CLERK/TRIBAL COUNCIL SECRETARY

Beginning Wage:                              $9.77 - $11.00/hr. (DOE)
Open To:                                     All Native Americans (preference to qualified
                                             PITU tribal members)
JOB SUMMARY
Performs routine clerical duties for the Behavioral Care department, provides back up to the Receptionist as needed
and performs secretarial duties for the Tribal Council. In accordance with federal law, priority will be given to
qualified Native American applicants.

DUTIES AND RESPONSIBILITIES include the following. Other duties as assigned.
Maintains foster care provider files and creates licenses.

Drafts and sends correspondence.

Takes staff meeting minutes.

Creates forms and flyers.

Processes leave, travel and expense reimbursement requests.

Creates labels.

Makes photocopies, sends faxes and prepares and sends mail.

Schedules the building for the department.

Schedules and coordinates staffings with community partners.

Provides general clerical assistance to caseworkers.

Cleans and organizes food pantry and department storage area.

TRIBAL COUNCIL SECRETARY DUTIES:
Prepares agenda for meetings.

Records and transcribes minutes.

Arranges travel for Tribal Council members.


Schedules and coordinates Tribal Council functions.

Accompanies Chairperson as needed to meetings and conferences.

GENERAL REQUIREMENTS
Must have a valid driver’s license and be insurable.
Must be able to pass a drug and alcohol screening.
Must be able to pass a background investigation.
The Tribe reserves the right to require an applicant to submit to and pass a physical examination prior to or
contemporaneous with hiring. Refusal to submit to a physical examination may deem an applicant ineligible
for the position.

QUALIFICATIONS
Experience
High School diploma, equivalent (GED) or higher.
One year secretarial experience preferred.

Necessary Knowledge, Skills and Abilities:
Ability to maintain a high level of confidentiality.
Good working knowledge of computers.
Ability to speak and write clearly, concisely and effectively.
Ability to effectively organize workload and manage time.
Ability to multi-task and establish priorities.
Ability to deal with people in a manner that shows cultural sensitivity, tact and professionalism.
Ability to make independent judgments which have minor impacts on the department.
Ability to learn assigned tasks and adhere to prescribed department policies and procedures.
Ability to accept direction on given assignments.
Ability to maintain organization in a changing environment.
Ability to work well under pressure.
Ability to deal courteously and tactfully with difficult or angry clients and work in a collaborative and cooperative way
with co-workers and the Tribal community.
Ability to work with minimum supervision, while recognizing situations that require management attention.
Ability to establish and maintain effective working relationships with co-workers and clients.
Knowledge of the Native American community is helpful.
Demonstrates respect for and awareness of Native American customs and traditions.
