                            Practice Assistant (Reception)
Hours of Work:         Full time hours to be worked on a shift pattern to cover the
                       opening hours of the Surgery as agreed by the Practice
                       Manager
Grade:
Responsible to:        Practice Manager but on a day to day basis responsible to the
                       Duty Reception Supervisor
Responsible for:       No staff supervision required

1.   Job Description

     Overall – the Practice Assistant (Reception) shall form one of the reception team
     and contribute to the daily office routine helping to cover the reception area on a
     rotational basis to cover the opening hours of the Surgery as well as undertaking
     administrative duties as directed.

     More specifically the role shall encompass the duties associated with the smooth
     running of the reception area as well as administrative duties in the back office.

2.   General Office Duties
      To cover reception on a rotational basis during the surgery opening hours
      To assist in any administrative task as required
      To undertake typing duties as requested
      To be involved in the training of students and registrars

3.   Day to day reception duties
      To answer the telephone promptly and politely, telephoning patients when
        requested
      To deal with patients at the front desk in a polite and courteous manner
      To make appointments accurately for both Doctors, the Nurse and other
        members of the community team using both manual and computerised
        systems
      To process requests for repeat prescriptions promptly and accurately
      To take messages for visits and advice
      To pull notes and file away as necessary
      To undertake photocopying duties as requested
      To undertake the electronic scanning and filing of patient correspondence
        and results
      To manage the system of results arriving in both paper and computerised
        format
      To download and manage contacts from the out of hours service
      To arrange volunteer transport for patients as requested
      To undertake administrative and typing duties as directed
