Welcome Letter
Thank you for considering me to serve your childcare needs. If I am your provider of choice, I look forward to a fruitful, collaborative journey of exploring and strengthening your child’s innate strengths and skills as we embark upon this relationship. I characterize this as a relationship because we will be getting to know each other; your family to my family, as we learn about y(our) precious infant(s). I use the inclusive “y(our)” because I stand by the adage “it takes a village to raise a child”. Your child would be my child; in a nurturing relationship boundaried by the goals we mutually set for care. This includes a truly collaborative exploration of your family’s needs which will result in a unique arrangement of caregiving, which extends from payment terms/rates to potty training. In other words, I won’t have a standard rate, but a range and a sliding scale, which is as flexible as the uniqueness of the care your child will receive. I take this relationship seriously, and have outlined a process to support us in defining a fit1 as follows: Process

What Sankofa Solutions has to offer your child At this meeting you visit my home care center and get a “feel” for who I am/what I do. I STRONGLY prefer that your child/potential client accompanies you; to see how they react to the location and myself At this meeting we talk about the financial, time and reciprocal care giving expectations necessary to support your child(ren) This will include reviewing the policies and procedures in the accompanying handbook and negotiating a mutually acceptable rate Unlike the previous three steps, this will not be a meeting, but a 4 week period to define if all is well. This might include: 1. Gradual orientation for your child, with a “step down” process to minimize trauma. 2. Collaborative discussion of how child is adjusting and specific steps to ease transition.

About the Owner: Sankofa Solutions Child Care Services is the loving brainchild of Wilhelmina Esi Sekyiwa Parker. A naturalized immigrant from Ghana, West Africa, Wilhelmina calls Oakland, CA home. Education and Background: An organizational effectiveness/human resources consultant by profession, Wilhelmina holds a Bachelor of Science Degree in Business Administration, a Masters Degree in Org. Psychology, a Graduate Certificate in Conflict Management, and certification as a Senior Professional in Human Resources (SPHR) through the Human Resources Certification Institute. In a professional career which spans Africa, Europe and the US, Wilhelmina has devoted her talents to supporting a variety of human resources functions, spending several years of her career in management and leadership roles in human resources in an array of for profit and social service organizations. Most recently, Wilhelmina was the Training Manager of Fred Finch Youth Center, (a mental health organization providing mental health services for youth in the foster care system); where she successfully launched and managed the Agency's Training & Learning Program with goals to develop the skills of paraprofessionals working with children and youth, while simultaneously managing Sankofa Organizational Solutions ( www.strainingsolutions.com) an organizational effectiveness consultancy she founded in the late 90's, specializing in an array of Human Resources and Information Technology Services. A social activist and student of diversity, Wilhelmina's hobbies and passions include defining simple ways to mitigate need in developing African countries, specifically Ghana, W. Africa through Sankofa Incorporated. (www.sankofainc.net) Why Sankofa Solutions Childcare? In her own words: "I've always loved serving where there was the highest need, and I feel really blessed to be able to make a difference in the life of a child- the epitome of the purest kind of need. Sankofa Child Care is the culmination of my dream to offer quality, affordable, childcare services for professionals who work outside the home in a home based setting; reflecting a yen to work closer with children by being a part of the transformation of their formative years. One of the things I learned in working in the mental health field was that consistent and healthy caregiver attachments developed in early infancy were of greatest importance in healthy adjustment, a truth which made this mission feel more important. It became even more personal when, seven years ago, I left my daughters, Paige and Julia (then 1 and 2 respectively), at a child care center to go back to full time work. At that time, I knew I wanted to create MY version of the right NURTURING family based child care environment which: a. Developed life skills in children b. Provided a nurturing and loving environment c. Gave parents the peace of mind to be sure that their little ones were safe, happy and joyful AND d. Provided a trusted resource on a “round the clock/weekends included” basis for those who needed it. This is the beginning of the translation of that wish to reality. What we do: Sankofa Solutions Child Care Services provides family based 24 hour childcare services for children between the ages of 0 - 10. (Services may include before and after school pick up/ drop off) Where we are located: Sankofa Solutions Child Care Services is housed in a warm, residential setting which sits on a hill in the apex of Delmont and Hillmont with a panoramic view of the majestic Oakland Hills and a backdrop of lush vegetation and mature trees in the picturesque Oakland Hills/Mills area. “My little Footprint!” Engages child’s global sensibilities by educating about minimizing global footprint. Includes: “Watch me grow!3[1]” – Children assist care giver in preparing vegetable beds, planting, and tending to crops of choice and watching them grow (with parents approval 4[2]) Children will get to take home natural, organically grown, pesticide free vegetables home to enjoy at their dinner tables, or as part of child care meal plans. A great way to develop healthy eating habits, collaboration and ensure that healthy outdoor habits are cultivated! “Recycling Robert”: Children are taught to recycle by feeding “Recycle Robert” appropriately "Earth friendly" fun activities including paper recycling plant “Me and the World!” Allows children to explore textures, feelings and colors includes: Muddling with Textures- Finger Paint/“Free play” sessions in the “Rembrandt center” where children are equipped with paint brushes, smocks and paint and allowed to EXPERIMENT AND PLAY unbridled with textures, colors and “squishes”. Policy and Procedures

