First step is to help you justify your attendance to management:

       Compile a list of topics from the agenda that are being offered during the conference and match
        them with challenges or changes your company/organization is facing.
       Networking during the conference increases your industry contacts and knowledge and gives
        you the opportunity to learn how your peers are managing their daily challenges.
       Opportunity to view the latest industry solutions being offered by exhibitors.

Second step is for you to send your manager a message outlining why you should attend the conference
using the following sample message.

Third step is to obtain approval to attend the conference and to register.

Dear Manager,

I would like to attend NPMA’s 2011 Conference Series III – East: National Capital Area Conference
scheduled for November 14-15, 2011, in Alexandria, Virginia. This conference includes personal property
and fixed-asset management professionals in the international community. Over 150 government and
private sector personal property and fixed-asset professionals will be in attendance with many breakout
and general sessions being offered. This is a strategic event where I will have the opportunity to bring
back actionable information to improve our asset management operations, help ensure compliance to
key regulatory mandates, and reduce costs and risk in managing physical assets and material.
Networking opportunities are available during the conference, allowing me to increase industry
contacts and to learn how my peers are managing their daily challenges. I will also have the opportunity
to view the latest industry solutions being offered by exhibitors.

Following is a list of several breakout sessions that I believe address some of the specific challenges we
face as a company/organization or changes that are occurring in the personal property and fixed-asset
arena.

I am requesting approval of the registration fee and travel expenses to the 2011 Conference Series III
event. For your convenience, included is a breakdown of the total costs for attending the conference.
       Airfare or Other Mode of Transportation: (Insert your costs here. Airport code for Ronald
        Reagan Washington National Airport is DCA.)
       Ground Transportation in Your Local Area: (Insert costs of mileage reimburse to/from airport
        and parking at airport or cost of other transportation to airport.)
       Ground Transportation in Alexandria, Virginia between Ronald Reagan Washington National
        Airport and the Holiday Inn Hotel & Suites Alexandria:
              Complimentary Shuttle available from the airport.
              Taxi fare is approximately $12 one way.
              Train: Amtrak Station – Alexandria (ALX), 1.7 miles from hotel, one-way taxi charge $15.
              Subway: National Airport Metro Station, 2.0 miles from hotel, complimentary shuttle
                 available, one-way taxi charge $10.
       Hotel: The cost is $181 single/double occupancy plus tax per room per night at the Holiday Inn
        Hotel & Suites Alexandria, the official hotel for the conference. (Rooms at the group rate are
        subject to space availability and reservations must be made by October 14, 2011 to receive
        these rates.)
       Meals: The conference registration fee includes the following meals. Any other meals are at
        your own expense. (insert cost of meals not included)
              Enhanced Continental Breakfast—Monday and Tuesday (November 14 & 15)
              Lunch— Monday and Tuesday (November 14 & 15)
       Conference Registration Fee: On or before October 14, NPMA member is $249 or Non-member
        is $349. After October 14, NPMA member is $299 or Non-member is $399. Non-member
        registration fee includes a one-year membership to NPMA. (Insert NPMA member or Non-
