I. Administrative Procedure

Application (last year, by end November) Interview sessions (last year: 420 applicants): (1) Drop by Faculty Office (9/F) to register the favoured session, typically before mid-Jan (last year was 19-Jan-07). (2) Each session will be limited to 10 students. (3) Interview will consist of 2 parts – (1) in no more than 1 minute, share candidate’s ideas about his application for overseas exchange. (2) interviewers will ask students several questions.

Waiting List
• Applicants, who have not been nominated in the first round exercise due to insufficient places or GPA below 2.75, will be put on the waiting list for further consideration when there are subsequent places available then and/or when their GPA can reach the necessary requirement in Semester 2. • Eligible students, having been nominated for exchange, are obliged to maintain their GPA at 2.75 or above for every semester before their departure. The nomination would be retracted for the reason of unsatisfactory academic performance.

Part C: Applicant Undertaking
• I recognise that if I am selected for overseas exchange, the Faculty of Business will incur considerable expense on my behalf. • I further recognise that I will therefore be under an obligation to the Faculty to provide voluntary service when called upon. • Such service may include acting as a Mentor for more junior students, helping at Information events, or any other service reasonably requested by the Faculty.

This form is for students who have been given initial approval to study at an exchange institution by the Department or Academic Exchange and Collaboration Office of the PolyU and wish to seek prior agreement from the Department concerned for recognising the subjects/credits to be taken at the exchange institution for fulfilling the award requirement of the current PolyU programme.

Students should submit this form (AS41a) in person to the General Office of the Programme Offering Faculty/Department as early as possible and not later than one month before the departure date for the exchange activity. They will be informed of the application result in about two weeks’ time. Before completing this form, students should study carefully the list of subjects and detailed syllabuses that they intend to take at the exchange institution to initially ascertain whether the subject content and level are equivalent to those specified for their PolyU programme. If students cannot find a PolyU subject that can correspond to the subject offered in an exchange institution, they may leave the column “Corresponding subjects offered at PolyU” blank. In case of doubt, they should consult the programme leader concerned. The following information should be submitted together with this form in support of the application: (a) Copy of the approval for participating in the exchange activities issued by your Department/Faculty Office or AECO of the PolyU; and (b) Copies of the syllabus of the subjects to be taken at the exchange institution listed in Section III of the form. In case there are changes to the subjects taken at an overseas institution after the exchange activity commences, students should seek approval for the changes from the General Office of the Programme Offering Faculty/Department first and provide copies of the syllabus of the subjects afresh. The Programme Offering Faculty/Department will liaise with the Subject Offering Departments concerned and advise the student. The approval given in this form is provisional only. Students need to fulfil the conditions specified for each individual subject in this form in order to qualify themselves for subsequent application for credit transfer at the PolyU.

The Programme Offering Faculty/Department, in consultation with the Subject Offering Department, may recognise credits earned under an approved exchange programme beyond 50% of the normal credit requirement of the award. However, students still have to complete at least 1/3 of the normal credit requirement of the award, unless the respective professional bodies specify the otherwise. Upon successful completion of the exchange programme/activity, students need to submit a formal application for credit transfer of the subjects taken at the exchange-out institution by completing Form AS41c. The approved AS41a, relevant written communication concerning the recognition of the subjects issued by the Faculty/Department and evidence of the successful completion of the subjects/credits concerned at the exchange institution should be submitted together with Form AS41c. The Department reserves the right to approve or otherwise the application for credit transfer. The information given in this form will only be used for processing this application.

Subject to subject transfers
• • Subject to subject transfers involving subjects taught within FB, i.e. AF, LGT and MM subjects. For these subjects, Programme Leaders can authorize transfers Subject to subject transfers involving subjects taught outside FB, most notably English, GE subjects, and other languages. Programme Leaders cannot approve subject to subject transfers for such subjects. If a student wishes to claim subject to subject transfer for non-FB subjects it is the students’ responsibility to ensure that sufficient information is enclosed in the application to allow the subject-offering Department to take a decision since it is the host department’s responsibility to coordinate the processing of the students’ application.

Subjects for Intended Minor:
1. Students should obtain prior approval of subject offering Departments for subject-to-subject credit transfer for minor elective subjects. 2. Normally grades cannot be transferred for credits earned overseas*. 3. Normally students cannot claim Minor award with block credit transfer**. • *note that the University regulation (Admission & Registration A2 28.1) has been revised as "Credit transfer with the grade carried may be granted for subjects taken from outside the University, if deemed appropriate, and with due consideration to the academic equivalence of the subjects concerned and the comparability of the grading systems adopted by the University and the other approved institutions."] • **However, if the subjects taken overseas are clearly in the domain of a Minor, the host department may consult with the Minor subject offering Department for a flexible arrangement on this matter.
