Introduction

The Academic Administrator (Academic) (AA) is a key member of the administrative team at Kings
London, based in the academic department and working with the Director of Academic
Programmes.

Working closely with the Director of Academic Programmes s/he helps provide the administrative
infrastructure necessary for the smooth running of the college's range of pre-university
programmes. This includes the complex and detailed quality-assurance procedures for internal
awards and procedures to ensure compliance with attendance-recording and reporting
requirements. The work involves a good deal of clerical routine, data-entry and document
preparation work but will also require judgement and imagination in dealing with individuals and
solving problems as they arise.

Note that though some of our courses follow the normal UK academic year, others are in line with
academic years of other countries and Kings is open 50 weeks per year. The post is unlikely to
suit applicants who need to be free in the normal school holidays.

Applicant profile

Applicants must be comfortable working as a member of a team and with teachers and students.
They must have a warm and positive attitude towards young people from other countries and the
inter-personal skills necessary to work with them. They must be administratively highly efficient
with a high degree of competence in the use of standard IT resources. They must have excellent
(native-speaker level) written and spoken communication skills.

Strong candidates for this post are likely to be efficient administrators and imaginative problem-
solvers with excellent attention to detail and the ability to work with a range of people calmly and
with good humour.

Employment details

The post is permanent and full time and is currently vacant. Working hours are 37.5 per week
from 8:30am and 5:00pm Monday to Friday. Salary is in the range £21,000 - £23,500 pa.

Holidays are 20 days per year plus bank holidays. (Note the college is closed over five working
days at Christmas and holiday may not normally be taken in the busy season between June and
mid-August.)

Job Description
The Academic Administrator is a key member of the administrative team at Kings London, based
in the academic department and working with the Director of Academic Programmes to ensure the
smooth running of the college's range of pre-university programmes.

Duties may include:

   1.    collate and record student attendance figures
   2.    collate and process progress test results
   3.    coordinate use of rooms, furniture and equipment
   4.    make arrangements for examinations and assessments
   5.    maintain and update notice boards
   6.    prepare paperwork for the Foundation programme Quality Assurance meetings
   7.    collate and distribute exams and coursework assignments for marking and double marking
   8.    maintain student records
   9.    maintain and distribute staff/student address/phone lists
   10.   maintain and distribute class lists
   11.   correspond with agents and parents, providing information and updates as required
   12.   working with welfare and accommodation staff
   13.   meet prospective students and parents; show them round the college; discuss possible
         course options
   14.   to liaise with the Bursar in processing pay for academic teachers
   15.   help to set up the timetable and ensure students and staff know what their timetables are
   16.   working with the Learning Resources Manager in order to ensure staff and students have
         adequate resources
   17.   with the Director of Academic Programmes, sort out the report schedule and ensure staff
         know when reports are due. Send out reports templates and grade descriptors. Collate
         reports and send to agents and parents.
   18.   to perform such duties consistent with your position as may from time to time be assigned
         to you by the Director of Academic Programmes
   19.   assist with testing and inducting new students