As adults modeling boundaries and respect of self, others and process, I have outlined some guiding principles, policies and procedures to aid us in maintaining a safe, healthy and respectful working relationship. Please review all policies and procedures on the following pages in entirety.
Cultural Considerations will ALWAYS be considered in flexing policies to reflect privately held spiritual and cultural beliefs as long as they do not jeopardize the health and welfare of other children Arrival & Departure:
All children must be brought into the daycare home by an adult each day and will only be released to an adult. No child or adult is allowed inside my home without my permission. Please inform me of any pertinent information when you drop off your child (i.e. medicine given, woke up early, last feeding, etc.) Children are to arrive each day clean, dressed and with combed/groomed hair. You are required to notify me by the beginning of your contracted hours if your child will not be coming for the day or will be arriving late. If your child needs to be picked up early for a doctor’s appt., etc. please call ahead so that I may have your child ready for you. NO CHILD WILL EVER BE ALLOWED TO LEAVE MY HOME WITH ANY PERSON NOT AUTHORIZED BY THE PARENT. A driver’s license is required prior to any child being allowed to leave my home with anyone that I am unfamiliar with.
Changes
Families frequently have changes- new home, new jobs, and new telephone numbers. Please keep me informed. Accurate information is critical for efficient, professional handling of emergencies. You are required to inform me if you are at any other location than what is listed on your emergency form and to provide a telephone number for that place.
Child Abuse/Neglect
I will notify Child Protective Services or the local law enforcement officials by telephone when it appears that a child is being seriously neglected or abused, no exceptions.
Children’s Absences
There will be no refunds or adjustments made to your childcare fee for your child’s time missed due to illness, holidays, or days off. A space is reserved for your child and cannot be filled on a short –term basis.
Clothing
This program is designed to keep children active- both indoors and out. Children should wear appropriate clothing to accommodate the activities they will be involved in. Please do not dress your child in his/her “Sunday Clothes” and expect them to stay clean. I will take reasonable precautions not to allow children’s clothing to become “damaged” during messy activities. An extra set of clothing must be left with me at all times for all children. I am not responsible for lost or damaged clothing, but will take measures to make sure that your children’s clothing are kept safe.
Communication
Communication is very important to me. When I accept a new family into my home, I like to be sure that we can share openly any concerns or questions that may arise. It is important that there is a similar childcare philosophy between us. I welcome questions, feedback, or discussions of any kind that affect a positive outcome for the child. Sensitive issues will be discussed outside of regular hours either by phone or at a scheduled conference. You may call me between the hours of 6:00 am and 9:00 pm, or evening hours if your child is in my care at night. If you are calling during the day, please be aware that I may be busy with the children and may not be able to answer the phone. If you will leave a message on my voicemail, I will call you back as soon as possible.

