Reflections Online Process for PTA Councils, Districts, Regions
Step 1: Use your State’s Reflections Guide to plan and implement the program.
Step 2: Visit pta.org/reflections to submit the online PTA Council/District/Region registration form. This
form asks for:
Contact information for the PTA Council/District/Region Reflections Chair and information
about your PTA unit, such as the PTA ID number and PTA address. A look-up link will be
available on the form to help you find this information.
Username/password for future log-in purposes
Step 3: Receive confirmation email with completed registration form and print.
Step 4: Visit pta.org/reflections to log-in and access a downloadable Excel spreadsheet (.CSV file) that
shows all of the information collected to date from Local PTA Local registration forms and
student entry forms for your area.
Step 5: SUGGESTED – Download the spreadsheet and use it as your primary tool for administering your
level of the Reflections Program, such as:
Tracking activity of Local PTAs including unit registrations and submission of student entry
forms that advance to the next level of the contest
Logging incoming artwork arriving offline (no artwork will be uploaded online)
Identifying inactive PTAs and help them to regain active status
Creating mail merges, certificates, etc.
Identifying and assigning judges
Recording scores so that you can easily sort and see winners
Step 6: Host judging process offline according to your state’s Reflections Guide.
Step 7: Log-in to your Reflections page at pta.org/reflections and select and submit your student winners
from the list provided. This action will advance these winners to the next round of the contest.
No action is needed by student winners or Local PTA units. The system will not notify them of the
advancement to the next round.
Please note: Follow your state’s Reflections Guide to determine the maximum number of student
entrants allowed per arts category in each division.
Step 8: Receive an email of the completed submission form that advances your winners to the next
round. Print it and send it with the artwork and original student entry forms to the next round of
the contest. Follow directions for this process in your state’s Reflections Guide.
Step 9: Celebrate your Reflections Program’s success! Have fun recognizing all participants and winners,
volunteers, school staff and community members.
