JOB DESCRIPTION

Post Title:             Attendance officer

Grade:                  Band D

Responsible to:         Working under the instruction / guidance of Office Manager,
                        Head of School

Responsible for:        N/A

Main Purpose

To work with pupils, parents, school staff and outside agencies to ensure the
attendance of pupils across the school. To provide general administrative assistance
to the Head of School/Office Manager at the school.

Duties and Responsibilities

   i.    To monitor and ensure the correct attendance codes are entered in class
         registers and SIMS.
  ii.    To operate and monitor the pupil absence phone line
 iii.    To contact parents/carers on the first day of absence in accordance with the
         school policy.
 iv.     To support the monitoring and evaluation of pupils’ attendance and
         punctuality in accordance with the schools attendance policy sending out
         attendance letters where appropriate.
  v.     To support the monitoring of persistent absentees and strategies throughout
         the year. To be part of the creation, implementation and development of
         action plans for all persistent absentees or those at risk of persistent absent.
 vi.     To prepare and analyse pupil attendance and punctuality reviews upon
         proper request. This includes requests from school staff and others, such as
         members of the education welfare services.
 vii.    To prepare pupil attendance data for school reports and central records as
         required.
viii.    To advise and assist parents/carers to maintain regular school attendance.
 ix.     To communicate clearly to parents/carers the attendance procedures and
         expectations of the school.
  x.     To meet and greet children and families each morning and lunchtime as the
         gates are unlocked and repeat the same duties as the children leave at the
         end of the school day.
 xi.     To be part of a team that collects identified students from their home and
         brings them in to school.
xii.     To liaise with EWO and LA for advice and support to raise attendance
xiii.    To undertake reception duties, answering general telephone and face to face
         enquiries and signing in visitors.
xiv.     To support the school’s admissions within the Local Authority Admissions
         Policy and practice.
xv.      To be the first point of contact for all parents enquiring about admissions.
xvi.     To support parents in completing the necessary forms for admissions to this
         school.

   i.   Be aware of and comply with policies and procedures relating to Child
        Protection, health, safety and security, confidentiality and data protection,
        reporting all concerns to an appropriate person in accordance with policy.
  ii.   Be aware of and support difference and ensure all pupils have equal access
        to opportunities to learn and develop.
 iii.   Contribute to the overall ethos / aims of the school.
 iv.    Support the role of other professionals.
  v.    Attend and participate in relevant meetings as required.
 vi.    Participate in training and other learning activities and performance
        development as required.

Qualification/Training

   i.   GCSE Maths and English at Level C or above
  ii.   Good numeracy/literacy skills.


Knowledge/Skills

   i.   Effective use of ICT packages.
  ii.   Use of relevant equipment/resources.
 iii.   Good IT skills.
 iv.    Ability to relate well to children and adults.
  v.    Work constructively as part of a team, understanding school roles and
        responsibilities and your own position within these.
 vi.    Ability to identify own training and development needs and cooperate with
        means to address these.


Appropriate First Aid training will be required.


All other duties at the discretion of the Head of School commensurate with the post.
This job description will be reviewed annually and may be subject to amendment or
modification at any time after consultation with the post holder. It is not a
comprehensive statement of procedures and tasks, but sets out the main
expectations of the School in relation to the post holder’s professional responsibilities
and duties.
Elements of this job description and changes to it may be negotiated at the request of
either the Head of school or the incumbent of the post.
