Job Title: Parent, Pupil and Data Liaison Officer
Hours: 35 hour week (42 Weeks)- 8.00am to 4.00pm with a one hour lunch
Salary: Pt 18 -21 £20,460-£22,422 FTE
Job Purpose: To provide efficient administrative support to the Academy. Project a
professional image in-person and telephone interaction.
Reports to: School Business Manager
Undertake reception duties, answering general telephone and personal enquiries and signing
Provide general clerical/administrative support including: - photocopying, filing, e-mailing,
faxing, sorting and distributing mail. etc.
Manage correspondence and prepare more complex documents/forms.
Undertake word processing, data entry and other ICT based tasks operate M.S Office
software and use the Internet.
Provide administrative assistance to The Headmaster, School Business Manager and other
senior staff as required.
Manage all Home/School Communication, via ParentPay, Schoolcomms Newsletters and
Manage and run computerised reports, provide lists/information/data and statutory returns
Manage all Uniform sales, fittings and advice to parents.
Manage Uniform stock, by ordering, monitoring deliveries, sales and donations. Carry our
periodic stock takes as directed and keep records up to date for audit purposes.
Maintain manual and computer-based records and management information systems e.g.
SIMS, maintain and collate student records.
Provide general advice and guidance to pupils, staff and others.
Comply with policies and procedures relating to child protection, health, safety, welfare,
security, confidentiality and data protection, reporting any concerns to the appropriate
Monitor late arrivals and early collection of pupils and record reasons.
Main port of call for Parental telephone calls.
Delivering messages as necessary including any follow up actions.
Liaise with the School Business Manager relating to work to be undertaken
Record, stamp/frank and post outgoing mail
Provide First Aid support, assist injured students and staff
Produce accident reports of incidents if required
Undertake any reasonable request as directed by line manager and / or Head
Actively support the Academy’s Equal Opportunities Policies.
Previous experience of working in an office administrative role
Excellent numeracy and literacy skills
Ability to communicate effectively, both orally and in writing, with a wide range of people skills
and to produce effective general correspondence. Good working knowledge of Microsoft Office
including Word, Excel and outlook and the ability to organise and manipulate data
Ability to produce reports and analyse data
Experience of working with computer based systems and records.
Strong organisational skills and the ability to work under pressure and to organise own work
Ability to work in a flexible manner as a member of a team in a busy office.
Ability to keep accurate and up to date records i.e. telephone messages, student information etc.
Ability to demonstrate an understanding of and commitment to the Academy’s Equal
