Wake Forest University – Office of University Art Collections Intra Intra-University Art Loan Policy Reynolda Campus Overvie vervie verview The Wake Forest University Office of University Art Collections (“OUAC”) preserves and maintains the University's nine permanent art collections, totaling approximately 1,500 works. The OUAC also administers the Intra-University Art Loan Program, in which select works of art are available for loan to eligible departments, offices, and centers on Wake Forest University’s Reynolda campus. Approximately 98% of the collection is already on view throughout the Wake Forest University campus. Collection Collections Of the nine permanent art collections, only five contain works which are available for loan within the Intra-University Art Loan Program. Three of the collections are considered “active”, or collections into which works are being regularly accessioned; and two are considered “inactive”, or collections that are static into which works are not being accessioned. They include: • General – (active) This collection includes paintings and prints by art department faculty, alumni, regional artists, and artists of international stature. These works are displayed throughout the University. • Portrait – (active) This collection consists of portraits of distinguished members of the WFU community and includes works by William Garl Browne, Stanislav Rembski, and Howard Chandler Christy. The collection is on view in Reynolda Hall, Z. Smith Reynolds Library, and select locations on campus. • RJR – (inactive) A gift of the R. J. Reynolds Corporation in 1987, this collection consists of 162 contemporary prints, paintings, photographs, sculptures, and textiles. It is displayed at various locations on campus. • Simmons – (inactive) The Simmons Collection consists of 94 works from the 19th century and early 20th century. It was donated in 1941 by Dr. Thomas Jackson Simmons, an alumnus, with the one condition that it become the foundation on which a larger collection would be based. It includes works by Bierstadt, Corot, and Mulhaupt. These works are primarily located in secured, private offices in Reynolda Hall. • Student Art – (active) Established in 1993, the Student Art Collection recognizes the artistic achievement of art majors and art honors program students. The University purchases works at the Annual Student Art Exhibition held each spring. These works are displayed in the public spaces of Reynolda Hall, Z. Smith Reynolds Library and other campus locations. Request equest equests Requests for the loan of works of art should be made in writing or by email to the Art Collections Curator (campus mail: Office of University Art Collections, c/o Department of Art or childrhm@wfu.edu). OUAC staff will email the potential Borrower a request form regarding space and preferences to determine eligibility. Once the request is returned, the OUAC will make a site visit. By initiating the request process, potential borrowers agree to comply with the conditions and eligibility requirements listed on the front of this form and below. Requests are handled in the order they are received. Exceptions will be made when an office is vacated, newly occupied, or moved and when new or additional art that meets the aforementioned eligibility requirements is requested in writing. Delivery and Installation Delivery and installation will be scheduled and conducted by OUAC staff, and are subject to framing needs and other preparation requirements of the loan. Eligible requests may take a minimum of three months to complete. Exceptions will be made when an office is vacated, newly occupied, or moved, and when new or additional art that meets the aforementioned eligibility requirements is requested in writing. Conditions of Loans 1. The Department to which the work(s) of art is loaned assumes responsibility for the care and safety of the art. The Department may not transfer responsibility to another Department. If damage (such as physical stress from sunlight or moisture, or vandalism) or loss is detected to any work of art on loan, the primary contact for the Borrowing Department will notify the Art Collections Curator immediately. 2. The work(s) of art must be installed, moved, or removed by OUAC staff only . 3. The OUAC may recall the work(s) of art at any time for purposes of conservation, research, exhibition, or as deemed necessary. 4. The OUAC must receive at least two weeks’ notice to remove (a) work(s) of art, unless the cause for removal is damage. 5. Work(s) of art lent to the Borrowing Department shall not be unframed or removed from mats, mounts, or bases for any purpose whatsoever, or cleaned, repaired, or transported in damaged condition except with the express permission of the Art Collections Curator. 6. The duration of the loan is at least one year and a maximum of five years, with the exception of circumstances noted in #3 above. Loans are renewable. 7. The Borrowing Department agrees to pay for museum-quality framing (arranged for by the OUAC) if two-dimensional works of art selected are not currently framed. 8. Failure to comply with any of these terms may result in the removal of art work(s) from your custody. Retroactive Enforcement and Recall In addition to the aforementioned Conditions, the OUAC reserves the right to retroactively enforce and recall works of art that it deems are in jeopardy, which no longer meet the eligibility requirements, or which have been on view more than five years, particularly in the case of works of art on paper located in proximity to natural light or windows without UV-treatment.