Days & Hours
I will open when children are scheduled to attend. Your specific hours will be outlined in your childcare contract. I require two weeks notice if you need to change your contracted hours. I also reserve the right to terminate care if the new hours will not work well for all concerned Children may be allowed to arrive earlier or stay later if prior arrangements have been made. In cases of emergencies or other problems, which may hinder you from picking your child up on time, I would appreciate a phone call. Based on the situation, I will determine if additional fees are due at time of pick up. (see Late Fees)
Emergency Drills
Emergency drills will be held periodically to acquaint the children with evacuation procedures. This may make quite an impression on your child the first time a drill is held, but your child will soon become accustomed to it and know just what to do in the event of an emergency. Fire drills will be practiced each month.
Enrollment Requirements
Before any child may participate in this program the parent must complete and return the following forms. *NO EXCEPTIONS! The forms are as follows: Childcare Handbook Childcare Contract Medical Authorization Form Other state mandated forms included in your packet. It is very important that you complete these forms thoroughly to help me meet your child’s needs. I will also need immunization records for each child.

Extended Absence
In cases of your potential absence, of more than 2 weeks, due to maternity leave, summer break, or extended leave from your job, I will require ½ of your weekly tuition for the entire time of your absence to hold your child’s position. I must receive at least a 2 week written notice.
Field Trips
Children may participate in field trips at various times throughout the year. Parent approval will be requested prior to the field trip. Occasionally, there may be fees related to trips to cover entry fees, on-site refreshments, etc.
Food & Nutrition
Parents must supply infant formula and baby food for children less than 1 year of age. Menus will be posted on the Parent Board. Whole Milk will be served to children over 12 months of age. Breakfast is served between 8:00 am and 8:30 am. Morning snack is served between 10:15 am and 10:30 am Lunch is served at 12:00 pm Afternoon snack is served between 3:15pm and 3:30pm Dinner is served between 5:30 & 6:30 pm. If you arrive after these times please feed your child at home.

In encouraging children to embody these values, certain philosophies and practices of behavior modification and related processes such as those listed below may be used to engage and reinforce desired behavior, and extinguish/minimize undesirable behavior. a) Rudimentary principles of Applied Behavior Analysis6 will be utilized. The field of Applied Behavior Analysis (ABA) is effective in producing appropriate behavioral gains and decreasing disruptive behaviors. Positive Discipline- Praise for extinguishing undesirable behaviors, reinforcing and building on desired behaviors. Redirection. This means that if a child is in a potentially harmful situation to hi/herself or to another child, I will remove him/her and try to get the child interested in something else. Timeout (a quiet, relaxed, neutral break; a cooling off period for the child to regain self-control) is used when a child is loosing control and refuses redirection- for example, acting aggressively, throwing a tantrum, complete defiance. NO ONE INCLUDING THE CHILD’S PARENT, IS ALLOWED TO SPANK, HIT, BITE, SHAKE, YELL AT, OR CAUSE ANY PHYSICAL OR EMOTIONAL HARM TO ANY CHILD WHILE ON THESE PREMISES. No Exception! If these are the only ways to handle a child’s bad behavior and the child does not respond to time out or redirection we may consider removing the child from the daycare environment until he/she is able to be disciplined without resorting to physical or emotional harm.

