PROJECT TRUST Job Description Job Title: Senior Desk Officer Location: The Hebridean Centre – Isle of Coll Responsible to: Overseas Director Number of hours per week: 35 hours per week Salary: £24,500 Purpose of job To be responsible for the day to day running of a given country programme/programmes. To be responsible for the direct liaison with the nominated Overseas Representative and to act as the first point of contact on Coll for the volunteers and their parents. To provide mentoring support for Desk Officers and to provide the Overseas Director with full and comprehensive information relevant to the overseas programme. Summary of main responsibilities To assist the Overseas Director with the development and implementation of an overseas strategy for Project Trust. To take on Desk Officer responsibility for Uganda, Rwanda (subject to change) To develop strong links with volunteers and their parents. To assist with the selection of volunteers and to contribute to the decision making process with regard to the placing and pairing of volunteers. To develop and maintain strong working relationships with the Overseas Representatives and hosts in each country of responsibility. Working with the Education and Development Officer to deliver the Accredited Overseas Education Programme. Liaise and build partnerships with relevant external bodies ( eg. FCO, Scottish Malawi Partnership, British Council) To produce accurate and confidential volunteer profiles and host information as and when required. To assist with the Training of volunteers prior to their departure overseas. To maintain regular email, telephone or letter contact with your country volunteers whilst they are overseas with Project Trust. To undertake at least one visit to each country of responsibility in any one year. Mentor and support of Desk Officers in their specific role and responsibility and to accompany Desk Officers on overseas visits if appropriate. To assist with the induction and training of new Desk Officers To respond to any overseas emergency or other problems as and when they may arise and to liaise with the Overseas Director and Director whilst doing so. To assist the Director and Overseas Director with the sourcing and visiting of potential new country programmes. To supervise Desk Officers as and when appropriate in conjunction with senior management; To assist the Overseas Director with annual Appraisals for all Desk Officers. Within the job holders skills and abilities, support the Director and Overseas Director as required in other tasks or activities which contribute to the achievement of Project Trust’s objectives and its development. Other duties Other reasonable duties as may be requested by the Director or Overseas Director. Conditions of Service The appointment will be made subject to Project Trust’s detailed terms and conditions of employment. Candidates should be aware that: a) The offer of appointment will be made subject to the receipt of satisfactory references. b) This position is subject to the Disclosure Scotland check and a Medical Questionnaire. c) This post is permanent subject to continued funding of Project Trust. d) The person appointed will be subject to a probationary period of 6 months, with an interim review at 3 months and a final review at 6 months. e) The post holder will be required to give 2 months notice to terminate the appointment. f) The working week is 35 hours and flexibility is required where some of these may be outside the normal working day i.e.: at evenings or weekends. g) The holiday entitlement will be 30 days per annum. h) A full driving licence is essential and the post holder will be required to provide a vehicle for use in connection with his/her work from time to time. i) Project Trust operates a no smoking policy within its premises. j) Accommodation will be provided subject to a rental contribution.
