Motion to approve the draft agenda with Steve’s addition of Board Priorities.

Motion to approve the minutes of December 9th, 2008 meeting: moved and seconded.

5. Business Arising from last meeting
The Ontario Board’s proposed funding model was sent to the National Office for
consideration and a response has just been received. While there is alignment on
many items, some clarification is still required. The board will review the feedback
and respond accordingly.
6. Board Priorities (Steve)
This new item is proposed to keep us focused on the top initiatives.
Essentially it was agreed that the order is as follows:
A. Establish a working financial framework between the National Office, CIPS
Ontario and Ontario Sections.
B. Finalize budgets at all levels.
C. Establish details for each of the portfolios.

To facilitate the development of budgets and plans it was decided that a special
meeting of members of the CCITP, Ontario and Ontario Section board members
would be arranged for February 7th to discuss

Working budget file now updated to include revenue and expenses to
December 31, 2008. “Toronto Tech Week' has been added. Looking to
receive confirmation that the portfolio expense figures included are correct
(changes are not expected from National regarding dues and fees until June
30, 2009) The total of the chequing and term deposit holdings is
Financial information has been received from four sections: Golden
Horseshoe, London, Ottawa and Toronto. Thank you everyone who assisted
in pointing me to the correct person. I have copied this data to John Matos for
his comments. (John volunteered to assist with preparation for the new
agreement with National). However, we hold this information in confidence
and I would ask that for now, board members only request generic
information. e.g. How many sections have sponsors?

I have not yet received replies to my emails from Grand Valley (Gerry
Runstedler) and Kawatha (Nick Avlonitis). I will ask the National office to
give me the addresses to which cheques are being sent.
Algoma and Eastern Ontario are currently inactive.
Having looked quickly at the section financials, I am still firmly of the opinion
that sections should continue to set their own membership dues, subject only
to an addition for administrative services (currently covered by the national
dues). Further, I cannot support a percentage fee split between the sections,
province and national. This would preclude any CIPS level from raising or
lowering their dues without affecting other levels. Administrative fees
charged by National should be set in agreed tariffs for various services, e.g.
database maintenance, professional standards, etc. Not all tariffs would apply
to every type of membership.

Questioning the value (ROI) for I.S.P. week (March?).
Focus on COMMUNICATION at all levels.
