OFFICE OF HUMAN RESOURCES POSITION VACANCY ANNOUNCEMENT Job Title: Staff Assistant, Nursing and Allied Health GENERAL DESCRIPTION: The Staff Assistant, Nursing & Allied Health performs advanced administrative and clerical support work coordinating varied administrative/clerical functions of the Nursing, CAP and EMS departments. Work is performed under the general supervision of the Dean, Nursing and Allied Health. ESSENTIAL JOB DUTIES: 1. Performs office management functions and coordination, secures details of specialized information and provides information regarding services and operation of the unit. Functions as office receptionist. 2. Assists Nursing and Allied Health faculty with various support functions; such as copying documents, proctoring exams, etc. 3. Supports Nursing and Allied Health faculty by participating directly in the work of the individuals in the department by providing clerical support. 4. Maintains faculty appointment calendars and schedules appointments. Receives and screens calls and refers callers, as appropriate, to other faculty and staff. 5. Collaborates with nursing and allied health faculty to achieve the program goals and outcomes. 6. Maintains notes and minutes of conferences, meetings and functions. 7. Prepares forms and composes letters. Sets up and maintains office files. Files letters, reports, and related technical information. Opens, prioritizes and processes mail. 8. Supports Nursing and Allied Health faculty by preparing letters, forms, reports, exams, schedules, manuals, booklets, and related paperwork. 9. Assists Nursing and Allied Health faculty by inputting information into Banner. Retrieves data for reports. Conducts statistical comparisons of information retrieved. 10. Assists in the preparation of specialized accreditation reports in compliance with monitoring state agencies for Nursing and Allied Health programs. 11. Assists in the application process and the administration of specialized grants (i.e. AHEC, Helene Fuld, and Workforce Development). 12. Assists in surveying and monitoring placement and follow-up of Nursing and Allied Health program graduates. 13. Establishes and maintains Nursing and Allied Health student files upon application and throughout enrollment period. 14. Maintains office supplies. 15. Participates in staff and committee work. 16. Attends college-wide academic and staff meetings and official functions. 17. Maintains good relationship with community agencies and groups and participates as appropriate. 18. KNOWLEDGE, ABILITIES AND SKILLS: Knowledge of business English, spelling and punctuation, in order to prepare documents and compose letters, etc. Computer literate with advanced skills in Microsoft Office software use, including Word and Excel. Advanced knowledge of office practices and procedures. Knowledge of the College's policies, procedures and practices. Knowledge of state Nursing, EMS, and CAP policies and standards including record keeping. Ability to plan and coordinate office functions independently. Ability to maintain confidentiality. Ability to establish and maintain effective working relationships with Faculty, staff, students and the public. Ability to communicate effectively using speaking, hearing and visual skills. Ability to complete a variety of tasks simultaneously under time constraints and stressful situations. EDUCATION AND QUALIFICATIONS: Graduation from an accredited two-year college with an Associate’s degree in related field. Three (3) years progressively responsible experience involving staff assistant and administrative support work.