Their milk 1.I ssuggest bringing a toothbrush with your child’s tote bag teeth are likely to fall out and they must know how to (if possible) We will brush after meals prevent this happening to their adult teeth. Along with brushing technique, the importance of dietary influences should be explained and alternatives to sweets, cookies and fizzy drinks should be made available. Within one week of admission, I must have your child’s immunization record on file. It is important to keep in mind that, in compliance with state laws, these forms must be updated from time to time. Please bring me a copy of your child’s shot record each time they go to the doctor and receive new immunizations.
Illness
I reserve the right to temporarily deny any child admittance, or to require early departure should symptoms become apparent during the course of the day, for reasons of obvious illness including, but not limited to, a temperature of 101 degrees and /or symptoms and signs of possible severe illness. Please keep in mind that when small children are not feeling well, the thing they need most is TLC from mom or dad/primary caregiver. If a child is too ill to participate in “regular” daily activities, he/she is too ill to be left with me If your child has a runny nose or a bad cough, you must provide medicine to control the symptoms and complete a medication permission slip. A green discharge or uncontrollable coughing will require a note from the physician to participate. PLEASE SEE UPDATED ILLNESS POLICY FOR SPECIFICS ON TYPES OF CONDITIONS AND RULES ON ADMISSION WHEN ILL.
Injuries
I will make every effort to ensure the safety of your child while in my care. Unfortunately, minor accidents may occur. Parents are responsible for medical bills, which may arise from a minor accident. I will notify you immediately of any illness or accident, which requires first aid treatment. In case of a serious accident or injury, I will make every attempt to contact you immediately. If I cannot reach either parent, I will call the emergency contacts listed on the enrollment form to make the medical decisions for your child. If I feel the injury is life threatening, I will call 911 or take your child to the nearest hospital.
Late Fees
You are scheduled for childcare for the hours listed in your Childcare Contract. If you drop off earlier or pick up later than your contracted times, you will be charged an early/ late fee. There will be a late fee of $5.00 per minute beginning the first minute a child is left at my home prior to or past their contracted time. This fee is due when the child is picked up or before the child is brought back to daycare. NO EXCEPTIONS. This rule applies to all parents, including those of subsidy programs. If overtime is prearranged the charge will be 1.5 times the normal part time rate per hour. Habitual tardiness may result in termination.
Medication
I cannot administer medication to any child without an instruction form signed by the parent or child’s physician. Any deviation from the recommended dosage (prescription or over the counter) must be authorized, in writing, by the child’s physician.
Open Door Policy
I maintain an open door policy for all parents. Parents are welcome to call or drop in any time during regular childcare hours.
Outdoor Playtime
Children will play outside as weather permits. It is important for children to have fresh air and new worlds to explore, and a wider field of play. Please dress children for the possibility of outdoor play (i.e. no dressy clothes).
Parent Bulletin Board
You will find the current month’s calendar, birthday list, current list of paid holidays and vacations, list of emergency numbers, and other pertinent information. Please check this board on a regular basis.

Parties/Celebrations
A birthday is a special event in a child’s life for families who celebrate birthdays. Many children enjoy sharing this exciting day with their friends. We are happy to have you participate with us on that day. Please provide all desired refreshments for the party. You may also bring decorations, and I can provide cups, napkins, plates and silverware. We will also have parties at Christmas, Halloween, Valentines Day, etc. Acknowledgement will be made of other important days/celebrations, feast days of other cultures and will be used as teaching moments to increase cultural awareness. You may be asked to bring party goods for the children. Every effort will be made to create an inclusive environment for all clients.
Pictures
Professional pictures may be taken at various times throughout the year. No one is obligated, at any time, to purchase these pictures. I will take candid pictures of the children at various times during the day and/or on field trips to use for collage and other projects.
Pick up and drop off
FIRM negotiated pick up and drop off services (if negotiated) will be set by provider. The expectation is that the child(ren) will be available at negotiated pick up and drop off point at designated time. NO EXCEPTIONS!! Three violations of non-compliance (not being there at negotiated time, not escorting child to pick up point etc will result in termination of pick up and drop off service and potential termination of childcare services
Substitutes
I may employ a substitute caregiver, if necessary. These caregivers will: be trained in these policies; have current CPR & First Aid; will have passed a criminal history check; be familiar with the children before being left alone (IF NECESSARY); and be someone that I know and trust.
Supplies
The following supplies, according to the child’s age, should be marked with the child’s name and left with me: Tylenol, Orajel, complete change of clothes, wipes, diapers, pacifier, bottles, burp rags, etc. A notice will be sent home when more supplies are needed. If it becomes necessary for me to purchase supplies and/or requested items for your child, you will be billed.
Termination
I reserve the right to re-evaluate any child or family’s continued participation in this program to determine that the program can adequately meet the needs of the child or family. I reserve the right to enforce these policies at will. Lack of enforcement of a certain policy, at any given time, does not indicate that a particular policy is no longer in effect. Termination may be required for excessive and/or uncontrollable biting, inappropriate language, destructive or harmful behavior or other indicators that the child may be in need of a higher level of/specialized care. Unless the child is an immediate danger to himself or the other children a two weeks notice will be given should withdrawal of the child be required. Termination may also be necessary if a parent does not abide by the policies set forth in this handbook. Excessive breaking of policies will result in withdrawal with a two week notice. A collaborative dialogue will be entered into and sufficient feedback provided to address any potential challenges to continuity of care.
Toilet Training
I do not begin potty training a child, until parents begin at home. I will notify you if I feel a child has entered the toilet training phase and you have not yet begun the process. I ask that during this time, you provide at least one complete change of clothing, including socks, and an adequate supply of training pants or pull-ups for your child. Pull –ups are required until the child is completely toilet trained. Clothing for this stage should be selected for easy on and off.

