XYZ holds and annual conference which all members are invited to
attend as well as all contracted suppliers, Alan is our main point of
contact within XYZ and organises the whole event, however, each
member of XYZ helps out and has specific roles on the day.
Prior to the annual conference we held a team meeting at Chester
to view and discuss the arrangements for the day. During this
meeting we decided on the specific roles and responsibilities of each
member of staff. I was due on the reception desk in the morning
and the XYZ stand during the afternoon. I also volunteered to get
there early to put up any notices for directions.
On the day of the exhibition I arrived early and walked the route
with John placing direction signs up for the visitors. I also assisted
the team in putting the stand up in the exhibitors hall. At 10.00am
I reported to the reception desk, my duties included meeting and
greeting customers issuing them with a registration pack and the
delegate badge. I then had to direct them to the opening
ceremony. I was on the desk during the opening ceremony to deal
with any late arrivals, a number of delegates did arrive late and I
had to advise them not to interrupt the address and instead to go to
the exhibition. I stayed on the desk until after the ceremony so I
could direct the delegates to the exhibition.
Whilst on the stand during the afternoon I had to deal with
customers face to face providing information on the services
available through XYZ. A number of people enquired about the NVQ
programme, I was able to answer most questions but had to refer a
couple to Joe Bloggs our Training Manager.
At the end of the day I assisted the team in packing up the stand
and loading up the van.
After the exhibition I was asked to evaluate the customer feedback
forms that we had collected. I broke the questions down in to
various categories and produced graphs and charts for each. I also
made suggestions on ways to improve the next supplier exhibition
based on the feedback we had received.
This information was then passed onto our Marketing Manager.
