       Occupational Series                                                   Description
0303 Miscellaneous Clerk and   This series includes positions the duties of which are to perform or supervise clerical, assistant, or
Assistant                      technician work for which no other series is appropriate. The work requires a knowledge of the
                               procedures and technique involved in carrying out the work of an organization and involves application
                               of procedures and practices within the framework of established guidelines.
                               Positions classified in Series 0303 involve specialized work for which no appropriate occupational
                               series has been established. Typically, positions in this series are too few of a kind to have been
                               recognized as separate lines of work. Some positions involve new or emerging work or, more rarely,
                               mixtures of work that cannot be identified with an established series.



               Level                                                          Description
Entry                          Work consists of simple, routine, or repetitive tasks or operations. There is little or no choice to be
                               made in deciding what needs to be done because work normally consists of one or two clerical steps
                               repeated in the same sequence. No subject-matter knowledge is required beyond that included in two
                               or three guides and instructions.

Developmental                  Employee works under closer supervision in a developmental capacity performing assignments and
                               completing training, both of which are aimed at preparing the employee to gain the knowledge and
                               skills necessary to perform at the next higher/target level position. Employee receives progressively
                               more responsible assignments as experience and training are received to the next higher/target level
                               position. Employee may be non-competitively promoted pending time-in-grade requirements and
                               demonstrated ability to perform the next higher/target level grade duties. This series has
                               developmental positions in grades GS-01 through GS-06.


Intermediate                   At this level, the supervisor defines areas of responsibility, priorities and deadlines. The employee
                               performs assignments independently in carrying out familiar assignments in accordance with previous
                               instructions. Unusual situations may require the supervisor's assistance. Completed work is checked
                               for compliance with instructions or office procedures, technical accuracy, appearance, and
                               effectiveness of customer service.

Advanced                       At this level, the supervisor makes assignments in terms of requirements, objectives, priorities and
                               deadlines. The employee works independently and has the authority to deal with emergency situations
                               and resolve problems where initiative is required in determining appropriate methods to accomplish
                               tasks, referring only the most complex problems to the supervisor. Incumbent keeps supervisor
                               informed of all controversial issues, and potential problems.
             Position                                                            Description
Administrative Assistant;         Performs a variety of administrative duties to include records management, personnel services, office
Administrative Assistant (OA);    automation, report preparation and composes correspondence associated with duties. Work involves
Administrative Support            principal administrative and clerical support. Plans and carries out administrative workload on a daily
Assistant; Administrative         basis in accordance with established policies and procedures. Employees in Office Automation (OA)
Support Assistant (OA)            positions require knowledge of personal computer operations and office automation applications; e.g.,
                                  spreadsheet, word processing, graphics, database management, communication packages.


Administrative Assistant (MEB)    Serves as an Administrative Assistant for the military medical center with responsibility for the clerical
                                  administrative processing of forms, reports, and other materials to support events of health care
                                  treatment/services provided to service members undergoing Physical Disability Evaluation System
                                  (PDES) processing. The assignment primarily involves assurance that the service member is eligible
                                  for treatment/medical evaluation in accordance with DA regulations and established guidelines.
                                  Coordinates with administrative personnel in civilian and military units or higher headquarters, and
                                  with federal and civilian health care service personnel and administrators to elicit, provide and discuss
                                  details associated with health care benefits, and follow up medical treatment required.


Admissions & Dispositions (OA)    Performs clerical work required to accomplish the functions of Admissions and Dispositions.
                                  Establishes patient eligibility; selects and completes all records and forms associated with admission;
                                  processes discharges; maintains patient accountability records and compiles reports; initiates and
                                  coordinates actions for medical evacuation of patients; and performs other tasks to provide coverage
                                  for other patient administration functions. The work affects the accuracy, reliability, or acceptability of
                                  further processes and services.

Case Management Assistant (OA) Assists the nurse case manager with the management of all patients assigned to the case
                               management section and to provide administrative support to the nurse case managers.

