exhibitors are required to order personnel badges in advance of convention. Deadline for badge orders is March 1, 2008. It is highly suggested in order to avoid long lines at Exhibitor Registration that you make all badge changes prior to March 1, 2008. All changes after March 1 will be on-site only. Exhibitor must show company ID and photo for badge (e.g., business card, company photo ID). All exhibits personnel must be bona fide full-time employees of the exhibiting company or representatives who receive commission, brokerage, or salary from the exhibitor. False certification of individuals as exhibit representatives, misuse of exhibitor badges, or any other method or device used to assist unauthorized persons to gain admission to the exhibit floor, may be subject to a fine of the applicable registration fee and/or expulsion of the exhibitor from the exposition and barring him/her from further entrance to the floor without obligation on the part of the Association for refund of any fees. Upon the exercise of this authority, the exhibitor, his employees and/or agents waives any rights or claims for damages against the Arizona Dental Association arising out of the enforcement of this paragraph. GENERAL ELIGIBILITY REQUIREMENTS All new exhibitors are subject to review and approval by the Council on Dental Education. (The Association reserves the right to bar any exhibitor. This reservation embraces individual representatives, conduct, printed matter, price lists of commercial laboratories, catalogues, souvenirs, and other matters at the discretion of the Arizona Dental Association.) Special signs shall not extend more than eight (8) feet above the floor or above the lower level of name sign, whichever is the lower and no side or dividing partition or other separator between exhibits shall extend higher than three (3) feet, three (3) inches from floor level unless prior written authorization is obtained from the Association. — Purely decorative material may extend above 8 foot limit providing (1) it is in good taste, (2) it is in keeping with the general tone of the meeting and (3) it does not interfere with or detract from adjoining exhibits. The placement of all signs, banners and advertising matter shall be subject to the approval of the Association. Public address systems and sound motion pictures may not be used. All banners and decorative material must be fireproofed and conform to the requirements of the fire department. — Aisle space may not be used for exhibit purposes, mechanical or moving robots, displays or signs or for solicitation of business. Distribution of cards, circulars, samples or exhibit material is expressly forbidden in areas outside of the exhibit booth unless a sponsor contract is in place. — Over-the-counter sales within the exhibit hall is strictly prohibited without prior written consent. The taking of orders for future delivery outside the exhibit hall is acceptable. Violators are subject to sanctions. CARE OF THE BUILDING A non-refundable $5.00 fee is incorporated into the cost of each 10 x 10 exhibit booth. Exhibitors will be held responsible for any damage done to the building, equipment, or decorations by them or their employees. No nails, tacks, or screws shall be driven into walls, woodwork, picture frames, or floors of the building. No signs, posters, announcement or other articles shall be posted, nailed or otherwise attached to any of the pillars, walls, doors, floors, etc., in such manner as to deface or destroy the same. Floors must be protected against dripping oil or other substances that might produce stains. Gasoline, kerosene, acetylene, or other flammable or explosive substances will not be permitted in the building. By state law all the decorative materials must be fireproofed and must conform to the requirements of the fire department.
