Administration and Events Assistant
  – Scotland and Northern Ireland

WaterAid in Scotland and Northern Ireland is at an exciting time. With opportunities
arising from devolution, the launch of the Scottish Government’s Hydro Nation
prospectus and restructuring and sector growth in Northern Ireland, there’s a need to
develop WaterAid’s presence and engage with its supporter base in both Scotland and
Northern Ireland.

Following a recent reorganisation, the Glasgow office is now poised to take ownership
of these challenges and has the potential to make significant progress in increasing
income, awareness and support from a range of audiences across Scotland and
Northern Ireland.

We’re looking for an organised and friendly individual to join a small team which is
dedicated to developing and delivering income generation, profile-raising and supporter
engagement strategies across Scotland and Northern Ireland. Working across a wide
range of audiences and with the support of a range of London-based colleagues, this
small, Glasgow-based team will help WaterAid achieve its full potential in Scotland and
Northern Ireland.

The post holder will bring with them a genuine enthusiasm for the work of WaterAid and
be able to communicate that to supporters, volunteers and colleagues. They will be
comfortable working as part of a small team, able to work with minimal supervision and
available for evening and weekend work when required and also for occasional UK

Job purpose

To provide administrative support to WaterAid Scotland and Northern Ireland office
working closely with the team/manager. The role is responsible for day-to-day working
of the office, systems, database and resources and acting as first contact from external
enquiries. They also manage the implementation of all annually organised events.

Key accountabilities

   To support the Scotland and Northern Ireland office by delivering the team’s day to
    day administration functions. This includes financial administration, production of
    resources, maintaining the website pages and other digital tools, creating
    newsletters and providing case studies.

   To work closely with colleagues to ensure all process, systems and communications
    materials in the WA Scotland office comply with best-practise, WaterAid policy and

   To act as the first point of contact for supporters, ensuring that the highest levels of
    customer service are delivered promptly and efficiently in line with WaterAid and
    regional office best practice.

   To ensure that the database entries for Scotland and Northern Ireland are accurate
    and up to date.

   To support and contribute to Scotland and Northern Ireland team’s work plans,
    strategies and planning cycles;

   Where required, provide administrative support in the research, development,
    implementation and evaluation of fundraising and profile raising projects and events
    within the region;

   Under supervision of the Team Manager Scotland and Northern Ireland, manage the
    implementation of all annually organised events (Ball, Quiz, Fishing, Golf); sending

     invitations, monitoring responses and handling enquiries. Liaise with key contractors,
     stakeholders and supporters to acquire donations and prizes.

    To attend regular events across Scotland and Northern Ireland, providing practical
     assistance and on occasion, supporting volunteers and interns.

Person specification


1.    A commitment to WaterAid’s values and a working style that reflects these;
2.    Experience of working in an office environment in an administrative role;
3.    Experience of prioritising own work load and meeting external deadlines;
4.    Good telephone manner, excellent communication skills; written, verbal and face
      to face;
5.    Confidence and ability to communicate at all levels; willingness to engage
      positively with supporters at all times and use discretion and diplomacy where
6.    Excellent attention to detail. Strong administrative skills as well as an ability to use
      all Microsoft packages competently. Interest in people; able to develop
      relationships with a wide range of individuals and to convey to them the value of
      their support;

9.    Ability to work occasional varied hours, including evening and weekend

11. An understanding of volunteering and the implications of working within the

12. Experience using a fundraising or customer database and producing marketing or
    similar analysis reports from the database such as Raiser’s Edge (Raiser’s Edge is
    used at WaterAid – training can be given);
13. Understanding of, and interest in, overseas development issues.

Salary            Starting salary £15,924 per annum
Location          419 Balmore Road, Glasgow, G22 6NU
Working Hours     Full time (minimum 35 hours per week). Core office hours are
                  between 10.00am and 4.00pm; specific start and finish times to be
                  agreed with line manager on commencement of employment.
Annual Leave      25 days per year. This increases to 27 after four years’ service.
                  Plus UK public holidays
Contract Period   The post is offered on a permanent contract
Probation         The appointment is subject to the satisfactory completion of a six
                  month probationary period