Central Appointment Clerk (OA)    Performs appointment booking duties and other miscellaneous clerical duties. Implements and uses
                                  knowledge of booking protocols and TRICARE access standards for various patient categories, as
                                  well as independent judgment when converting appointment types.
Clerk; Clerk (OA)              Provides general office support and assistance. Performs one or more of the following: receives and
                               delivers telephone messages; date-stamps incoming mail; performs simple filing duties; maintains
                               office supplies; updates any type of manual log; types labels, envelopes, and simple forms; operates
                               fax machines and copy machines; assists higher level employees with special projects such as
                               running errands inside and outside office unit. Employees in Office Automation (OA) positions require
                               skill in personal computer operations and office automation applications; e.g., spreadsheet, word
                               processing, graphics, database management, communication packages.


Credentials Coordinator (OA)   Responsible for managing administrative aspects of the credentialing program. Reviews existing data
                               and inputs new data regarding credentialing and privileging actions in the Centralized Credentials
                               Quality Assurance System (CCQAS). Independently plans and carries out work, resolving procedural
                               issues and coordinating actions with others. Uses knowledge of credential program to ensure licenses
                               and other required credentials documents and Continuing Dental Education (CEU) credits are current
                               and valid. Ensures documents are renewed in accordance with AR 40-68.


Credentials Technician (OA)    Works under the supervision of the Credentials Coordinator. Researches, develops, and manages the
                               clinic's credentials files as part of the Credentials Office, in accordance with various DoD level
                               requirements and the Joint Commission (JC). Performs a variety of clerical and administrative duties
                               in support of the credentialing program for physicians and non-physician health care providers
                               (HCPs). Maintains strict confidentiality of provider information.

CTP Program Technician         Serves as the Warrior Transition Unit’s (WTU) program technician for the Comprehensive Transition
                               Plan (CTP). Assists the Commander in the implementation of goals, policies and objectives for the
                               WTU’s CTP Program. Implements management policies, principles, procedures and resolves
                               problems affecting the CTP’s operations. Responsible for administrative management and overseeing
                               projects and programs, assisting with decisions on work problems and administrative proposals, and
                               coordinating with others within and outside the command on program accomplishments and
                               collaborative efforts. Plans and organizes, estimates costs, coordinates with staff and line
                               management personnel, and conducts phases of projects. In the Commander’s absence, serves as
                               his representative on issues related to the CTP.


Dental Purchased Care          Supports the Active Duty Dental Plan (ADDP). Coordinates with beneficiaries to schedule initial and/or

                                    and/or administrative issues impacting the families of deployed military personnel. Receives calls and

Health Care Referral Coordinator Serves as a central point to provide authoritative information concerning entitlements to health care
(OA)                             benefits. Performs referral management and claims management duties. Serves as health benefits

Health System Assistant; Health     Performs work in support of clinic and department administrative functions. Specific duties depend

Master Scheduler (OA)               Coordinates, prepares, and monitosr master schedules for health care providers and operates a
                                    computer in support of the Patient Appointment Service (PAS). The position requires a qualified typist.


Medical Consults Processing         Tracks electronic medical referral consultations that requires core competency knowledge of medical

                                    specialty consultations/referrals process IAW the Managed Care Support Contract (MCSC). Provides
                                    surveillance of the electronic consultation process as defined by the Medical Treatment Facility (MTF).

Medical Education Assistant (OA) Performs a variety of specialized clerical assistance duties to accomplish processing, scheduling,
                                 reporting and record keeping functions associated with medical education programs. Provides daily
                                 administrative support for medical technical training and educational development programs, including
                                 formal training, informal training, and in-service training for professional and technical personnel.
                                 Much of training is provided by the Medical Center; other training is arranged through coordination
                                 with outside institutions and agencies including colleges and technical institutes, VA and civilian
                                 hospitals, and Army resident and correspondence schools. Professional education programs include,
                                 but are not limited to, Graduate Medical Education, Residency Programs, Clinical Clerkships and
                                 Continuing Health Education.
Office Clerk                         Provides clerical support to the organization served. Receives and refers callers and visitors. Files
                                     documents in, alphabetical, and chronological order according to the office file plan. Receives and
                                     distributes incoming mail, documents, papers and other material to the appropriate office(s). Operates
                                     reproduction equipment (copiers, facsimile machines, etc.). Maintains office supply area in a neat and
                                     orderly condition.

