Volunteer Grants - Program Description and Benefits

Overview

Volunteer grant programs are charitable giving programs setup by corporations in which the
company provides a monetary donation to eligible nonprofits as a way to recognize employees
who volunteer with that organization. They’re frequently referred to as Dollars for Doer
programs.

Volunteer grant programs are a relatively new form of corporate giving which emerged as
corporations looked to enhance corporate giving at the local level while also promoting
volunteerism from their employees.

They're widely offered among Fortune 500 companies and are catching on among smaller
employers.

 Grants can range from as low as $1 per hour at one company to as high as $50 per hour
for employees who work at Soros Fund Management.
 Maximum annual donations per employee typically range from as low as $100 to up to
       $6,500.

Required Hours:
Standard:

 There is normally a minimum number of volunteer hours that must be completed within a
       calendar year
 The average minimum is about 25 hours in a year
 The majority of companies combine an individual’s volunteer hours across all the
different nonprofits they volunteer with and then let them pick the nonprofit which
       receives the volunteer grant

Variations:

 Some companies have no minimum
 A few require as many as 50 hours in a year

Nonprofit Eligibility:
Standard:
Corporations are generally willing to provide volunteer grants to any IRS certified 501(c)(3)
organization or educational institution.

Variations: Although rare, a few corporations limit volunteer grants to specific types of
organizations. These may include:

        Educational institutions
        Health and human services
        Arts and cultural organizations
        Civic and community organizations
        Environmental organizations

Part-time employees, spouses, and retirees are able to participate in about 50% of the programs.

Submission Process:

Standard:

    Employees log their hours
 Employees can normally submit their volunteer grant requests at any point in the year
 Submission is frequently being done electronically at Fortune 500 companies, but paper
       forms are still prevalent
 The nonprofit is asked to verify their 501(c)(3) status or educational institution
       accreditation
 The nonprofit is asked to verify the employee actually is a volunteer

Variations:

 The trend is to encourage or require employees to log their volunteer hours and submit
their volunteer grant request forms electronically
 Smaller companies don’t always require nonprofits to verify that the employee is actually
       a volunteer

Deadlines:

Standard:

 Companies operate their volunteer grant programs based on the calendar year
 The deadline to submit hours and request a volunteer grant is typically a few months into
       the following year
o For example, employees can submit 2012 volunteer hours until March 31st, 2013

Variations:
 For accounting purposes, a few companies require all hours to be logged and submitted
by the end of year calendar year

Program Restrictions

 Exclude counting hours from organizations that discriminate on the basis of age,
disability, religion, ethnic origin, gender, or sexual orientation
 Don’t allow multiple individuals to pool their hours together. Each employee must
       submit grant requests individually
 Exclude organizations/projects that are religious or political in nature or promote a hobby
