POSITION DESCRIPTION – Bookkeeper (20 hours per week) Reporting Lines Reports to: Financial Controller Direct Reports: No direct reports The position of Bookkeeper is responsible for providing bookkeeping, accounting and payroll duties and assistance to the Financial Controller in the preparation of financial and statistical reports, reconciliation of general ledger accounts, tax compliance and other requirements as needed. Key Performance Indicators ‐ KPIs The following are general indicators for the Bookkeeper, from time to time these KPIs may vary and additional indicators may be added – more specific KPIs will be set and reviewed annually. Bookkeeping and accounting It is expected that the Book keeper will contribute to the maintenance of accurate financial records and provide information in a timely, complete and accurate manner, including the following: • Bank reconciliations o Daily / weekly bank reconciliations for all company bank accounts • Accounts payable o Data entry of accounts payable invoices o Ensuring invoices are authorised in accordance with the company purchase order and authorisation policy o Timely remittance of payment to creditors o Liaising with creditors as required • Company credit cards o Data entry of credit card receipts o Monthly reconciliation of credit card statements • Registrar (customer) accounts o Daily reconciliation of .au Registry portal to Registrar bank accounts o Preparation of daily Registrar bank transfers Payroll function • Completion of fortnightly payroll o Liaising with Human Resources to ensure accurate completion of payroll o Timely remittance of payment to employees Distribution of payslips to employees • Completion of monthly superannuation reconciliation and payment • Provide assistance with payroll tax and work cover reporting requirements AusRegistry Pty Ltd, Level 8, 10 Queens Road, Melbourne VIC 3004, Australia. PH: +613 9866 3710 FAX: +613 9866 1970 ABN 180 9224 2209 Asset Register • On‐going maintenance of the company asset register and tagging of company assets • Monthly reconciliation of the asset register to the accounting system • Assistance with annual audit of the company asset register Other • Maintenance of company / employee travel diaries in accordance with company guidelines • Maintenance of Office of Renewable Energy (ORER) transactions: o Reconciliation of ORER bank accounts o Maintenance of ORER transactions spreadsheet and reconciliation to portal o Assistance with ORER quarterly reporting • Assisting Financial Controller with preparation of information for: o Monthly financial reporting o Annual budgets and quarterly forecasts o Weekly cash position and forecast reporting o Annual statutory accounts and income tax return o Export Marketing Development Grant application o Other special projects • Timely filing of accounting and bookkeeping information • Annual archiving of company records • Assisting internal and external stakeholders with accounts related enquiries • Contributing to identifying efficiencies in the accounting and bookkeeping function Key Skills, Experience and Knowledge • Strong accounting and data entry skills • Focus on attention to detail and accurate recording of information • Thorough understanding and demonstrated ability to use MYOB and Microsoft Office • Strong customer service attitude • Ability to keep open communication lines to interact effectively with co‐workers and manager’s • Common sense approach to book keeping and accounting function • Ability to work unsupervised at times and show initiative • Strict maintenance of confidentiality AusRegistry Pty Ltd, Level 8, 10 Queens Road, Melbourne VIC 3004, Australia.
