Absence and Sickness
Policy and Procedures
Students who are sick and unable to attend the BSc (Hons) Diagnostic Imaging
programme either at the University or in professional practice, should inform the
Directorate Secretary on the first day of absence, by telephone, between 8.30-
9.00.am, and also their clinical tutor if on professional practice. The Directorate
Secretary will record the absence in the Sickness and Absence Diary located in
When the student returns from absence to the University, the student must
complete a Self Certification of Illness Form and hand it in to the Secretary who
will record the return in the Sickness and Absence Diary.
NB: Students must submit a Certificate to the Secretary within 2 weeks of their

Students who are sick for seven calendar days or more must obtain a doctor’s
medical certificate, which should be forwarded to the Directorate Secretary.
A maximum of 2 self-certifications only will be accepted in any one Semester.
Further absences because of illness during the Semester will require a medical
Absences not notified to the Directorate will be recorded as unauthorised and
also, if absent without permission or a valid reason on three or more occasions
in one semester, the student’s academic tutor will be informed.
Permission for other absences for whatever reason should be sought from the
Director of Studies or Head of Directorate.
Students must give at least 24 hours notice prior to the period of absence by
completing a Leave of Absence Form which must be authorised by the Director
of Studies or Head of Directorate, if reasons for absence are deemed valid.
The signed and completed Leave of Absence Form must be handed into the
Directorate Secretary to be recorded in the Sickness and Absence Diary.
It is the student’s responsibility to discuss their absence with the relevant
educator and complete work missed due to absence.
Should a student be absent without permission this will be recorded as an
unauthorised absence and also, if absent without permission or a valid reason on
three or more occasions in one semester, the student’s academic tutor will be
The Directorate Secretary will:
Record notified sickness or absence in the Sickness and Absence Diary.
Inform the relevant academic tutor and Practice Placement Co-ordinator of
the student’s sickness or absence.
File the medical certificate in the appropriate file.
Inform the academic tutor, the Practice Placement Co-ordinator and the
Director of Studies when a medical certificate has been received.

A student’s Academic Tutor will monitor absences.
If non-attendance, other than notified sickness or absence, causes concern,
the Academic Tutor will discuss this with the individual student and
provide an oral informal warning.
If the student’s attendance does not improve, the Director of Studies will
give an oral formal warning, followed by a written formal letter.
If the student’s Professional Behaviour does not improve, the Progress
Procedures outlined in the Assessment Handbook will be followed.
