Session 6: Processing and exporting Data
Summary
The last few sessions have concentrated on data entry and data management, and so
participants should now be ready to move on to data analysis. So far in this module we
have only used Epi-Info. In Module 1 (Statistical Concepts) we used Excel and SSC-Stat.
So what software should we now be using? To decide on this we should explore the
capabilities of Epi-Info. We also need to know how to export data out of Epi-Info in
order to use another package (e.g. Excel) for the next stages of our work.
This session will therefore concentrate on
    (i)         Merging data with Epi-Info;
    (ii)        Producing data summaries with Epi-Info, and
    (iii)       Exporting data from Epi-Info.

Learning Objectives
By the end of this session participants will be able to:
           Merge datasets using Epi-Info
           Use Epi-Info to produce tables, graphs and summary statistics and interpret the
            results
           Export tables and graphs to a file for a report
           Export data from Epi-Info for reading into another software package.

Content:

o 1-way and 2-way tables in Epi-Info
o Exporting data from Epi-Info

Activities
Activity 1
Short PowerPoint to introduce the session, recapping on previous sessions – data entry etc.
– and discussing what the next steps are. Introduce the topic of merging and the different
types of merge.                                                                  [30 mins]
Activity 2
Using Epi Info, participants read a dataset that they have already entered. They merge
these data with the data from their neighbours so that all now have a complete dataset at
the Individuals level.                                                            [30 mins]
Activity 3
PowerPoint presentation introducing some of the analysis commands within Epi-Info
including commands for defining new variables and recoding existing variables. [30 mins]
Activity 4
Participants work through the remainder of the practical running various frequencies,
cross-tabulations and graphs. This will include some recoding and also merging different
levels of data.                                                                  [60 mins]
Activity 5
Continue PowerPoint presentation with slides on exporting to Excel. Include information
about value labels and using VLOOKUP in Excel.                                  [30 mins]

Activity 6 (Optional – only if time allows)

To finish the practical session participants should export some of the data into Excel. Use
vlookup to label the coded variables – refer to Chapter 5 of SSC Introduction to Data
Handling in Excel.

   1. Sections 2 & 3 of individuals survey (20 records) – Individuals23.mdb
   2. Sections 2 & 4 of individuals survey (20 records) – Individuals24.mdb
   3. Household Survey database containing tables for Individuals and Household – full
      dataset and shorter dataset (for slower computers)
(The first two databases are backups in case participants have not finished the data entry in
the earlier session)
