For Further Help or Explanation call Pat Fancher @ (512) 480-8045 SWINE TAG - EXCEL ENTRY INSTRUCTIONS All Data Entry for Swine Validation must be completed on the Excel Spreadsheet, which each County Chairman will receive via e-mail. The EXCEL spreadsheet must be completed using Microsoft Excels Program. Any other program will not be compatible with the Swine Validation Co-Coordinator’s software and will be sent back to the county chairman until the problem is corrected or the county will be disqualified for incomplete data. Step 1: Open the e-mail Attachment Step 2: SAVE AS (Your County Name) (Year) TAGS onto your computer. Close out the e-mail. Step 3: Go to your computer and find the file. Double click on the File Name: (County Name) (Year) TAGS to open Step 4: Enter the data. DO NOT ALTER THIS FORM. DO NOT INSERT OR DELETE LINES. TAG NUMBERS CANNOT BE CHANGED OR MOVED. DO NOT USE ANY VERSION OF SOFTWARE OTHER THAN EXCEL!!!! Step 5: Tag # Column – this column will displays the tag numbers and is a protected cell. Step 6: Tag Code Column – Tag has not been assigned – type E. If the original tag is broken or lost – B V- RPT (new tag number) ---move the student name, breed and ear notch information to the new tag number. The old tag number should have a tag code and the rest of the line blank. Step 7: Go to the column Student Name. LAST NAME, FIRST NAME (This must be in filled in correctly or will cause problems at the event) Multiple Owners: Jones, Mandy or (Must Press Alt Key + Enter for second line entry) Jones, Kellie Tab over to the Breed and enter the information Tab over to Ear Notch and enter the information (Right Ear- Left Ear) Continue entering names, etc. Step 8: SAVE Instructions: After all the required information has been entered in the correct columns, SAVE the data on the computer. AT NO TIME SHOULD THE INFORMATION BE SAVED AS “READ ONLY”. Send the saved file as an attachment via e-mail to: email@example.com Step 9: Print the information Go to Print Preview and verify that the information will fit the width on one page. If the column widths haven’t been changed the program is automatically set up to print all the information on one page. Click on the PRINT icon or select File Print Enclose a print out of the e-mailed excel spreadsheet along with the manila copies of the validation forms, hair sample envelopes, ethic policies, signed committee form(s) and unused hair envelopes. Step 10: Close the file: Make sure the excel spreadsheet file is SAVED. DO NOT SAVE AS READ-ONLY Click on File Close Step 11: Late Tag Assignment: Excel spreadsheet(s) with late tag assignments will be e-mailed to the Validation Chairperson with a date in the comment section. Additions of late tag numbers will be on these spreadsheets. Copy and paste the data from a previous spreadsheet onto the new one. Complete the data input for new tags and send your updated spreadsheet as an e-mail attachment.
