General presentation
Medecins Sans Frontieres is an international, medical, humanitarian organization, which has been working in
Myanmar since 1992 and is currently providing healthcare in Shan, Rakhine and Kachin States and Yangon
Divisions. Over 1,200 international and national staff works closely together to provide high-quality care and
treatment through a network of health centers and health posts.

Main of task and responsibilities
•   To arrange work-related travel for (inter) national staff both internationally and between project
    locations and to deal with all administration related to this, as required
•   To keep the flight overview up to date and to distribute it on weekly basis, as required
•   Monitor expat end of mission tickets and check with Financial Coordinator/HR & Admin Officer for
•   necessary changes, as required.
•   To ensure that all departure forms are completed for all staff leaving Myanmar and given to them
    before departure, as required.
•   To update MSFH (AZG) contact list, as required
•   Together with the Office Secretary (Receptionist) to answer phone calls professionally, respond to
    general queries and to forward calls to the appropriate person.
•   To receive and distribute incoming mail and to maintain files for incoming and outgoing letter, faxes
    and other mail.
•   To liaise with the logistics department for the organization of mail delivery vehicle arrangements and
•   Photocopying
•   Monitor and keep a record of expat whereabouts to be given to Finance Department at the end of each
•   Assist international staff with holiday arrangements (in liaison with Financial Coordinator) in country but
    not as a priority over other work
•   Assist the HR department with circulation and display of any job vacancies, newsletters and bulletins, as
•   To work closely with the HR Admin Officer on all matters to ensure that it is possible to cover for each
    other when necessary
•   To be responsible for the proper and efficient running of the reception area and back-office.
•   To deal with administrative issues for, and act as secretary to, the Head of Mission, Deputy Head of
    Mission & Medical Coordinator
•   To translate documents as required and as approved by the Financial Coordinator/HR & Admin Officer
•   To make appointments and to ensure transport is available when required
•   To facilitate the Financial Coordinator/HR & Admin Officer in organizing appointments and meetings
    with local authorities and other organizations (NGOs)
•   To manage the office stationery stock and stock count monthly
•   To assist in any other administrative tasks defined by the Financial Coordinator/ HR & Admin Officer

•  University degree
•  Excellent command of English and Myanmar (both written and spoken)
•  Able to translate both written, typed and spoken Myanmar/English
•  Advanced computer skills (Microsoft Word & Excel)
•  Good organizational skills and attention to detail