Toys may be brought from home following careful dialogue between caregiver/parent and provider. For example; a specific toy that represents a “security” item may be allowed to help child ease into care. Children tend to be very interested in a “new toy” and the owner is usually less than happy to share his toy with everyone. I will not be responsible for lost or broken toys.
Transportation
I will take all possible precautions when transporting the children. All children must wear a seat belt. Car seats will be provided and used when age appropriate.
Trial Period
There is a four week trial period for each child, beginning the day your child actually begins care. This is to ensure harmony and a good fit.. It is important that we all have a working relationship with total cooperation from children and parents. Either party may terminate this agreement within this trial period, with 24 hours notice, with or without cause and no notice will be required. No pre- paid fees will be refunded upon cancellation by the parent during the trial period.
Tuition, Fees, Deposits, Refunds
Vacation & Holiday
Your specific rates will be outlined in your Financial Agreement. Tuition is due at 5:30pm on Friday for the following week. A late fee of $10 per day, including Saturdays and Sundays, will be added to any payment not received before 5:30 p.m. on Friday. NO EXCEPTIONS! Tuition, including all late fees, must be paid on or before the following Monday or care will no longer be provided. If your child will be absent on Friday due to vacation, holiday, etc. you are responsible for payment on the last day that your child will be in attendance. Otherwise, late fees will begin at 5:30 pm on Friday. A supply fee of $25 per child will be due at the time of enrollment, as well as January 1st and June 1st of each year. A non- refundable security deposit equal to one week’s tuition plus the supply fee is required to reserve a space for your child. This week’s tuition will be credited to your child’s last week in my care. In order to reserve a space for more than two weeks, you must pay ½ the regular weekly fee for each week your child is not yet in attendance. I reserve the right to change tuition rates with a thirty- day notice. A fee of $25 will be charged on all returned checks. If more than one check is returned, service will be continued on a cash only basis.
My intent is to provide a 24/7 trusted resource to support your childcare needs. However, in order to serve your child with integrity, I believe it is important to reserve times of rest and rejuvenation. Thus, I will be closed for up to 4 total weeks of paid vacation, which will be posted on Jan 2nd of each year. If the dates change you will receive at least 30 days notice, if possible. I will notify you as soon as possible if I will need to be closed due to illness. Exact dates will be posted on the Parent Board. ON A LIMITED BASIS, I WILL BE AVAILABLE TO PROVIDE CARE ON FEDERAL, STATE, NATIONAL HOLIDAYS WHICH ARE USUALLY NON-WORKING DAYS. PLEASE CONFER WITH ME TO DEFINE EXACT DATES BASED ON YOUR NEED!!!!!! Parents may want to secure a back up provider in cases of emergency. If it becomes necessary for me to close due to family reasons such as death in the family, etc. I will provide a list of alternate providers and will refund ½ the tuition paid for the time closed. Each child will be allowed two weeks of vacation annually, at ½ the regular tuition, if the child does not attend for the full week. I must be notified in writing at least 2 weeks in advance. (More notice is greatly appreciated.)
Verification of Legal Custody
I must have, on file, a copy of the court order recognizing the parent who has custody of the child. Otherwise, I have no choice except to release the child to his/her parent with proof of such.
Visitors
Parents aRE encouraged to visit and participate in this program. Any other visitor must have prior approval by the appropriate parent and myself and will be accompanied by me at all times. No smoking is allowed on these premises. No one who is a danger to the children will be allowed on these premises.

All volunteers must be orientated and agree to follow these policies and procedures. Regular volunteers will be required to pass a criminal history check. Parents may terminate this service by giving two weeks notice in writing. Earlier notice, if known, would be greatly appreciated. You are responsible for two weeks tuition whether or not you give the required notice. Absences of more than one week without notification or payment of tuition will result in automatic withdrawal. You will still be responsible for the two weeks of tuition. Re-admittance will include all back pay including late fees and a registration fee.
