                  Up ‘til Dawn Letter Writing Event and Retreat Allocation Proposal

Whereas, Up ‘til Dawn is a student-led, student-run philanthropic organization that raises awareness and
funds for St. Jude Children’s Research Hospital. The organization is operated by a seven person Executive
Board, along with sub-committees, and participants.

Whereas, Up ‘til Dawn unites the campus to fight childhood cancer and other catastrophic diseases through
various campus and community events and fundraisers, such as our annual Letter Writing Event (November
14, 2012) and our annual Steps for St. Jude 5K (March 9, 2013).

Whereas, Up ‘til Dawn does require participants in the Letter Writing Event to pay a $5 registration fee, but
does not have a large enough budget to cover some larger expenses. Revenue created from the fundraising
events is sent to St. Jude Children’s Research Hospital.

Whereas, Up ‘til Dawn will be hosting its 7th Annual Letter Writing Event on Wednesday, November 14, 2012
in the McNeese Recreational Complex Arena from 6 pm-10 pm. During the event, participants are required
to bring a minimum of thirty-five names and mailing addresses to transfer onto pre-made letters, envelopes,
and return envelopes, which are provided by ALSAC/St. Jude. To make the event more marketable and fun
to attract student participants, which will, in turn, account for more donations, the Up ‘til Dawn Executive
Board has gotten a discounted price of $1,000 from Special Ops, Inc. for novelty items. The items that have
been reserved for a discounted price are Human Bowling, Inflatable Twister, and Engraved Dog Tags.

Whereas, the Up ‘til Dawn Executive Board will be visiting St. Jude Children’s Research Hospital in Memphis,
Tennessee from November 15-17, 2012. The visit to St. Jude Children’s Research Hospital will serve as an
extension of our Executive Board Retreat, in order to further enrich the Executive Board’s knowledge of
what St. Jude Children’s Research Hospital is all about and why it is such a great cause. We plan to bring all
of that insight and knowledge back to the students in the form of advocacy events, which will hopefully
expand both student and community involvement in Up ‘til Dawn. The seven members of the Executive
Board along with two faculty members will be attending. We will leave on November 15 and return on
November 17, which amounts to two nights in a hotel. We are asking for $1,251.60 from the Senate to
cover the cost of the trip.

Therefore Be It Resolved, that the sum of $2,251.60 be appropriated from the Organization Assessment
Fund to deter the cost of both the Up ‘til Dawn Letter Writing Event and the Up ‘til Dawn Executive Board’s
trip to St. Jude Children’s Research Hospital in Memphis, Tennessee.