Office Support Assistant; Office     Performs a variety of technical and non-technical duties in support of management initiatives and

Patient Appointment Assistant        Operates the patient appointment system (PAS). Performs duties related to the clinic operation

                                     scheduling and serving as the clinic primary point of contact for customers and staff using the PAS.


Patient Representative Assistant Serves as liaison between Medical Department Activity patients, hospital staff and the community it

Program Support Assistant (OA)       Assists specialists or analysts by performing segments of their work or producing a stream of

PD   Briefing Techniques (COMM7002D). This course presents instruction in communication Graduate School USA, Briefing Techniques
     principles as well as the basic principles of business presentations. Covers how to plan
     presentations and provides guidance on choosing the best methods, materials, and
     location/environment for each situation. Techniques include presentations to inform,
     presentations to persuade, question and answer techniques, and technical presentations.
     Students, while learning these techniques, will be provided the opportunity to practice

PD   Instructor Training (5K-F3/520-F3). Course emphasizes the Army Systems Approach to ATRSS Course Catalog, Instructor Training
     Training (ASAT) process, communication skills, audiovisual support, writing lesson plans
     in the ASAT format, writing objectives, writing test items, and presenting instruction.

PD   Basic Computer Courses. Courses in a variety of software applications (Word, Excel,

PD   Effective Army Writing (553 T01). In this correspondence course, the student will learn        ATRRS Course Catalog, Effective Army Writing
     various writing styles, know what it takes to become an effective writer, learn writing skills
     to achieve desired business results, overcome writer's block, and learn how to organize
     and manage your thoughts. (Correspondence course equivalent to 10 academic hours)
F    Contracting Officer Representative Course (ALMC-CL). This course provides the student ATRRS Course Catalog, Contracting Officer Representative
     with an overall view of the contracting process with a major emphasis in contract
     administration. ALU CPCE provides training to individuals so they can be certified by their
     contracting office to become CORs. Discussions focus on services, supplies, medical,
     and construction contracts. The course is designed to help the student become familiar
     with statutory laws and regulations that govern the contracting process with emphasis on
     the Federal Acquisition Regulation and the Defense Federal Acquisition Regulation.

F    Introduction to Federal Budgeting (BUDG7001N). This course introduces the federal              Graduate School USA - Introduction to Federal Budgeting
     budget process. Students learn to estimate workload, personnel needs and costs, and
     develop a budget for a fictitious agency. Students have 6 months to complete this

L    Leading Teams and Groups (TDEV8500A). This course provides knowledge and skills to Graduate School USA - Leading Teams and Groups Course
     become an outstanding team/group leader. Students learn to confidently communicate,
     manage tasks, motivate and coach team members, and manage conflict. It is a two-week
     online course, three hours of live instructor-led interaction per week with individual and

     and create synergy for accomplishing organizational goals. This is an OPM course.

     discover their potential for leadership. Students discover their strengths and learn the
     skills and attitudes of effective leaders. This OPM course is appropriate for GS-09/14.

PD   Professional Associations. Participation in professional associations maintain
     professional skills and knowledge by disseminating information on current developments
     within the field of practice. As a commitment to the lifelong learning of its members, many
     associations have adopted Continuing Education Programs in order to help its members
     maintain their certifications. The International Association of Administrative Professionals
     (IAAP) is an example of a relevant professional association for clerks and administrative
     assistants.

Certified Medical Administrative Assistant (CMAA). The National Healthcareer Association’s (NHA) National Healthcareer Association (NHA)
Certification Board is the governing body responsible for the Certified Medical Assistant Certification
Program. The CMAA is a credential for the medical assistants that perform routine administrative and
clinical tasks to help keep the physicians’ offices and clinics running efficiently.

National Certified Medical Office Assistant (NCMOA). This certification is administrered by the          National Center for Competency Testing (NCCT)
National Center for Competency Testing (NCCT). The NCCT exam content includes medical office
procedures, medical insurance and billing, basic clinical responsibilities, medical/legal foundations,
and medical terminology.

Certified Administrative Professional. The International Association of Administrative Professionals Certified Administrative Professional
(IAAP), a professional association for administrative professionals, offers the Certified Administrative
Professional rating specialty exam. The Certified Administrative Professional rating is an industry
standard recognition that the administrative professional is proficient in communication, organization
and planning, information distribution, records management, physical and information resources,
