POSITION DESCRIPTION APPROVED TITLE: Assistant Director (Annual Giving) DEPARTMENT: Athletics: Development (Deacon Club) SUPERVISOR: Assistant AD for Annual Giving FLSA: Exempt EEO: 30 APPROVED GRADE: BB1 Date Approved: 5/23/01 Revised 4/10/07 POSITION SUMMARY: Under minimal supervision, assists in the development, implementation, and evaluation of both annual giving and special fund-raising activities such as annual giving mailings, solicitation mailings, the Gold Rush publication and donor stewardship. Coordinates internal operations of Athletic development. QUALIFICATIONS: Education, Experience and Training Bachelor’s degree in Administrative, Business, Liberal Arts, or Social Sciences discipline with at least one year experience, or an equivalent combination of education and experience. Knowledge, Skills, Ability Knowledge of NCAA regulations as they pertain to donors, and interaction with student-athletes. Strong interpersonal and communication skills (oral and written) and the ability to work effectively with a wide range of constituencies in a diverse community. Ability to plan, organize and coordinate special events, programs and volunteer activities. Ability to cultivate Athletic department and institutional fund-raising, promotional and/or public affairs programs, methods, procedures, and techniques.(Training available) Ability to provide excellent customer service. Records maintenance skills. Skill in the use of personal computers and related software applications. Knowledge of Paciolan Ticketing System. Ability to create and maintain online system for donations. Ability to create, compose, and edit written materials. Ability to lead and train staff, volunteers and/or students. Ability to work evening and weekend hours. Valid driver’s license with good driving record; must be insurable. Physical Requirements Sedentary work. Not substantially exposed to adverse environmental conditions ESSENTIAL FUNCTIONS: Assists in the development, implementation, and evaluation of both, annual giving and special fundraising activities such as annual giving mailings, solicitation mailings, the Gold Rush publication and donor stewardship. Provides financial stewardship in reporting to donors; ensures appropriate expenditure of donor funds for endowed funds. Ensures that Paciolan database files and records are up-to-date for donor personal information. i.e., address, email, phone, etc. Serves as liaison between gift accounting and development. Ensures proper gift documentation in coordination with gift accounting. Oversees prospect research, coordinating all prospect research functions to support development calling officers. Coordinates and manages the Coaches Circle donor volunteer program. Serves as liaison and advisor for the student Deacon Club to include supervising and planning events for the Student Deacon Club. Coordinates these activities with the Marketing Department. Secures donor gifts, and provides donors with relevant materials. Coordinates all stewardship contact with donors involving thank you letters, new endowed donors, telethons/thank you at thons, dedication services and special contact with donors, i.e. birth announcements, etc. Coordinates all Deacon Club and Athletic Development mailings and publications. Coordinates email communication with university as well as donors. Writes, prepares, and disseminates donor correspondence, reports and fund-raising materials, such as brochures, newsletters, solicitation mailings, annual reports, media guides and football game programs. Assists the Assistant Athletic Director in the administrative duties involving the Deacon Club web site. Acts as liaison for the Gold Rush, to include writing Deacon Club articles, and overseeing articles for endowment, planned giving and capital projects. Organizes and coordinates the activities of student-workers and committees/boards engaged in fundraising activities, as appropriate. Assists and/or participates in donor interaction activities. Coordinates student-athlete education program as it relates to department fund-raising activities. Serves as liaison between ticket office, Deacon Club, and the Athletics Department’s Special Events Coordinator. Assists ticket office and marketing department in achievement of ticket sales goals. Provides direct customer services with unique Deacon Club needs. Serves as game day contact for Deacon Club regarding donor ticket issues. Administers the online donor solicitation/renewal process. Coordinates the setup of online Deacon Club applications and produces necessary solicitation materials including direct email renewals. Reports data concerning online donations to relevant parties. Oversees the ACC Men’s Basketball Tournament Application process by producing application materials and directing the sending of said materials to qualified donors. Performs other related duties as assigned. SUPERVISORY RESPONSIBILITY: Supervises and trains staff and/or student staff, volunteers, and/or students engaged in support activities, providing work direction and problem solving assistance as appropriate. AUTHORITY/ACCOUNTABILITY: Works under minimal supervision. Reports to Assistant Athletic Director for Annual Giving. Accountable for meeting established deadlines for publications and mailings Accountability for monitoring assigned budget and all other essential functions listed above. PROBLEM SOLVING Solves problems associated with annual giving and special fund-raising activities for the Deacon Club.
