CUSTOMER SERVICES ASSISTANT
BASED : PERENNIAL HEAD OFFICE, LEATHERHEAD
JOB PURPOSE : To run GRBS (Enterprises) Ltd, Perennial’s charity’s trading
company, in line with agreed strategy and policies, ensuring
maximum profits are generated through its activities and the work of
Perennial is promoted.
a. Source, select and purchase merchandise that is appropriate for Perennial’s customers
and potential customers.
b. Negotiate on price and other terms in the best interests of the company.
c. Source artwork for our range of Christmas and other cards, negotiate terms and manage
relationships with suppliers effectively.
d. Attend trade shows and merchandise exhibitions on the Company’s behalf, develop
relationships with key suppliers, and source a continuing supply of new saleable
e. Maximise profitability by negotiating best prices for GRBS.
2. Regional support and volunteer management
a. Recruit volunteers to work on the Company’s behalf. Provide guidance and support to
b. Assist Perennial’s Regional Fundraising Managers and volunteers, providing goods for
sale at local shows and fairs as needed.
c. Maintain records of GRBS goods sold by volunteers and Regional Fundraising Managers.
d. Control and administer goods for “Sale or Return” events.

3. Mail Order Catalogue and Leaflets
a. Source and liaise with designers, and co-ordinate the design of in-house mail order
catalogues (currently 4 publications per year: Spring, Summer, Christmas and a
Christmas card flyer).
b. Oversee the distribution / circulation of mail order catalogues to relevant audiences in
order to maximise sales within departmental advertising budgets.
c. Brief the Director of Marketing and Fundraising on sales trends; closely monitor results
of specific initiatives.
4. External Sales Stands
a. Be responsible for GRBS trade stands at specific shows and events, notably the RHS
Chelsea Flower Show.
b. In partnership with Regional Managers co-ordinate the delivery and collection of goods,
literature and display materials to such events ensuring stands are set up in line with
Perennial’s corporate identity.
c. Co-ordinate the involvement of volunteers and staff at agreed shows and events. Arrange
and manage rotas as required.
5. Cards for Good Causes and charity fulfilment services
a. Manage GRBS’s relationship with Cards for Good Causes (the UK’s largest charity
Christmas card retailer / mail order supplier). Liaise closely with C4GC staff and
volunteers as needed.
b. Co-ordinate the selection and distribution of our cards,
c. Organise the placement of volunteers in Cards for Good Causes’ network of shops.
d. Negotiate and oversee the fulfilment of our ongoing agreement with the National Garden
Scheme, and ensure the smooth running of this service. Liaise with, and provide support
to, NGS County Organisers, staff and volunteers as needed.
e. Provide a fulfilment service for contracted charities. Oversee fulfilment activities,
ensuring an efficient service for customers. Further develop this aspect of GRBS’s work.
6. General Management and strategic development
a. Update annually the business strategy which reviews trends and past year results and
develops the work of the company for the following year.
b. Ensure the effective and efficient financial management of the Company.
c. Identify new trading opportunities and prepare business plans where appropriate, in order
to extend the Company’s profitability and profile.
d. Provide support to, and manage the work of, GRBS staff members including the
Customer Services Administrator, Customer Services Assistant and volunteers.
e. Provide regular sales, marketing and results reports as needed.
f. Ensure all GRBS employees are aware of and comply with current Health & Safety
g. Participate in national marketing and fundraising initiatives as required.
h. Play an active role in promoting the work of the charity
i. Participate in training courses, team and staff meetings as arranged.
j. Carry out any other duties that may be agreed from time to time with the Director of
Marketing and Fundraising.

Staff are expected to work flexibly as part of this role: evening and weekend working will be
required from time to time, and time off in lieu will be given.

appointment. Enquiries on specific matters are welcomed – the following are the key issues.
Hours of work : 35 hours per week based on a Monday to Friday week
Holidays: 23 days per annum (increasing after service period)
Pension: Perennial will match your contribution of up to 7% of gross annual salary to a
personal pension scheme of your choice.
Death-in-Service life assurance: Perennial will pay 2 x annual salary on the death in
service of a staff member (subject to acceptance/qualifying period)
Smoking: In accordance with current legislation, Perennial operates a non-smoking policy
on its premises.
