Minutes of the ASSOCiate Online User Group Meeting held on 5th November 2008.

2. MINUTES OF THE LAST MEETING 5TH JUNE 2008
     Agreed to be a correct record.

3. MATTERS ARISING FROM 5TH JUNE 2008
     The ASSOCiate Online Agreement had been delayed as a result of protracted
     discussions with external solicitors. However, the agreement had been distributed;
     those partners who have not returned their signed agreements are asked to do so as
     soon as possible.

      Please send any videos that need to be uploaded to Shai.

      West Suffolk – are participating in a project 'FE Teachers' TV'. We can link to their         SA / PG
      site to access the videos and other resources. Shai to liaise with Pam.

      It was noted that trainees seem reluctant to upload pictures and it was not clear if this
      was because they need to develop their skills or because they do not want their
      image on the site. If the latter – we need to reassure trainees that any appropriate
      image will be acceptable - e.g. a picture of a flower, their dog, etc. HUDCETT Team           SA
      to include FAQ on the uploading of images (including the problem of size).

      Monitoring trainee activity. It will be possible to track use of the site based on centres    Group
      (Huddersfield is piloting this at the moment). However, Shai will need an additional          members /
      field to include such information. If partners wish to use this, they will need to identify   SA
      the information code and add to the list of trainees.

4. PROGRESS REPORT
   i) E-moderators and e-mentors - PASS prize; content & training; Chief e-moderator
      pilot: Chief E-moderators' reports. The 2 Chief E-moderators have produced their
      first monthly reports. The next monthly report at the end of November will be sent out        Chief E-
      to Users. It was noted that out of the 3,000 trainees now registered only 540 have            Moderator
      logged on to the site. There will be additional trainees registered over the next few
      days (when the information is received) and then all partners need to ensure that all
      trainees log on and add their profiles to facilitate 'Find a Buddy'. Ultimately, the site
      will be populated by trainees’ interaction rather than activity being dominated by e-
      moderators or tutors.

      Note that teacher educators have access to all subjects but can upload items only in
      their subject(s) that they have subscribed to.

        Trainee prize – details for the £50 book token for each of the 14 main subject areas      HUDCETT
        were discussed. This paper will be sent out to e-moderators by the end of                 Team
        November.

      An ASSOCiate Online Update will also include this and other information (e.g.
      information on OurStudent and other developments); an email alert will be sent out to       HUDCETT
      all Users (to be then forwarded to trainees) directing them to the Update.                  Team
  ii) Developments for 08-09 – OurStudent (14-19; Skills for Life); Elluminate (DR & SA);
      Professional Formation; Teacher Educator project (Jim Crawley): Elluminate – to be          All User
      piloted for the purpose of video conferencing and for a project on Observation at a         Group
      distance. Shai asked for users to contact him if they were interested in trying a call.     members

        Teacher Educators – 13.1. – Jim Crawley outlined the proposal for a separate
        Teacher Educators' section. This was agreed. Jim + 2 colleagues will develop this –
        we should be able to use this as a pilot as early as the New Year. To allow access to     JC
        moderators and teachers in the first instance.
 iii)   Membership – update & new category paper; new application form – papers
        received
 iv)    Marketing– events; direct marketing; training & development day 13 January 2009;
        ASSOCiate Online Conference 5 June 2009: Various activities, presentations and
        articles have been written and the latter (3) should be out this Autumn.
 v)     User stats: These showed details per partner. Updated stats to be sent to all Users
        in one month's time.                                                                      SA
 vi)    Election of ASSOCiate Online representative to the HUDCETT Advisory Group: Pam
        Garside volunteered. Pam will be sent the details of the next Advisory group meeting
        in February in Huddersfield.

5. EMBEDDING ASSOCIATE ONLINE INTO THE CURRICULUM
     Cecilia McKelvey gave a brief presentation on Greenwich’s use of ASSOCiate Online
     in the curriculum via a brief paper that gave 3 uses of ASSOCiate Online in the
     curriculum. These were thought to provide useful examples that other partners could
     also use.

        Pam Garside agreed to bring examples from West Suffolk for the next meeting.              PG

6. EVALUATION AND MONITORING – HOST; LSIS (FORMERLY QIA); FLAVIN
PROJECT INNOVATIONS LTD
     The HUDCETT report to LSIS (formerly QIA) was discussed with specific references
     to ASSOCiate Online.

        HUDCETT's 'critical friend', Flavin Project Innovations LTD, has produced an
        intermediate report and a draft questionnaire to go out to trainees and tutors in the     All User
        early Spring. The ASSOCiate Online User Group were asked to read this carefully           Group
        and make any recommendations for amendments, etc to Denise so she can pass on             members
        to Flavin Project Innovations LTD. The results of the survey can be used by
        individual partners for use in their own Impact reports (for SARs, SEDs and Ofsted
        reports).

        It was suggested that emphasis should be placed in the title on OurSubject rather
        than ASSOCiate Online as some trainees were not familiar with title.

7. ANY OTHER BUSINESS
      Request for institution logos for Member pages on ASSOCiate Online website
        (SA).
      List of teacher educators on open website (SA). All members of the ASSOCiate               All User

         Application of ‘tags’ in the general profile page (SA). Shai explained that there is
          now a new facility that allows a greater level of sophistication in tagging details.
          This will make links to other groups much easier. This will be a useful additional
          facility for ‘Find a Buddy’.

8. DATE, TIME AND PLACE OF NEXT MEETING
     Wed 11th Feb or Thursday 12th Feb at the Institute of Education

       Note that there will be a Networking Event for E-moderators and E-mentors on 13th
       January 2009 at Huddersfield. The Annual Conference for ASSOCiate will be on 5th
       June at Huddersfield. The User Group will be held after the conference.
