                                       GUIDANCE NOTES
General Information

     When completing this form on your computer, please adhere to the original format and do not
      alter the size or layout of the text boxes.
     The application form and brochure are also available on tape cassettes or Braille for applicants
      who are partially sighted or blind.
     It is very important that you answer all of the questions. If your application is for £25,000 or
      more (in total, not per annum) you will need to submit a fuller proposal in support of your
      application. However, make sure you answer all the relevant sections of the form and avoid
      phrases such as “see enclosed”. Read the checklist on page 11. If any items are missing, the
      whole application will be returned to you in order that the missing items can be enclosed.
     Try to avoid abbreviations – e.g. use “Primary Care Trust” rather than “PCT”.
     The Trust does not provide funding for work which has already been completed. A contribution
      may be considered, however, towards capital work still being undertaken.


Questions 1-14 of the application form are about your organisation as a whole. Questions 15
onwards are about the specific project or piece of work for which you are applying.

Notes for specific questions

2. Purpose for which funds are requested
This is used as a summary for our Trustees. Make your description as clear as possible and also
select the theme your application meets. If you are applying for funding over more than one year,
the total amount requested should be the total amount of your bid (e.g. if you are applying for
£10,000 per annum for 3 years, the total requested should be £30,000).

3. Aims of your organisation
What is your organisation set up to do? These are your aims as set out in your mission statement
or constitution.

4. Main activities of your organisation
What does your organisation actually do? These are the main activities you carry out in order to
meet your aims.

8. Finance
This part of the form reflects how your accounts should be presented under the latest SORP
(Statement of Recommended Practice) guidance as required by law.

The   income headings include:
     Voluntary income: e.g. gifts, donations, membership fees, sponsorships
     Activities for generating funds: e.g. income from fundraising events, shop income
     Income from charitable activities: e.g. the sale of goods/services as part of the direct charitable
      activities of the charity.

The expenditure headings include:
  Cost of generating funds: e.g. includes costs actually incurred in persuading others to make
    gifts/donations; fundraising; trading; costs of obtaining investment advice; rent collection;
    administration of investments.
  Governance costs: e.g. includes internal/external audit fees, legal advice for trustees, cost of
    holding trustees’ meetings.

This should include any changes in key members of staff or trustee; any major changes to your
funding situation, activities or services; change of status or any major changes to your premises. It
may well be that nothing has changed substantially, in which case, please answer ‘none’.

of your organisation and how it has developed over the years. Please give the names of the funders
concerned and avoid using initials (see general notes).

15. Purpose
Please make sure that the following points are addressed when answering question 15:

   Describe the need for the project and how the need was assessed – this should give us an idea
    of why the project needs to be delivered and can be demonstrated through existing internal
    evidence and/or external factors.
   How will the work be delivered? (If any planning or other statutory consents are required for
    the project to proceed, what stage have the applications reached?)
   What will your project aim to achieve? Please list up to 4 clear objectives for the duration of
    the grant. Each objective should be measurable through outputs and outcomes (*see
    definitions) for monitoring purposes at the end of each year of the grant.
   Why are you the right organisation to deliver the work?
   Describe how your project meets the Trust’s theme under which you are applying.
   Explain how your project meets the Trust’s ‘Principles of Good Practice’ as set out in each
    programme.
   If your application is for all or part of new or existing post(s), please enclose a copy of the
    relevant job description(s) including the salary level.

If you are providing a more detailed proposal, it is important that the summary you provide here is
adequate for the Committee to be able to understand your request. The application form will be
seen by the Committee, whereas attachments will not.

16. Explain how you will monitor and evaluate both your own outcomes and those of the
programme under which you are applying.
Monitoring – how will you collect data and information on a regular basis?
Evaluation – How will you interpret the monitoring data and information to make judgements about
the success, value and outcomes of the project or piece of work?

17. Beneficiaries
This section provides the Trust with information about the organisations applying to us which we use
for our own monitoring statistics. This means the more accurate the information you give us, the
more accurate our monitoring data will be. It does not mean the more boxes ticked, the higher
your chance of success!

18. Funding required for the project
All the questions on this page refer to the specific project or area of work for which you are
applying, NOT your organisation as a whole. In this section, you must include all costs associated
with this piece of work, even if you are not asking the Trust to fund the whole amount. If you are
applying for funding over more than one year, please provide an annual breakdown of funding
required.

20. When will the funding be required?
This should allow at least four months after the date of submission in order to allow sufficient time
for your application to be assessed and a decision made by the Trustees.

20. Is the activity to continue beyond the period for which funding is requested?
The Trust does not usually make grants for more than three years. The Committee will need to be
satisfied that you have a reasonable plan for alternative funding at the end of the Trust’s funding
period.

*Definitions

Outputs – are the quantifiable activities that your project has carried out in order to meet its
objectives. This could include things such as number of advice sessions held; number of advice
leaflets produced; number of lunches served.
Outcomes – describe the effects or impact of your project. These might include improvements in a
client’s wellbeing (as a result of their advice case being resolved and/or a successful claim for back-
dated benefits); the effectiveness of the leaflets in conveying your message; the extent to which
those attending the lunch club are less isolated than previously.

       period in which the majority of the grant is to be used, distinguishing clearly between income
       that has already been confirmed and income that is anticipated
     a copy of the organisation’s latest Annual Report, if one is published
     a copy of the organisation’s Constitution
     fuller details of the proposal if requesting £25,000 or more in total (see Question 13). If
       relevant, include plans for any building works for which funds are requested. Please note
       that these fuller details are required in addition to and not instead of the summary
       that should be provided in Question 15.

The City Bridge Trust (which is administered as part of the Bridge House Estates by the City of London)

information, including personal data, as part of the process of assessing grant applications and monitoring the
use of grants. The information, including personal data, which you provide on the grant application forms, or in
supporting documentation, may be made public as part of the assessment of applications. Information,
including personal data, may be assessed and monitored by external evaluators contracted to the City of
London. It will not be used for any additional purposes or disclosed to any third parties without your
permission, except for the purpose of determining, preventing or detecting crime, validating the bona fides of
contracts or where this is otherwise required by law.
